- [Instructor] So far in the course, we've mentioned many things that need to be discussed during a BIM coordination meeting. Honestly, these coordination meetings can be painful if they're not planned for and managed appropriately. But if you organize them and prepare, they can be extremely beneficial. Lean systems emphasize the prevention of waste, with waste being considered extra time, labor, or material spent on a project that does not add value to that product or service. Developing a templated architect's BIM execution plan is a great way to develop a lean enterprise, meaning to foster a company culture where employees constantly look to improve their skill and production processes. Products and services are driven by the concept of the right amount of information to the right locations at the right time and in the right condition. This can be done on a construction site and it can be done within an architectural office. When developing an agenda for the BIM coordination meeting, develop an invite list that only includes who needs to be there. Think about what needs to be talked about now, what can be discussed later, and who needs to be in the conversation today. The entire team does not need to be at each meeting. You might even want to consider topics for each meeting starting at the end of the project and working your way back to the beginning, a mini pull planning session to know what needs to be talked about when. This can help prevent discussing things over and over again. Create a detailed agenda for the meeting to keep focused. It would be beneficial to provide a sample agenda with the BIM execution plan. The agenda should state the objective of the meeting, and again, you should only invite those that would be beneficial to the conversation. Create an accessible action item list. This is a rolling list of items of work that needs to be done, including who is responsible for what and the deadline of the work. Be prepared to discuss this action item list with the model open. Pair the action item with a model view, and be sure that this is all done before the meeting. The most important part of running a lean coordination meeting is to be prepared prior to the meeting. Take charge and have a plan for how to keep control. As stated before, there are many tools that can be used to support BIM. OneNote is an excellent platform for filesharing, but there are alternate platforms as well. If you were to keep your rolling action items log on OneNote, your model on BIM 360, and your drawings on Bluebeam Studio, much of the project would be cloud-hosted and accessible to all the team members all the time. It should be the BIM coordinator's job to manage all the platforms and keep individuals invited to each platform as necessary. And during the BIM coordination meeting, all of those items should be open with notes of the meeting being documented in each tool as the conversation progresses. If you are planning on using Navisworks to show clashes in the meeting, have Navisworks open prior to the meeting's start and have the viewpoints defined in the program and on a handout for everyone to use. Post this handout to the predefined document share location before and after the meeting. If you're sticking with Revit, develop views that show the issues to be discussed, and potentially make notes of the issues on the view. The point is, you need to know what needs to be discussed prior to the discussion. You might not know what the outcome of the conversation will be, but you know what needs to be talked about. Keep the conversation focused. No one likes to waste time.
