In this video, Christopher Matthew Spencer provides a demonstration explaining how to export and share a Salesforce report using Excel and CSV (comma-separated values) file formats.
- [Instructor] Reports empower knowledge, awareness and transparency within teams. Let's review how to share reports with teams and customers. So I'd like to share a report with someone externally and not someone internally, so what I'll do is I'll export that report. Now we're starting signed in and I'm on the home tab, I'll head over to the reports tab and I'll click on the opportunities by stage report. This is the report I would like to share. And then we see the report here on the screen. This is a matrix report and what I'll do is I'll click on this menu here on the right hand side and then I'll click the export option.
We can use any one of these different types of encodings, I'm going to use the standard encoding that's defaulted here and then we have a couple of file formats, one is Excel and the other is comma delimited also known as comma separated values files. So I'm going to use the Excel format and I'll export it now. Now I'll select a location for this file which will be on my computer desktop and I'll go ahead and give the report a different name than the one that's shown here. And then I'll click save.
And now this is saved to the desktop. So I'll go ahead and open up the folder, I'll show it in the folder, in this case it's on the desktop folder and then we see the report right here. And here's our report. Now I'm going to change the format of this to a newer version of Excel so I'll go ahead click save as and I'll put it back on the computer desktop. I'll go ahead and browse to the computer desktop and I'll save it in a different file format and I'll change it to an Excel workbook, the most current version of Excel. Then I'll click save.
I'll close the spreadsheet and we can see the two files that I have here. I'm going to go ahead and delete the first one which is the one we downloaded and then I made some changes to the report which is this one right here. And that's the final version that I'll be sending to Diane. Now I'll go over to my email and I'll compose an email and I'll navigate to locate the file. I'll select it and I'll attach it. And then we'll send it out. You can quickly distribute reports to team members and customers with very little fuss by exporting and sharing them as file attachments.
