In WordPerfect Office X4 Essential Training, instructor David Rivers demonstrates the new and important features in each of the suite's applications. WordPerfect itself is explored in depth, with a focus on the flexibility and compatibility improvements in this version. David pays particular attention to working with long documents, understanding legal features, and sharing files with users of other office software. He explores the suite's other applications in equal depth: Quattro Pro, for creating spreadsheets; Presentations, for making slideshows; Visual Intelligence, for analyzing and presenting data; Lightning, for taking web-connected notes; MAIL; online services; and more. In the previous lesson we set up our folder structure here in WordPerfect Lightning and now it's time to start filling up those folders with content. So to follow along in this lesson you will need these folders created over here in WordPerfect Lightning. You can see we've got Documents, we've got Notes and the Notes folder is broken up into two sub-folders, we've got Business and Personal. We've also got a folder here for Images. So the first way to fill up one of these folders is to create a new note from scratch. You'll notice also I've got my Lesson29 folder opened up here in Windows Explorer because we've got different kinds of documents here that we can bring into WordPerfect Lightning, we'll do that momentarily.
Right now though I am going to go to Notes and then I am going to click on the Business folder because that's where I want to create my new Note. To do that I go up to the New Note button. Notice there is a dropdown and if I click that I see New Word Processor Document as well. If I choose New Note it's going to be created in the Business folder; if I choose New Word Processor Document I am going to have an opportunity to choose which Word Processor I want to launch WordPerfect or Word if I've got it installed, and then start creating a document there. So this is really just a shortcut to that application, I would save my changes, choose a location then I'd have to drag that document into the appropriate folder here in Lightning.
So I am going to click on New Note. Now right away Lightning Notes opens up here, you can see it's an untitled note, and it appears right here under my Business folder, untitled note. Notice also there is an icon here of a notebook kind of looking icon and then there is a literally square in the top right corner and that tells me that it's open and I am currently working on it. Inside Lightning Notes I've got some buttons for creating new notes exporting, printing, taking snapshots, I can send this note directly from here via email if I want it too or to a Word Processor, I can access the note properties, and then I've got this Formatting toolbar to allow me to spice-up my note a little bit by changing the font, the size, the color.
I can change Attributes like Bold, Italics, Underline and Justification, I can even created numbered and bulleted list here and then I've got a couple of buttons to help me create those lists. So let's type in some text here. Now the very first line that I type will become the name of this note, and of course, we can rename our notes, but I am going to type in the actual title for this note which is, Conference 2008 - Agenda, there we go, I think we have entered twice and you can see that becomes the name of my note here, Conference 2008 - Agenda. I am going to type in Day 1 and I am going to hit Enter once and now I am going to start my bulleted list.
So I am going to use this bulleted list button up here, give it a click and there is bullet number one, so I am going to type in Ice Breaker. And when I hit Enter I get a new bullet automatically because bullets are turned On. Next after the Ice Breaker we'll have the Keynote Address, then we'll have Speaker #1; each time I hit Enter I get a new bullet, we'll have a break, we go Speaker #2, and then we'll break for Lunch.
Maybe that's all we know for now, when I hit Enter the next bullet shows up, if I want to turn bullets Off I go to the same button that turned it On to turn them Off, and I can continue with this list at a later time. There is nothing for me to save here, I just close this up and it's automatically saved here in my Business folder as a New Note called Conference 2008 - Agenda. And if I need to get back to it I just double-click it to open it back up in Lightning Notes. Maybe I want to change some formatting here, Conference 2008, I'll click-and-drag over that, maybe change the size up to 14, maybe bold that, maybe underline it as well and change the font color by clicking the Color button to something a little bit more colorful, there, that look good.
Day 1 over here, I am just going to highlight it and bold it, there we go. So there I've made a few changes again, I don't need to save it, everything saved automatically when I close the note it's now sitting in my Business folder with those changes, simple is that. Now another way to get content into your folders is to go find the file and just bring them in and when you do that you are not actually moving your folders, you are taking a copy and putting into lightning where they are all organized and easily accessible. So I've got some documents here like this Company Overview which a Word document, you can see it's a Microsoft Office Word document.
I am going to click-and-drag Company Overview into my Documents folder and when I release, now I have the document in the Documents folder. Here's another one, Hello from Hawaii, it's a WordPerfect document, I am going to click-and-drag it into Documents, as soon as I see Documents get highlighted here I release. Now I've got two documents in there. There is a LearningGuide is a PDF file, can I bring that one over? You bet! Bring it over to Documents and release, and it show up here at the bottom of my list. This one is a JPEG MauiFromDeck, you can see JPEG image, so it's an image, I think that really belongs in the Images folder.
So I'll drag it to Images release, and there we go. So now I've got my documents, notes and images all brought over into my personal notebook, and when it's time for me to share these with others there are a couple of options and I am going to close up my Lesson29 folder, I am done with that. If I want to share this image for example, I can go down to this little Send to button, by default it's going to sent it to a Word Processor, I would choose Word or WordPerfect, but if I click the dropdown I can go right to a mail recipient.
Clicking Send to Mail Recipient launches my default email application with a new email message created for me with the image right in there, you can see it's fairly large image but it fills up my message. And, all I have to do now is choose who I am sending it to, and send it off, simple is that. I am going to Close it up and return back to WordPerfect Lightning. There is one other way to create a brand new note and that is from a Snapshot, and that's what we are going to do right now using our Browser.
So I am going to go down to my Start button, my Browser is Internet Explorer, I am going to launch that, I am going to size this Window up a little bit, so I could see more of it. And in the Address I am just going to type lynda.com, there we go, and maybe there is a section of this web page that I'd like to capture into a new note. So when I do that let's say this Online Training Library section would be handy in a note. All I have to do is come over to Lightning and clicked on my Snapshot button. When I click the dropdown button you noticed that the Snapshot that I am about to take can go into a new note, it could go into WordPerfect which would start a new document or it could go to the Clipboard waiting to be pasted in a new note or in some other document.
So I want to create a new note right from the snapshot. When I click this Lightning disappears momentarily and my mouse pointer has changed into this cross hair with some instructions attached to it indicating I need to click-and-drag across the area I want to take a snapshot of, and we know, it's going to go into a brand new note. So I want to get this whole area here, I am going want to go above the top line and far enough left that I am going to capture this whole box here including around the corners, and when I've got the one I am looking for, I release. There is a snapshot taken, a new note is created.
Now I just happened to be in my Images folder when I created the new note, but that's OK, you can see that this is an Image that I can size if I want it to, move it around in my document I am going to keep it back at the original size where it is a little bit easier to read that way, when I am done, I just close it up. Of course, I could start adding text and so on to this. I am going to close that up and close up my Browser, and notice that it's an untitled note because I don't have any text in there. If I click on this note I could rename this by right-clicking on the untitled note and choosing Rename.
So in here I am going to talk about lynda.com Training, there we go. That becomes the new name of my note and it really doesn't belong in Images even though it is a snapshot, so I am going to drag it into my Business notes by highlighting Business I'll click-and-drag until Business is highlighted and when I let go I just moved it into another folder. So there you go, pretty easy to create new notes, a couple of different ways and drag different types of files into WordPerfect Lightning so they are organized and easily accessible.
You can even share quite easily with WordPerfect Lightning. In the next lesson we're going to show you how you can actually view all these different kinds of documents right from within WordPerfect Lightning.
