Lists are one of the key features of SharePoint 2013 and several topics relating to lists appear on the exam objectives for the Microsoft Office Specialist exam. In this video we’ll cover creating lists using the Tasks template, Calendar template, Issues template, and the custom list template. We’ll review making lists more easily accessible by adding them to Quick Launch.
- [Voiceover] In this video, we'll focus on one of the key components of SharePoint 2013, lists. Lists allow users to store information in a wide variety of ways. They could be tasks in a task list, dates arranged in a calendar, customer contacts, or company announcements. We'll create some lists to start our exploration. We'll create a list using a template. And we'll also create a list using the custom list template. And, to wrap up our section on lists, we'll add a list to the quick launch bar.
I'm gonna switch over to my SharePoint site, and start to add some lists. So, on my quick launch bar on the left-hand side, I'm gonna choose site contents, and click add an app. We're gonna go ahead and our first list we're gonna create, we're going to use the task list. And I see the task list in my list quickly. I'll choose task, and I'll name it SharePointRolloutTasks.
Now you may wonder why I'm not putting any spaces in the name. When you create a list or a library, SharePoint creates a URL. If you put spaces in the name, you'll actually see when you look at the URL, a percent sign and the 20. By creating my list without the space, I avoid that and now I'll simply go back and edit how the list appears in SharePoint, but leaving the URL alone. I'll click the ellipsis to the right of the list, and choose settings.
That will take me in to my SharePointRolloutTask settings, and under list name description and navigation, I can just click and add my spaces back into the name of the list. As you'll also notice, I have a quick and easy way while I'm in here, to add that list to my quick launch. So I'll choose yes, save it, and now if I want to get back to my lists in my breadcrumb navigation, I'll just click on my SharePoint Rollout Tasks to show the list I just created.
Let's take a look at another kind of list, a calendar list. This time, we'll go to our settings gear, and choose add an app. In the list, I don't quickly see my calendars, so I'm gonna simply find my calendar list. I'll type in to the search bar at the top, and search for the specific app that I'd like to work with. Here's my calendar. I'll select it, and I'll call my new list, my team calendar and click to create it.
Now when I create my team calendar, and launch it, you'll notice that I don't have a list ribbon. I have a calendar ribbon. If I want to get into my list settings, I can still click the calender ribbon, and on the right-hand side there's my options for my list settings. I'll go back into list name, description, and navigation and I'll add my space. Save that change. And let's go add another kind of list.
I'll go back to my settings gear, add an app, and I want to find a list using the template issues. So I'll type in issues, there's my issue tracking, click to create it, and this one I'm just gonna call issues. One more click, the issues list has been saved. Let's create one more list, but this time instead of using one of the existing list templates, let's go ahead and see what the custom list template gives us.
So, we'll choose add an app, and I'm gonna find my custom list by simply typing custom into the search bar. There's my custom list, and I'm gonna use this to track contacts, so I'm gonna call my list contacts. Click to create. I'd like to actually go add a couple of quick contacts to my list. So from my site contents, click to start it, and I'll choose new item.
You may notice when we look at this custom list, that there's only one field for it. I'll add a couple of my customers, my ABC company. Save it. And I'll also add another item from my XYZ sales and service, but I'm gonna have to come back and fix this later on. But for now, we'll simply save those two items to get us started. Now, I can see on my quick launch on my left-hand side that my contacts, my issues, and my team calendar are showing up underneath recent.
I didn't take time to add those to my quick launch, but I'll go back now, and make a couple of changes. I'm gonna return back to my team calendar, go onto my calendar ribbon, and again, I'll choose my list settings. Even though the tab said calendar, my list settings are still the same as with my other lists. I'll choose list name, description, and navigation. And under the choice, display this list on quick launch, I'll choose yes.
Save my change, and now my team calendar appears on my quick launch. For a quick recap, what we took a look at in this video, was different options of creating a list. We used the list templates for tasks, for calendars, and for issues. We also walked through creating a list using the custom list template. We saw that there was only one field, so we know we're gonna have to come back and do some further customization to make that list more useful.
And, we've looked at adding lists to our quick launch bar to make them easy to work with. We can work with the ellipsis from site contents to be able to get to our settings choice quickly, or we can always go to the list settings option on our list ribbon.
