In this video, Jess Stratton shows users how to recall a message that was sent accidentally or resend an email to a new recipient if forwarding is not an option.
- [Instructor] You may want to recall or resend a message that you already sent. To start, find your message that you sent out in the Sent Items folder. Here's our public sales strategy guide that we sent out. I'm going to double-click on this message. The first thing I might want to do is send it to somebody else. If I didn't have the original email to forward and somebody else said they were interested in it, I can come back to this email, find it in my Sent folder, and from here click File and then Resend or Recall.
I'm first going to choose to Resend This Message. It's going to pop open a brand-new copy of the email. From here I can repopulate the To: field. I can even add some more text. I'll click Send and it's going to get sent to Leslie. It keeps the original email open. I can close out of this and don't forget, I'm still in my Sent Items folder, so I need to get back to my Inbox to do anything else. Now sometimes, and hopefully this never happens to you, you sent out an email a little too quickly and you found that you need to take it back.
You can recall an email, though it's important to note that it only works if the other recipient is using Outlook. So this is perfect in a Microsoft Exchange environment because you know that all of your coworkers are most likely using Outlook. But if it's an external email address, then you're not gonna know if it worked or not. To get started, we're gonna go back to the Sent Items folder. Find the email that we want to take back, again, the sooner the better, because that way the chances will be low that somebody's already opened it.
Double-click on the email, change to the File ribbon tab, and click Resend or Recall. I'll click Recall This Message, and from here I can choose to delete unread copies of this message in somebody else's mailbox, or I can delete it and replace it with a different message. And I also need to choose if the recall succeeds or fails for each recipient. I'll click OK and I'll close out of this and go back to my Inbox.
