Preparing to deliver feedback effectively

- It's one thing to understand that feedback is important. But to be most effective you need to spend just a little time preparing to deliver feedback. It only takes a moment or two and the payoff is crystal clear communication. Unfortunately, people typically don't take time to plan because they assume they know exactly what to say. Or they're too stressed to plan out their thoughts and just feel like right now is the very best time to give feedback. Maybe half the time this is a reasonable process but usually taking a moment to organize your thoughts is the smart move. Find a few minutes alone, in a quiet space, and start by simply stating the behavior. Write it down. What is the action or characteristic that prompted you to want to give the person feedback? Be clear, be brief, and be very specific. No generalizations and no innuendo. Next, clearly state your reaction. Why is it potentially unproductive and worthy of discussion? Make some notes.
