- [Instructor] If you have a list of data that you want to group and summarize, you can create an outline of up to eight levels, one for each group. You can also calculate all of your data with totals and subtotals. After watching this video you'll know how to apply subtotals and totals to your data, and how to group and ungroup columns and rows. Let's take a look at our group total workbook and we'll start with the 2018-2019 Sales. Now notice that the information for 2018 is all sorted by quarter, and that's really important. The column that you want to create your subtotals on or your grouping on, you want to make sure that everything is sorted and in order. So with this selected, I can go to my Data tab over to the Outline group, I'm going to use Subtotal. Now it's saying that it found a row of data immediately above the table.
