Skype for Business is the Office 365 tool for online video and audio meetings. It is also used for quick text-based instant messages. See how to use Skype for Business to communicate face-to-face with co-workers.
- [Nick] In this course we're talking about a lot of tools for sending messages and sharing files, but sometimes you just need to have a face-to-face conversation with somebody. That's where Skype for Business comes in. First, a few notes to clarify Skype for Business. We're not talking about the product called Skype, which is a free consumer level product that is not part of Office 365. We're talking about a different product called Skype for Business. Second, you will not find a tile to launch Skype for Business here on the Office 365 website.
This is not a web-based tool. It does work over the internet of course, but it does not run from a webpage. You'll need to install an application on your computer or your mobile device to use it. But here on the Office 365 website, there is this button labeled Install Office 2016. That will download and install the Office desktop applications, including Word, PowerPoint, and Excel, and for many users, it also installs Skype for Business. Or, you could just click on this button that says Other installs, and then over on the left side, you'll see a link for Skype for Business.
If you just want to go straight to installing the Skype for Business application. There are some other variables about the application download that are clarified in the Skype for Business Essential Training course. For now, I already have Skype for Business installed, so let's launch that. I'm going to minimize my web browser to get that out of the way. I'll just go to my Start menu because I have Skype for Business installed so I should be able to find it here. So I'm not launching Skype, I'm launching Skype for Business. When you launch Skype for Business, you'll need to sign in to your Office 365 account.
I already have my email address here. I'll tap sign in, and I'll put in my password. It's asking me if I want it to save my sign-in information, so it will sign me in automatically in the future. That's fine, I'm just going to hit Yes. After a moment, I'm signed into the Skype for Business application, and here I can see a list of contacts that I've built. You can add anybody to your contacts who has an account with your organization's Office 365 deployment. This is not the same as your contacts in Outlook on the web, but you can add existing Office 365 groups to your contacts list.
If your administrator has enabled the option, you can also communicate with people outside of your company, but that's not the main focus of Skype for Business. There are other sections here in the Skype for Business application. There's a button here for conversations, which will show you a list of recent calls and instant messages. The dial pad will allow you to call a regular telephone, but only if your company has that service enabled. And the meetings button lets you look at a schedule of meetings you have for the future. We'll talk a little bit about this in the chapter later in this course on planning meetings.
So to oversimplify, just to introduce what Skype for Business is capable of, I want to do an instant message conversation and a video call. Instant messages are very simple text-based messages like in other instant messaging apps you might have seen. Let's send a quick message to my friend Garrick. He's actually going to be using this demo account under the name Stewart, but we're going to be contacting Garrick. So to send an instant message to somebody, all you need to do is find them in your contacts list, double-click on their name, and it opens up this instant message window, where you can type in a text-based message.
So I'm going to type in something here. Then I can press Enter or hit the little Send button and it sends that message. In a moment, Garrick will see this message and he will respond. This is what it looks like. From here, we could just continue typing text-based messages back and forth, and this is a great way to have immediate contact with one of your team members. But let's transition to a video call. Of course you need to be using a computer with a camera and a microphone built in or connected.
From the instant message conversation, you could just hit this camera button down at the bottom to start a video call, or the phone button to start an audio call. Or, if this window were not open, you could find the person that you want to talk to, and when you point at this icon on the far left side, you get a bunch of other buttons. So we could do a video call from here, or an audio call from here, or you could right-click on a person, and then you could go to Call, and start a Skype Call which is audio, or start a video call from here.
So let's go straight to the video call, so I'm going to click on that to initiate, and it will start up my camera, so you can actually see me here on camera. We can hear the chime while the call is ringing and in a moment he will answer. - [Garrick] Hey, Nick. - [Nick] Hey Garrick, thanks for helping out here. - [Garrick] No problem. - [Nick] So I started this as a video call. Now when Garrick answered he did not start the call as a video call, he started it as an audio call, but you'll see there are some buttons down at the bottom of the screen. You can enable or disable your video, you can mute and unmute your microphone.
So Garrick, I believe if you enable your video camera, I'll be able to see you. - [Garrick] Okay. - [Nick] So in a moment he should appear here, and there he is. - [Garrick] Hey there. - [Nick] All right so it looks pretty good. Garrick, what I'd like to see is what it looks like when I receive a call, so can we end this call and have you call me right back? - [Garrick] Sure thing. - [Nick] All right, so to hang up a call you just hit this red button here, and now the call has ended. Now in a moment Garrick's going to call me back just so we can see what it looks like when you receive an incoming call.
Now if the Skype for Business window were closed, I would still see the incoming call. So in a moment we'll see that. (bell ringing) And here's that notification, that's what that looks like. I could ignore it, but I'm going to go up to this Accept button up at the top. And there we are back in the call again. So Garrick, I think that's really all we wanted to see, thanks for helping me out. - [Garrick] Sure thing, got it. - [Nick] Right on, I'll see you later. - [Garrick] All right, see you, Nick. - [Nick] I'll hit the Hang Up button to end that call.
