Schedule a new booking for a customer

- [Instructor] Well, once you published your page and sent out a link to your customers, they're ready to start booking appointments, even staff, if you've set it up that way. But in the meantime, you may still be getting customers who come to you to book an appointment. Maybe they phone it in or show up in person. That can still be done, you can book for your customers, and that's what we're going to do in this movie. We start by going to the calendar, click the calendar over here in the navigation pane on the left, and I have the monthly view selected right now, nice overhead of who's available, who's not available and when. Now, to book an actual booking for a customer, we can go to the top and click new booking. Notice the drop down arrow. This is where we get a list of all the services we've added. So if someone named Sue is calling in for a standard massage, we can select it from here, opens up this new window, where we can add the customer's name. Her name is Sue Allen. Notice that she's not found in our list of customers. At the very beginning, you may not have any in your customer list. They can be imported. They'll get added automatically when they book appointments. We'll talk more about adding customers a little later on. Right now, let's just book one for Sue Allen. So you can hit your tab key to lock her in. The customer email, we'll click in that field and type it in ourselves. Sueallen2020@gmail.com. And if we wanted to, we have an optional phone number, address, and customer notes fields. I'm going to leave all three of these empty for now. We can always come back and update this information. We may not need to if Sue Allen, moving forward, starts booking her own appointments online. For now, though, let's choose who's going to give this massage. Maybe it's going to be our spa therapist or one other registered massage therapist. I'm going to go with Mark Tristener over here. Notice the check mark next to his name. Down below, you can see that the customer's going to get an email confirmation unless we choose not to. I think they should. Let the customer manage their booking, so going forward, if they need to cancel or reschedule, they can do it themselves. I like that. And if we wanted to, we could actually send a meeting invitation to the customer, as well as the email confirming their appointment. That way it can go into their calendar as well. I don't mind that. Let's select that check box. Down below, the service details now, already has standard massage in there. It's a matter of choosing the date and the time now. So when we click the calendar drop-down, let's say we wanted to try for next week on the Wednesday, and let's choose the time, right at lunch. And we want a full hour, so the end time will be one. It's not an all day event. Because we're in here as the administrator, Phyllis, we can adjust buffer time if we wanted to. Just keep in mind, customers, when they go to book their appointments, won't be able to make any adjustments to that. So there you can see the remaining information, the price, for example. All we have to do now is send this out. Now you'll notice right away that when we chose the date and time, certain things started to show up. Like some of these people are off. Some have no conflicts, like Mark Tristener. We were lucky there. Some are just busy. You can see from their personal calendars. So for example, people might want to book their lunch hours in their own personal calendars. We'll talk about how we can make adjustments to that from our end here in Bookings as well. Right now, everything seems to work fine, so we'll click send, and when we do, we're booking this in the calendar, you can see the standard massage, the color code for Mark Tristener, and if we wanted to, we could zoom into this day, taking a look at the day itself. So let's move from the drop-down to a specific day, and you can see everything that's going on. It's like a standard spa here. Sandra massage, notice the busy time for Mark Tristener is a little more than the actual appointment. That's because of the buffer time. So while we're waiting for our customers to go in and book their own appointments and assign their own staff, we can be doing it for them. Notice a little reminder that pops up for staff as well as for the customer, and all of those options mean we can stay on top of what's going on with our customers and our staff and our Bookings calendar.
