Join Nick Brazzi for an in-depth discussion in this video Staff workers: Request time off, part of Microsoft StaffHub Essential Training.
- [Instructor] In this movie, we'll see how workers can use Staff Hub to request time off from their managers, for vacation or sick leave, and various other reasons. Time off requests are submitted in the mobile app. You can not submit time off requests on the website. So, here in the app, we're going to go to the requests section. If you're using the iOS app, you'll see a row of buttons down on the bottom of the screen labeled my shifts, requests, messages and files. If you're using the Android app, that row of buttons will be near the top of the screen.
But you'll find that button there for request, tap on that to go to the requests screen. Then I'll need to hit the plus button to add a new request. On the iOS app, the plus button is near the top right corner, and on the Android app, it's near the bottom right corner. So press that plus button, and now you've got two options. In this movie, we'll be focusing on requesting time off. In a separate movie, we'll talk about swaps and offering shifts to other team members. So I'll press request time off. And then I just need to fill in the details for my request.
The first field is the type of time off you're requesting. If you tap on that, it opens up this menu, so you can scroll through and see the different options. I'm going to stick with vacation, so I'll select that. Then I'll select the time for my request. Usually you're going to request full days, so you've got a start date, and an end date. If you do want to select specific hours, you do have that option. There's a switch here labeled "All day" and it's on by default. You can tap on that to turn it off and then you have the option to select specific hours.
But I'm going to stick with entire days, so I'm going to turn that switch back on. And then I'll set my start dates. So I'll tap on the start date field, it opens up this mini calendar and I can select the first day of my time off. As you look at this calendar, any date that has a dot on it, is a day that you already have a shift assigned to you on the schedule. Now you can request time off during a time that you already have a shift scheduled, that is fine. Sometimes you need to request sick time, when you're already scheduled to work.
All requests require the approval of the manager so the manager may need to make some shift changes because of your request, but the tools are here. So with that in mind, I'm going to tap on the day I want to start this time off. And then I'll need to select the ending date for this time off. So without even leaving this screen, I can tap on my end date and it selects that block of time. If I made a mistake here, I can just tap on a different start date and a different end date, and it will reset it. Or, I could just start by selecting the start date and I could hit done.
Then I could tap on this field for the end date, and select that and hit done. So there are a few different ways to do it, but now I've set the start date, and the end date, for this request. And then down at the bottom, there's an option for plugging in a reason for this request. So if you want, you can type some extra notes in that field and that information will go to the manager when you send the request. But I'm not going to bother with that for now, I'm going to leave that blank and I'm going to send the request. So I'll just hit that button. So now my request is sent and I need to wait for my manager to approve that request before it's official.
Now I can always come back here and check that status. So I'm going to hit the back button near the top left corner and now we're on the main request page. And I can see that request that I just sent is still pending and if I tap on it, we're back on that screen we saw a moment ago, where we can see all the details of the request. And I can see this timeline up at the top. I can see that my request has been sent, and I'm waiting at the step where the manager will approve it or decline it. So if we wait a minute, my manager will approve this request and that's it.
That's what it looks like when the request has gone through the entire process and it has been approved. And if I hit the back button again, up near the top left, then I'll see it's moved from the "In Progress" section to the "Done" section. So now my manager has approved that request, they may need to make some changes to the schedule to accommodate for that, but the ball is in their court now. They've approved my specific request. Clearly what we've seen here is only the point of view of the worker requesting time off. We'll see the manager's perspective for reviewing and approving or denying time off in a separate movie.
In this course instructor Nick Brazzi shows managers and employees what they need to know to use StaffHub. He begins by showing how to create a team in StaffHub, invite employees to join teams, and organize employees staff into groups. Next, Nick covers all the aspects of work schedules—from how to create, modify, and view schedules to how employees can work together to cover shifts. He shows how to send messages to team members, share files with team members, and post communications using Day Notes. Lastly, Nick covers how to modify StaffHub settings to tailor it to your company and team.
