- Storing scanned information requires a number of different tools. Creating a plan for implementing and using these tools is essential to a smooth transition to paperless. Let's talk about the most popular virtual storage tools available and how to use them for your data. For scanned copies of paperwork, there are many more options available. These options depend on both the document type, as well as how you need to be able to access the information. To determine where to store a virtual file, ask these questions. Do I need access when I'm away from my computer? Does this paper need extra security? Do I need to be able to edit this document? Is this a scan, an email, or am I typing information in? Is this a photo or image file, a PDF, or another file type? Do I need to be able to share this document frequently?
