Use Outlook

- Outlook is the workhorse for many users. We can manage all of our email, schedule our work lives, and create tasks to help us keep on track. Let's go ahead and explore some of the basics of Outlook. As you can see, I've already launched Outlook and I'm looking at the Inbox. I'm specifically going to look for an email from Leslie that has some updated HR info. I could go through and look through the whole inbox but that could take some time. A better way to do it is to use the Search function. I'm going to go up to Search, I'm going to look for Leslie, and the email I'm looking for is down below. I'm going to select that and we can see the information above the email. At this point I have a couple of options. If I select the attachment, we'll see the document in the Word Viewer. This point, I could go ahead, open the document in Word or I could save it, I could upload it or even remove it. I'll go back to the main message. I'm going to thank Leslie for sending that. And before I hit send you'll notice that we're not responding to the latest message in this conversation. This means that there has been some communication after this initial email was sent. I'm going to send that. The other thing I'm going to do is I'm going to forward this communication to Mark as Mark needs to know about this updated manual. I'm going to select Forward and look for Mark. And now I can send that and Mark will now have that information. To make it easier in the future to find this email, I'm going to create a folder and drag that email into it. To do so, I'm going to select my user name, right click, and new folder. I'm going to call the folder, HR. And now I'm simply going to drag that email into the HR folder. And that email is now conveniently located in a single folder. Let's pop back into our inbox and you'll notice that we have a lot of email here that really isn't needed. I can simply delete the email right from here. For important items, I can flag it. And you'll notice that the email is now flagged and has changed color. When I select Task, this will be in my To-Do List. And we'll talk about the new To-Do App a little later in the course. I'm going to pop back into our inbox. Let's go ahead and send an email to Mark about the charity baseball game. To do so, I'm going to select New Email, start typing Mark, and I'm going to select Mark. But you'll also notice that I could actually send this to a team site. Provide the subject, and next I'm going to attach a file. In the newer versions of Outlook, when you select Attach Files, the list of recent items will be populated for you. I'm going to select the charity baseball game, and here I have the option to either share a link or I can actually attach this as a file. And that's what I'm going to do. Perfect, now I'm going to go ahead and send that. And the last thing I want to do is invite Mark to a meeting to discuss the baseball event. I'm going to pop into Calendar, and create a new meeting. Provide a title. Then select the required attendees, in this case it'll be Mark, and then you can select optional attendees, these are people that may not need to be there, but maybe they do. Select your start and finish times, if you have rooms configured in Outlook, those will be your locations. I'm going to take Boardroom A. And finally, for those people who are not in the office, they can join the meeting using Teams. That's it, I can go ahead and send this meeting invite. It'll be placed into my calendar, and it will also be in Mark and Leslie's calendars and they can go ahead and accept or decline the meeting invite. We have just had a very quick overview of Outlook.
