This video provides an overview of the Chatter tool within Salesfore, and how to extend this functionality to users and volunteers.
- [Instructor] Life is very social these days, and most every one is interacting with other people on social media. Chatter allows people to collaborate within Salesforce. We can deploy a few or hundreds of free Chatter accounts to extend team collaborations out to people who want to remain looped in, but who don't need a full Salesforce license. Let's have a look and see how many Chatter licenses we've got. Let's go ahead and click on the gear cog icon, then let's click Setup.
And the over here on the left-hand side, we'll type in system in the quick find. Then we'll click System Overview. Let's scroll down. From here, we can see that we have 10 user account licenses, 500 Chatter external licenses, and 5,000 Chatter free licenses. Now let's check out some essential features of chatter. Let's go up here to the left, and click on the App Finder. It's this array of nine dots.
And then down here, we'll click on Chatter. On the left-hand side, we can see what I follow. Chatter messages sent to me, bookmark Chatter feed items, company highlights, which are updates from leaders within the team, streams, which are collections of feed items, and down here, recent groups. Now let's post something in our own Chatter feed.
Then let's click Share. Now let's check out bookmarks. From this pull-down, we can go ahead and bookmark post within Chatter. This is especially helpful when we'd like to stick a pin in something that other team members have posted. This little icon here shows that it's been bookmarked. Now let's add a stream. Let's click on the plus icon next to Streams. Let's go ahead and name our stream.
Then enter records that we'd like to follow. We'll pull down the record type. In this case, it'll be an account. Then we'll search of the account that we want. Now we'll pull down Contacts, and we can add contacts. Let's go ahead and pull down Leads, and we can add leads. Here's our notification preferences. Then let's click Save.
We can review streams by clicking on the stream from the Chatter page, and we can be notified whenever a post is made. A group can contain individual users, other groups, or users within a role. Let's set one up. Let's go ahead and click on the plus symbol next to Recent Groups, and we'll give our group a name, and we'll describe our group. The owner defaults to me, but we can always assign the groups owner to another user.
So let's do that. I'll change the group owner to Alicia. We don't want our group automatically archived so let's disable this feature. Now, I want to set this group up as a private group, and I'll definitely want to allow customers to interact with the group, so let's go ahead and check this feature right here. I can use this checkbox if I'm only broadcasting messages out, but not allowing post to the group. But I don't want to do that, so let's click Save & Next.
If we'd like our group to have a logo, a picture, or branding of some kind, we can upload an image here. Let's go ahead and do that. We'll click upload image, and we'll locate an image on the desktop. Here's the image. We'll click on the image, and we'll click Open, then we'll click next. Now let's add some group members. Then we'll click Done. Here's the Chatter feed. We can post content here in the group.
When posting, we can use the at symbol and then the name of the user to notify them of post that are relevant to them. Let's go ahead and show that. We'll select the user, then we'll click Share. This will notify Alicia of the post I made to her. The paper clip allows files to be posted. So let's go ahead and share that.
Click on the paper clip, go ahead and click Upload Files, find the document that you want. I'll navigate to my desktop. Click on Presentation, click Open, and now it's attached, and then let's click Share. Files posted within feeds will be stored in this section on the bottom right. And we'll need to refresh the screen to show that. And there it is. Let's scroll back up. Here on the Polls tab, we can set up polls.
We can always add new members to this group at any time here on the right-hand side. We can change the notification frequency through this pull-down on the right-hand side as well. These handy buttons allow us to add new contacts, new cases, or new leads. If you pull down this menu, there's additional functionality as well for the groups. Chatter encourages serious engagement because it's very social.
