Learn how to download single and multiple documents at once.
- [Instructor] This week we're going to look at a feature that at first glance would appear as something you've seen in previous versions of SharePoint. What I'm talkin' about here is downloading files. We could always download a file in SharePoint, but now, new, in Office 365 SharePoint Online, we now have the ability to download multiple files at once without having to use Open with Explorer functionality. Here's how. We know first how to download a single file.
We select the file, and then from the command bar we click on download. We can see at the bottom of the window a yellow bar that appears, allowing us to save or cancel this operation. I'm going to go ahead and cancel it. Let's look now at how you select multiple files for download. First you select the files themselves. So I'll select three files as you can see here. And now, you'll notice the command bar changes slightly. It tells me that there are three documents selected, and there's the download option.
I'll go ahead and click on it. A yellow bar opens again at the bottom of the screen, and now we see we have an open button as well as save. If I go ahead and click on the save drop down arrow, and select save as as an example, you'll see exactly what it's doing with this new operation. Now when you have multiple files selected, and you click on download from the command bar, it automatically creates a zip file, and you can see that here. I'll go ahead and cancel that, and if instead of clicking on save or save as I click on open, you'll notice it opens Windows Explorer, and it shows me the three files that are contained in that zipped file that it created.
From here I can select individual files and move them to wherever I want to, or I can leave them exactly where they are in the zip file. I'll go ahead and close this window, and let's look how things slightly change when you're working inside of a folder. I'm going to move to a different library called documents. Here we can see that there's a folder called project ANFD, and this is a folder. When I click on it, it shows me the contents of that folder. Now without selecting any of the files contained in this folder, if I want to download every one of these files at once into a zip, I can just simply not select the file, move to the command bar, and click on download.
Now you'll see the yellow bar at the bottom, and again I can either or open or save, and it will still save it as a zip file. This additional download functionality is an absolute time saver, and appeared on many people's SharePoint wishlists. As a closing note, at the time of this video's creation, downloads are subject to the following limits. Individual file size limit is 10 gigabytes, total zip file size limit is 20 gigabytes, and the total number of files limit is 10,000.
