Personalize and customize lists

- [Instructor] Lists can be configured so that they show important information to users without requiring them to click into the individual record to pull up all the details. This list for instance shows all the open problems. We see the default list view. Let's try to improve this view by adding a column to show the urgency of each of these open problems. This way we can quickly figure out what we should work on first. First we click on the gear icon, which is located underneath the filter icon. A dialog window opens and shows both available and selected fields. To add the priority field, we first find it in the available list, double click, and it gets added to the selected list. You'll notice that when it gets added, it gets added to the very bottom of the list. I don't like this, and I want to make the urgency column the second thing that I see. I can do this by clicking the up and down arrows to move priority to the correct location on the selected list. I then click okay to save my changes. You'll now see that priority is shown in the second column, and I'm starting to like the way that my list looks. You can tell when you're in a personalized view because a small dot appears next to the gear icon. You can always reset this view back to the defaults by clicking on the gear icon and choosing reset to column defaults. The dot on the gear disappears, and now I'm back to my default view. That's great for me as a single user, but let's say I want to make a change that affects everyone. Perhaps there's a specific order in which work should be done and shown to the team. As an administrator, or one with sufficient access rights, you can change the default view for others. To do this, you first right click any area of the table header, scroll down to configure, and choose list layout. A small screen, similar to the personalized screen appears with available and selected fields, except this time, you have more options to choose from in the available field. These green options with a plus sign besides them are other tables, and when using the configure option, you can select fields from those tables to display if you wish. In order to do this, you highlight one of the green plus options, then click on the relationships icon to expand the table's schema. You can see I've done this now for the Assigned To table. Now the selected list box is showing me everything that exists in the Assigned To table, and if I like, I can double click to move that item to the selected view. I can return to the default problem fields or any other level within the database schema by clicking on the blue text. Let's go back to the problem fields. Finally, I want to make my change, which was adding the urgency field to the default view and ensure that its shown where I like it, which is second on the list. I'm going to do that now. Before I click save, I want to double check the list view name, and I see here that it's set to the default view, which means it'll change the default view for everyone. Instead of changing only the default view, I can also make this change to other views that have been defined in the system, and I can see those in the drop down menu besides view name. I can even create an entirely new view if I'd like. This is helpful if I wanted my system-wide change to only affect the mobile view for instance. For now, I'm going to leave this set to default view and click save. Great, the urgency field is located on the list, and it's second in the row for everyone. This change will be applied to all users in their default view. If any users have their own personalized view, the change will not apply to them unless they first reset their individual view back to the columns defaults first. As we mentioned previously, this can be done inside the gear icon.
