- In this movie, let's see how to add users to Adobe Captivate Prime account. To add users, log into Adobe Captivate Prime as an administrator. Now, on the left pane, click Users. On this page, you can add a single user or multiple users at a time using a CSV. You can also create a self registration link for internal employees or create an external learner profile. Let's first see how to add a single user to Adobe Captivate Prime account.
To add a single user, go ahead and click the Add button on the top right corner. Now, go to the Single User tab. Here, you need to fill out the details of the learner. And for the Manager's Name, you'll have to pick the name of an existing user in your system. For now, I'll just go ahead and pick my name and click Add. This new learner is now added to your Adobe Captivate Prime account. This workflow is helpful if you need to add limited number of learners to your Prime Account.
But if you're planning to enroll all the employees of a large organization, it makes sense to add them all in one go. For that, you can use the CSV workflow. Typically, all the organizations work with an HR management system which maintains all the employee records such as designation, location, date of joining, employee hierarchy, et cetera. All this information is already available in the HR management system and you can export this data in a CSV format.
CSV is a simple text file in a comma separated format. Let's take a look at a sample CVS file for an organization and then import it. This CSV has the details of the users I wish to add to the system. You can notice that I have a section for Employee's Name, Employee's Email, ID, Job Title, their Manager's Email, Cost Center, Department, et cetera. Out of these fields, the four most important fields that a Prime account will look for is Employee's Name.
I'll just go ahead and highlight it with blue, Employee's Email, Employee's Job Title, and Manager's Email. These fields will help Prime identify the learners. Other fields can be used for creating user groups and filtering the data on Prime. We'll take a look at all of that a little later. Here, I want to bring to your notice one more thing is that you can see, I have mentioned Manager's Email over here.
Instead of Manager's Email, you can also map Manager's Employee ID. That can also help build the employee hierarchy in Prime's system. Now let's see how to import this CSV to your our Prime account. Let's go back to Prime, to add multiple users at a time, click Add on the top right corner. Now click Import. Navigate to the CSV file. I'll go ahead and open it from the Exercise Files folder, Chapter 02 Folder, and I have the CSV placed here.
You can use the same CSV by modifying the details of the employees you want to get inside Prime. I'll go ahead and click Open here. And now you can see that I have these four different fields that I was talking about. The Name of the employee, Email ID of the employee, Profile, and Manager's ID. And here on the right hand side, you will find the CSV columns. And if you open one of the drop-downs, you will notice that these are the titles of the columns that you had inside your CSV.
The same details are populated here in the drop-down. Let's go ahead and map. For Name, the matching field is Employee's Name. For Email, we had mentioned Employee's Email. For Profile, I'll go ahead and select Employee's Job Title. And for Manager's ID, we will go ahead and select Manager's Email. And as I said earlier, if you have a column of Manager ID, you can go ahead and select this.
I'll go ahead and check this and click Save. All these new users are now added to your Adobe Captivate Prime account. Now, you need to select all the users. I'll go ahead and select the checkbox next to the name so that everybody is selected. And now I have to go to the top right corner and click Actions and click Register. This will register all the employees that are listed here in the Users section.
Now, all these new users will receive a Welcome email. If the learner has an existing Adobe ID, they can click this link. If they don't have an existing Adobe ID, they can go ahead and click this link to create an Adobe ID and link it to their Prime account. Clicking on one of these links in the email is mandatory for the learners as it helps Prime to verify the learner's account. Let's go ahead and click the second link.
You can also set up an automated nightly FTP upload for the CSV generated for your HR management system. Let's go ahead and update the CSV and see if we are able to modify the user details mentioned here. I'll go to the CSV. I'll go ahead and change my designation and then I'll go ahead and add one more user here. With these changes made, I'll go ahead and save this CSV. Now let's get back to Prime. Here, I'll go ahead and click Add.
And From CSV, I'll import this CSV again. I'll go ahead and navigate to the folder where I have placed the updated CSV and click Open. You can notice that the CSV columns are already mapped with the mapping that I had done earlier. If you wish to make any changes to the mapping, you can go ahead and do that but by and large, you will not be doing that the second time. Let's go ahead and Save this and see if those changes are updated to the Prime account.
You can notice here that my designation has changed in the system and we have a new user added to the system. I'll go ahead and check this user and register her to the Prime account.
