It’s important to recognize that there are different types of Office 365 accounts. The type of account you have affects which tools and applications you can use. You should have an Office 365 Business or Enterprise plan for this course. In this video you'll look at the different types of accounts and discuss the features that come with each one.
- [Instructor] In this course, I'm going to talk about a lot of applications and online tools that come bundled with an Office 365 account, but it's really important to recognize that there are different types of Office 365 accounts. The type of account you have affects which tools and applications you can use. So let's take a walk around the Office 365 website to look at some of these variables. I'm going to go to office.microsoft.com. This is where you would go to sign in if you already have an Office 365 account.
The Sign in button is up here in the top right corner, and we can also get some information about setting up an account here. As we go on this journey, we see our first possible fork in the road here on this page. There are two main categories of Office 365 accounts. Home accounts and business accounts. There's an important division here. An Office 365 home or student account is what you would setup as an individual person if you need to use the primary Office productivity applications.
Word, PowerPoint, Excel, Outlook, and OneNote, but a home or student account is not setup to take advantage of the collaboration tools that we're going to see in this course. Sure, you can send somebody an email with your Microsoft email account. You can contact people on Skype or share a file from OneDrive, but there is a wealth of collaboration features offered by a business account that do not even factor into a home or student account. So a home or student account gets you a great set of tools for an individual person working alone, but this course which focuses on collaboration really is not for people with a home or student account.
It's intended for people with an Office 365 business or enterprise account, and we can see information about those by clicking on this button labeled For business. Home and student accounts are meant to be purchased by an individual, but a business account is not. Business accounts are purchased by an organization, which almost always means your employer. Let's click on this button that says See plans & pricing, and we can get some more information about these accounts. So your employer will work with a Microsoft sales representative to buy a deployment for your organization, and the pricing that we see here is based on the number of users in your organization.
After setting up the deployment, your organization will have an Office 365 administrator, which is usually somebody in your IT department. Your administrator will then assign an Office 365 account to you and your coworkers, which is part of your company's Office 365 deployment. This gives you and your coworkers accounts that are linked together, usually including an email address which is hosted by Microsoft but tied to your company's identity. The fact that you and your coworkers have accounts within the same organization's deployment will facilitate a lot of the collaboration features in Office 365.
Now on this page, we can see the different business plans, along with their respective pricing, and if we scroll down a bit, we can see the different applications and online features that come with each of these types of accounts. Chances are you will not get to choose which type of plan you have. Your company's Office 365 administrator will decide that based on your company's needs and their budget, but if you can find out which type of account you have, that will be really helpful, because we can see that different types of business accounts come with different applications or services.
So for example, if you have the account that goes by the name Office 365 Business, and we scroll down a bit, you can see that you have the standard Office desktop applications, and you have OneDrive for Business, but you do not have access to SharePoint, and you do not have access to Teams. Those are services that are included in these other types of accounts. And by the way, those are services that we'll be using in this course, so if you do have this first type of plan, there are things in this course that you will not have access to, so this is why it might be nice to contact your company's Office 365 administrator to find out which account you have.
Do you have an Office 365 Business plan? Or an Office 365 Business Premium plan? Or a Business Essentials plan? It's also important to see that we're looking at Office 365 business plans here, but there is another category, Office 365 Enterprise plans, and we can see that by clicking on this link over here that says See options for enterprise. Now this is going to be the same story, but much larger companies usually use enterprise-level accounts to support a larger set of features and bigger groups of employees.
Let me close this little window here, and we can see the different names for these different types of plans. We can see the pricing, and of course we can see a list of the applications and online features that come with each of the enterprise plans. Now there is another important thing that I want to look at, so let me take a step back. I'm just going to click the Back button here, again looking at the information for the business plans. Scrolling down and looking at the list of online services, I want you to see that when we talk about Skype and OneDrive on the business plans, and on the enterprise plans, we're actually looking at OneDrive for Business, that's the name here, and we're looking at Skype for Business.
These are different tools from the normal Skype and OneDrive that you would get with a home or student account, and in this course we will be using Skype for Business and OneDrive for Business. There's an important distinction there. So, if you do not have an Office 365 business or enterprise account, then this course might not be for you, or you might need to work with your IT department to see if you can get this setup for your organization. Now if you do have an Office 365 business or enterprise account, I suggest you start by contacting your administrator, find out which type of account you have, and familiarize yourself with the specific applications and services that you will have access to.
Then, you should sign into your account to get started. So again I'm going to go back to that main page, which is office.microsoft.com. Once you have your account information, you can go to the Sign in button in the top right corner, and sign in. So I'm going to put in my email address for my organization, click Next. It will prompt me for my password, and that will take me here to the main Office 365 start page.
We're going to be referring to this page a lot in this course. It will be our home base. Also, if you do not yet have the productivity applications installed, meaning Word, PowerPoint, Excel, and so on, this is where you would go to download and install those applications. Just click on this button that says Install Office 2016, and it will walk you through the process of downloading and installing those programs. So identifying the type of account you have, getting familiar with the services you have access to, and simply signing into your account are essential first steps to working with Office 365.
