- The first step in planning an event is to contemplate its purpose. What do you need to accomplish? Once you've had a chance to determine the purpose and generate some great ideas, the next step is to look at your budget. In most cases, there are four elements of an event that will account for the majority of your budget. They are venue, travel, catering, and technology. I'm going to touch on each of these elements and explain a few key points that will help you know what to expect as you get into budgeting for your event. Number one is venue. Selecting a venue is one of the most important elements of an event, so it's no wonder that it's often the most expensive too. Venue costs will include fees for a facility and room rental and, in some cases, additional amenities, like parking and Wi-Fi.
