- As administrative support professionals, many of us have our favorite tools that we use on a daily basis to make our lives easier and to increase our productivity. I have found a few job aids that I have used consistently throughout my career. They are the pieces of office technology or equipment that saves me time, helps me be more organized, and increases my productivity. If you have the ability and budget to upgrade your equipment, or add new items, I could encourage you to try some of these out. Here are some technology tools that I find extremely helpful in my day to day work life. Two monitors on your desktop computer. I am currently working in a PC environment at work. The two monitors allow for me to multi-task between various internal systems and software packages much easier than one screen. When using one screen, I have to have multiple tabs open and toggle back and forth. When I use the dual monitors, I can have systems up simultaneously, share data between applications more easily, and when I need to make comparison between programs or documents, the dual monitors makes it much more straightforward. LabelWriter. This is an organizing must-have. This small machine allows me to make labels for file folders, envelopes, or anything you would normally use a label for without having to use a label sheet that has to be formatted in a word processing software and printed on your desktop printer. That can be cumbersome and time consuming. The desktop LabelWriter allows me to save frequently-used labels and addresses, and insert graphics or logos. The LabelWriter comes with its own software and is easily installed on your computer. The labels that are used can be obtained easily from several retailers. A digital voice recorder, or the voice memos app on my iPhone. As part of my current job responsibilities, I have to take and publish a variety of meeting minutes. To do this effectively, I often record the conversation for which I will later transcribe into notes or minutes. I always ensure I have permission from the attendees before recording, and I delete all recordings according to established guidelines after I'm done. It has been fascinating to watch technology tools evolve. I am happy to say that over the last 30 years, I have seen our profession evolve in very beneficial ways. We need to continue to remain current with our training and our willingness to adapt to new technological tools that make lives easier and more productive.
