Before preparing any reports, let's go and view the reporting preferences. MYOB AccountRight has eight types of preferences that can be set in a data file, to reflect the way a business would like to use the software. When a data file is first opened, some preferences are already set. However, these can be changed. By setting preferences in the data file, certain reminders, actions, and warnings happen. To set the preferences in your company data file, go to Setup on the Menu bar and come down to Preferences.
We have System, Windows, Reports and Forms. Banking, sales, purchases, inventory and security. Let's first have a look at the security tab. In all the preference tabs there are two preference types; system wide and user specific. System-wide preferences affect all users who log into the data file. User's specific preferences only affect the current user of the data file.
Preferences are marked or cleared by clicking in the checkbox. We will clear the checkbox beside the prompt for a session report when closing. A session report can be very long, as it shows every action recorded by any operator during the time that they were logged on. There were two very important security preferrences to highlight here. The first is, transactions cannot be changed, they must be reversed. This means that if we save or record a transaction. And then realize a mistake has happened we cannot change it.
The opposite or a reverse will need to be entered. The second is the one below it. Lock periods, Disallow Entries, Prior To and a particular date. No transactions can be added prior to this date. A great reason to use this preference is when the business wants to close a month or a quarter. And prevent additional entries being recorded. Let's now take a look at the Reports and Forms tab. The first option allows us to specify the aging period we wish to use on our Accounts Receivable and Payable Reports.
For reporting, we'll keep the preference Aging. Using Daily Ageing Periods or System-wide. Let's also keep the preferences for the currency symbols in reports and forms and it's useful to also switch on always display report customization option before printing reports. This insures that the report customization window appears when a report is displayed from the index to reports window. Specific report requirements and filters are set up through the report customization window.
We can always customize the font style, size and colors used in reports by clicking onto the Reports Icon in the bottom left hand corner of the screen if we choose. We will leave the default settings in our reports. Click OK to return to the main command center.
