Use Google Meet to get together and share ideas when not everyone can be there in person. Learn how to use the calendar to invite others to the meeting, and activate video chat to see each other along with other features.
- You're fortunate when everyone can get together in person. When they can't, you can invite the one loner or all your collaborators flung far and wide into a virtual meeting by using Google Meet. To set up such a meeting you must have a G Suite account. Regular Google account users can join the meeting, but only a G Suite user can configure an online meeting with Meet. Further, your G Suite administrator must set permission so that your account can create such meetings, and G Suite administration is a topic for another course.
To start the meeting, visit Meet on the web at https://meet.google.com. Click Start a New Meeting and pretty soon you will see yourself on this screen, but of course one person is not a meeting. So you want to click the Start Meeting button, and then you see the URL or the web page address for the meeting, and this last part here this is the code to enter the meeting. But what you can do is click Copy Info and copy that in then past it into a Gmail message and send that off to everyone you want to appear in the meeting.
Type the Gmail address; I'm going to invite Melissa, so I'll choose her address here. Set the subject: Meeting right now! And then in the content part of the email message press Control + V, or Command + V on a Macintosh, and you will paste in the meeting link. And again, someone can just go to https://meet.google.com and type in this code. You don't need to type the hyphens, and then they can join the meeting that way. So we'll send off that message, and then go back to the main screen and wait for people to arrive.
Now you have to grant them permission. So when they receive the invite, they're going to click on a link, and then you're going to see a dialogue box on the screen where you can allow them to attend the meeting. We'll just wait for that to show up. And there it is! Click the Admit button, and we're in a meeting. Hello, how are you? Now, do ensure that when you're having a meeting that you're at separate locations, because if you're in the same place your microphone is going to pick up everyone and the sound is going to be deafening. So you can use these controls down at the bottom of the screen to control the meeting and to set like mute the microphones, turn off the camera, or this center one you can leave the call.
Over on one side you will see a list of people attending the meeting. Now one of the cool things you can do while you're having a meeting is to share your screen. Click the Present button, and then choose whether to share the entire screen or maybe just a program in a window. Now I have another window set up here. I'm going to choose Window, and then this Cost Projections program is running in another browser window. Click that and choose Share. And now everyone who's in the meeting can see that screen. I can't see it here, so I'm going to Alt + Tab over to it, and there it is.
Now everyone in this meeting can now see what I'm doing here. So I can click, I can type in new numbers, I could give an online presentation right now, and we're all together so we all experience it at the same time. When you're done sharing click the Stop Sharing button, and then you can return to the window, be at the meeting, and say, "You know we're done. "Thank you for joining me, bye" And click the End Meeting button. To schedule a meeting, visit Calendar on the web.
That's https://calendar.google.com and it's the topic of another movie in this course. Now in G Suite you can schedule an event and a digital meeting at the same time. Your account must have permission to set a group meeting. So here I'm using Google Calendar and I'm going to click on the approximate time I want to set the digital meeting using Google Meet. Click Edit Event and then fill in the event details as you would for any event. Confirm the time and click to add video meeting details.
Now, you don't see anything yet. That information is going to be set once you save the event. And ensure that you choose the proper calendar. As I explain in another movie, everyone who's a member of a calendar category will automatically see that event, get the notification, and be able to click on the link to join the meeting at that time. Click Save to create the event. Now the event and the Google Meet digital meeting is set up. To confirm it, open the event again and there it is. This is the event's address and the access code.
And again, everyone who's a member of this calendar group receives the invite and sees the event. So the meeting is all scheduled; it's ready to go. Online meetings can also be scheduled by using the classic Hangouts app. It works similarly to Meet, but without the scheduling features. Hangout also offers online typing and voice chat. So if you don't have a G Suite subscription, Hangouts makes a good substitute for holding an online meeting.
