When you attach a file to an Outlook message, it is better to send a link to a file store in OneDrive or SharePoint, provided that all your recipients can receive and use a link. If you choose a file stored locally, after the file is attached you can right click the file and upload it to OneDrive. Outlook converts the attached copy to a link.
- [Instructor] File attachments are either … the coolest thing about Microsoft Outlook … or one of the biggest curses that Outlook offers to us … because, if for example, I attach a file … to send to someone … then I'm now creating brand new files when I do that. … Each recipient I sent it to … will have a copy of that file sitting in their Inbox. … I'll have another copy in my Sent Items folder. … So it's best if we can actually skip attachments altogether. … There are two ways you can think about it. … One possibility is that I have a document, … I can put it in a shared location. … Whether that's OneDrive, or in SharePoint, … or some other way my organization shares documents. … And rather than sending an attachment, … I'm sending a link to the document. … When I do this, everyone who clicks that link … is getting the most recent version of the document. … We're all editing together. … I don't have multiple copies to manage. … I don't have to worry about which … the correct version of the document is. …
