- [Instructor] Now that we have Sync set up, we can set our Sales Navigator CRM settings. Click Change. Notice, if I wanted to disconnect CRM Sync, I can and I don't need to go through the entire installation process to reconnect. This is simply saying I don't want to be connected for a while and there are various reasons you might want to do that. View Details will give you some information about the last time you synced, how many accounts, contacts, and leads were automatically connected, and how many were added the record owners saved list, or suggested list here in Sales Navigator.
Next, we have the question, do we want to auto sync all seat holders automatically with the CRM? Unless you have a compelling reason to individualize your sync changes, I would leave the default of Yes here. And then the second section is about something called Write-Back. Do we want to send information from Sales Navigator over to Microsoft Dynamics? And the reason to do this is to make it easier for our users to be able to see information about notes, messages, and In-Mails that they created in Sales Navigator.
You can either Sync Back All Data Items or you can choose the data items you specifically wish to sync, for example, perhaps you don't want emails, In-Mails, or messages, but you do want notes. So, you can make individual choices here as well. The default, however, is that if you're going to sync, you're going to sync all your data items. This is actually creating then our two-way synchronization because we're already receiving information that's coming from Microsoft Dynamics. This is then going to send these data elements back in the other direction.
Let's close this. If you want to be able to have individual sync preferences after setting up your CRM Sync, go to Admin, Seat Management, and you can choose individual users and turn their CRM Sync on or off, if you wish. You might look at a particular user and notice that Sync isn't set up for them. For example, if I click on Simon to enable CRM Sync, there's a reason that he wasn't automatically set up and that is that there is no user with the same email address on the CRM.
Simon has more than one email address and I need to have the same email address in Microsoft Dynamics as I have here in Sales Navigator, because that's how the matching is done for assigning seats and for connecting to the CRM. If I'm the administrator for Sales Navigator, it's probably easiest to add an address here for Simon to ensure that I can set up synchronization for Simon's account back to Microsoft Dynamics. The Write-Back experience that we set up in administrative settings is not instantaneous.
Write-Back typically is done once a day and your users will have some choice about whether they want to copy all of their In-Mails, messages, and notes to Dynamics or not.
