Before you assign bookings to your staff, or let customers choose staff when booking an appointment, you'll want to ensure staff members have have scheduled any time off. In this video, you will know how to set time off for individual staff members as well as closures for the entire business.
- [Instructor] Once you've added your staff, and set up their working hours, you'll also want to consider time off. If staff are going to be on vacation, for example, you don't want them getting booked for appointments, either by you, or by customers. The other thing to consider, is, a complete shut down, or closure. Perhaps the clinic's going to be closed over Thanksgiving, and you don't want customers booking appointments, in that period. Well, all we have to do, is set our time off, for individuals, and the entire clinic, by going to the calendar.
Let's go over to Calendar, here, on the left, and give it a click. Now, we haven't seen the calendar yet. What you're going to see is the current date, across the top, on the left. You'll see your staff members, and their color codes, across the top. You can change what you're looking at: Day, Work week, entire Week, Month, et cetera. And, you can always get back to Today, by clicking Today. Now, looking at the calendar, nothing's been booked yet, we haven't allowed it. And, before we do that, we want to make sure that our staff have their time booked off.
And, if the clinic's going to be closed, we want it to show up as a closure, as well. So, let's go to Time off. Next, we fill in the details, here, on the left hand side. So, let's say Dr. Cally Reynolds has vacation coming up, next week. Well, we'll type it in as vacation. Next, we'll choose the start and end dates. So, next week, starting on Monday. And, it's going to go all the way through, to the end of the week, which is actually the first of the next month.
I'm including Saturdays, because the clinic's sometimes open on Saturdays. These will be All Day Events, on those days, of vacation. And, over here, on the right hand side, now, is where we select the person who's going to be off, on vacation, for those dates. Dr. Cally Reynolds. You can see the check mark. Maybe Germaine Green's going to be off the exact same week. We could select that person as well, and do two at the same time. Or three. Anyone who's actually going to be here, working, should not have a check mark.
We can select them, again, to remove the check mark. So, it's just Dr. Cally Reynolds who's going to be off next week. All we have to do, now, is save those changes. So, we can do that, now, if we go to next week, by using the arrows, up here, in the top left corner. Checking out the next week, you can see Dr. Cally Reynolds, the veterinarian, is off on vacation, for that entire week. To book the entire clinic off, it's much the same procedure. We go to Time off. Let's change it to Closed, how about, for the holidays.
And, select the start and end dates. Now, clicking the drop down for the start date, we can navigate ahead, in time. I'm going to go to November. Select the 24th. And, for the end date, I'm going to select, all the way to the 27th, including Sunday, even though we don't work on Sundays. And, in this case, it's going to be the Thanksgiving holidays. We could be specific about that, or, closed for the holidays, whatever you liked. All we have to do, now, to make sure the entire clinic is closed, is to select everybody.
With every one of our staff members selected, it's the same as a clinic closure, in this case. So, when we click Save, our customers will not be able to book appointments, on those days, with anybody. Let's go ahead, to that date. We can use the navigation arrows, to go ahead. Or, click the drop down, to select a specific month. There we go. November. And, select a specific week. You can see: Closed for the Holidays six staff members, right through the 27th.
So, that's how you book time off, not just for individual staff members, but for the entire organization, by selecting everyone. And, that way, your customers aren't going to be booking appointments with people, who aren't going to be there.
