- It's time now to explore the real beauty of using a program like Lectora Online. Because it's online, we now know that we can share our Titles with other people, other team members, for example. And that means as an administrator or a project manager, you have the ability to create assignments. You can share the workload, assign team members tasks that they need to complete in the Title. So you can have several people working on the same Title at the same time. So long as it's shared with those people, you can create assignments for them and that's what we're going to do first in this movie.
We're going to do it with our New Hire Orientation project. So if you've been following along with me, it really doesn't matter what page you're looking at. If you've skipped to this movie, however, you can go ahead and open up KEOrientation1001. You'll need to import it from the Chapter10 folder of your Exercise Files. And now what we want to do is make sure that it's shared with our team members before we start creating assignments. That means we'll need to go up to the File tab and close the Title. We want to close it up.
If there are any changes to be saved, answer Yes. And the next step is to minimize this window so we can go back to our home screen here with the Getting Started tab selected. Now we can go down to Manage Titles. We can't share a Title or change its Share properties if it's open for editing. That's why we had to close it first and now all we have to do is go into My Titles where your imported titles go by default. Find it, there it is, KEOrientation1001, and click Share.
Now I get to choose who I'm going to share it with. There's my Available Users and I think I should be able to share it with everyone. I'm going to move both of these by selecting them and clicking the right arrow to move them across. Now, as you can see, they are developers by default but maybe we want to make them reviewers so they're only reviewing it. Well then they can't actually do anything on it. They can only look at it. Owners, let's have them have full access to it as though they own it even though ...
You can see you are the Primary Owner. It is going to be shared now. When we click Save, it's going to be moved into the Shared Titles folder. You can see things are happening in the background. We'll give it a moment to become a Shared Title. You can see it there under Shared Titles. And if we wanted to, we could move it into the Orientation Titles but let's just leave it under Shared Titles for now and click the Close button to close this up. Because it's shared and it now appears in the Recent list with the Shared icon next to it, we can assign tasks by creating what we call Assignments.
That means going up to the top of your screen and clicking the Assignments tab. Here's where we go to Create New Assignments and eventually, look at Assignment Reports. We'll do that later. Right now, click Create New Assignment. We get to choose the Title. Click the drop-down. It's only going to be the shared ones that show up. And there it is, KEOrientation1001. Now you can see there are some fields being filled in, the date you're creating it, of course your own ID is going to show up as the Created By person who's creating this assignment.
In the Assigned field, we can click there and this information which shows up as gray is going to actually self-populate based on who we assign to. So, assigned, when it's assigned, who it's assigned by. It's all coming up when we go to the Assigned To drop-down and choose who we're going to create this assignment for. I'm going to go with this one, 1027. We can see those fields are now populated. Even though I could click inside them, we don't need to. As soon as we choose the Assigned To option from the drop-down, they're automatically filled in.
Description, kind of like a title for the assignment. I'm going to type in Add Quiz Question and now down below in the Add Comment, here's where the details go. I'm going to type in: Please add a Hot Spot Quiz question to the quiz chapter after the Fill in the Blank question. I can click Create which will create and allow me to create additional ones or if that's all I'm going to create for now, the only assignment, I can choose Create and Quit.
Do that, Create and Quit. It's going to Create the Assignment and that person, 1027, is going to receive that assignment at their end. In the next movie, we're going to log in as the person who has received an assignment and see what it's like to review your own assignments and update their status.
