- [Instructor] One of the most powerful, yet least known features in Visio is the ability to store data in shapes. The key to leveraging data in a diagram is to open the Shape Data window, which you do by right clicking any shape, choosing Data, and then Shape Data. Users of Visio Professional and Visio Plan 2 can also take advantage of the Data tab, and use the Shape Data Window checkbox to open and close the window. The first time you open the Shape Data window, it will probably be floating over the diagram as you see on the screen. You can move it wherever you'd like by clicking and dragging the header, and can resize by dragging the edges. For an alternative that doesn't hide part of the diagram, dock the window by dragging the header to one of the four edges of the main drawing window.
