In this video, Jess Stratton shows users multiple ways to add and edit contacts, including being able to quickly add multiple contacts from employees who work at the same company.
- [Instructor] Let's create a contact now. In the contacts area, I got here by selecting the people hub icon in the bottom left-hand side of the screen. From here, I'll click new contact on the top left. It's going to open up a large cart, and I can input as much or as little as I know about that contact. I can add a second email if I have one, by clicking the pull-down next to the email address and selecting a different option. I can do the same thing, for phone numbers, I can click the pull-down and add a new one.
I can also put in the address, and I can click map it to pull up a map of the contact's address. I can click inside the notes field, and add any personal notes about this contact. As you can see, as I'm typing, a business card appears on the top right-hand side. I can even click categorize at the top of the screen and add a category, just like we did with mail messages. I can create a follow up flag, it can even add a reminder to it, if I wanna be reminded to get in touch with this contact.
I can also click the private button, this will mark this contact as private, so if I ever do share out my contact list, and I will be showing you how to do that, this contact will stay private to you. Finally, I can click the picture icon to add a picture for the contact, though it's certainly not necessary. Now that it's all created, there's a few things I can do. At the top of the screen, I can click save & close, which will bring me back to the people hub, I could also delete a contact by clicking the delete button.
I can click save & new, which will save this one and open a blank contact card for me to create another one, however, I'm going to click the down arrow next to save & new and choose new contact from the same company. This is going to open up a partially blank contact card. Everything that goes along with that company is still populated, however, I can change the details, like the name, phone number, and photo. This time, I'll click save & close, I'll also click save & close on Leslie's card.
Here's my two contacts. With the contacts selected, I could delete it at anytime by right-clicking on it and choosing delete down at the bottom. I can also edit the contact by double clicking on it, though remember, if you're in the people hub, you'll get a smaller, editable version of that contact. Instead, I can switch to business card view, double click on her, and I'll be brought back to that original list of fields. I'll close out of this, there's one more way that we can make a contact, and that's directly from email.
I'll click the mail icon on the bottom left-hand side to go back to my email, I can click on an email, I can right-click on the sender's name, from here, in the message that pops up, I can choose add to Outlook contacts. It's going to create a small contact card, I can click the same button, click close, and now I'll have a new record for that contact in my people hub, I'll go back and there she is.
