1. Getting StartedWhat is Visio 2013?| 00:00 | If you're already familiar with earlier
versions of Visio, you can probably
| | 00:03 | skip this movie, because we're simply going to
examine what Visio is and what it can be used for.
| | 00:10 | In the simplest of definitions, Visio is a software
program for creating professional diagrams.
| | 00:16 | With Visio 2013, Microsoft has made it
more pleasant, faster and easier than
| | 00:22 | ever to create attractive and a wide
range of professional looking diagrams.
| | 00:27 | The secret to awesome looking diagrams
in Visio 2013 is the integration of the
| | 00:31 | same rendering engine used in
PowerPoint, so all those cool effects and UI
| | 00:36 | features you're familiar with in PowerPoint,
are now found in Visio, too.
| | 00:40 | So what kinds of diagrams would one
create using an application like Visio 2013?
| | 00:45 | Well, the list is actually quite extensive.
| | 00:48 | The most popular diagram created with
Visio is the organizational chart, and with
| | 00:53 | so many templates built into Visio to
help you get started, you'll have no
| | 00:57 | trouble creating stunning looking org charts.
| | 00:59 | Then the list goes on from basic
diagrams to anything you can imagine.
| | 01:04 | For example, you might want to create
basic to cross-functional flowcharts or
| | 01:10 | basic to detailed network diagrams.
With Visio 2013, you can great floor plans
| | 01:16 | and home plans, how about electrical
diagrams, brainstorming diagrams and you
| | 01:21 | can even create database, SharePoint,
Audit, and a whole bunch of other types of
| | 01:25 | diagrams using Visio 2013.
| | 01:28 | And the best thing about Visio 2013
is you'll spend less time and effort
| | 01:32 | creating all these wonderful diagrams,
thanks to a number of improvements made
| | 01:35 | to the program, many based on customer feedback.
| | 01:39 | Now Visio 2013 is available
in three different versions.
| | 01:43 | Microsoft Visio Standard 2013 is
designed for people looking for a powerful
| | 01:48 | diagramming platform with a
rich set of built-in stencils.
| | 01:52 | Visio Professional 2013, on the other
hand, has all the features a Standard 2013,
| | 01:57 | but also comes with updated Shapes
and Templates, enhanced support for team
| | 02:02 | collaboration, so more than one person can be
working on the same diagram at the same time.
| | 02:07 | And the ability to link diagrams to data,
which displays changes in real time.
| | 02:14 | Then there is Visio Pro for Office 365,
and it's going to be available via a
| | 02:18 | subscription through Office 365, and
it comes with the same features found in
| | 02:23 | Professional 2013 and Visio on-demand.
| | 02:26 | Visio Pro for Office 365 can be installed on
up to five PCs running Windows 7 or Windows 8.
| | 02:33 | Now as you follow along with me in this
title, I'll be using Visio 2013 Professional.
| | 02:38 | So this should be a good idea of what
Visio is and what it can be used for.
| | 02:42 | Visio 2013 comes with a number of
new and enhanced features to make
| | 02:45 | diagramming faster and easier than ever
and we will explore those features in the next movie.

| What's new in Visio 2013?| 00:00 | As I mentioned earlier, Visio 2013 comes
packed with a number of new or enhanced
| | 00:04 | features to help you create the
most polished and professional diagrams
| | 00:08 | possible, faster and with
greater ease than ever before.
| | 00:12 | So here's a list of new or improved
features, which we will be sure to cover as
| | 00:16 | we move through the
various chapters in this title.
| | 00:19 | The very first change you'll
notice is to the User Interface.
| | 00:22 | In Visio 2013 you get that same new
interface found across the other programs in
| | 00:26 | Microsoft Office 2013.
| | 00:29 | It's clean, it's flat and very easy to
navigate once you get the feel.
| | 00:34 | There are a whole slew of new templates
to choose from in Visio 2013 as well,
| | 00:38 | many with built-in wizards to help you get
up and running quickly with your new diagrams.
| | 00:43 | And as part of these new templates
you'll notice improved Containers and
| | 00:45 | Callouts as well, that make it easy to
apply themes and effects for fast and
| | 00:49 | easy formatting. Adding images
to an org chart, just got easier too.
| | 00:53 | If you have the images you want to
display inside org chart containers, it's
| | 00:57 | very simple now to simply add them
without a lot of fuss in formatting.
| | 01:01 | When it comes to working shapes,
Visio 2013 now makes it simple to change
| | 01:06 | your mind when you need to replace a
shape you've already added to a diagram
| | 01:10 | with another shape.
| | 01:11 | All formatting and connections remain in
place, so all you need to do is click a
| | 01:16 | button and select the replacement shape.
| | 01:18 | And if you're looking for that ideal
shape, improved search functionality means
| | 01:22 | you'll spend less time looking for that
shape, thanks to new keywords that bring
| | 01:25 | on better and faster results.
| | 01:27 | Another nice improvement found in
Visio 2013 is the ability to duplicate a
| | 01:32 | page, by creating an exact duplicate of
a page containing any diagram, you now
| | 01:37 | have the ability to quickly create variations
or versions of a diagram faster than ever before.
| | 01:44 | In Visio Professional 2013, you'll be
able to connect your diagrams to external
| | 01:48 | data sources and see real-time updates to your
diagram, when the data changes at the source.
| | 01:54 | And collaborating just got easier too,
by sharing a diagram in a location such
| | 01:58 | as a SharePoint site for example;
| | 02:00 | more than one person can be working on the
same diagram at the same time. How convenient.
| | 02:06 | These are just some of the newer
enhanced features in Visio 2013. Follow along
| | 02:10 | with me in the upcoming movies to see
them in action, as we continue to get
| | 02:14 | Up and Running with Visio 2013.

| Touring the Visio 2013 interface| 00:00 | It's time now to launch Visio 2013 and
get comfortable in our new environment,
| | 00:04 | so we'll take a tour of the User Interface.
| | 00:06 | First step of course is to launch the program.
| | 00:09 | Here in Windows 8, a tile is created by
default when Visio is installed right on
| | 00:14 | the Start screen and one
click of this tile will launch it.
| | 00:17 | If you're in Windows 7, you might see
an icon on your Desktop, a shortcut to
| | 00:21 | launch the program or you could go to
your Windows Start button; go to All
| | 00:26 | programs, and then in the
Microsoft section you'll find Visio.
| | 00:29 | Regardless of your operating system,
when you launch the program, and I'm going
| | 00:34 | to click my tile once here for Visio 2013.
| | 00:36 | We're taken to this old Desktop
environment, even in Windows 8.
| | 00:40 | So we're working in the same environment,
and everybody is seeing the same thing
| | 00:44 | when they launch Visio 2013.
| | 00:46 | And it's the Start screen with a list
of recently worked on drawings. I don't
| | 00:51 | have any, this is my first time. A link
to open any other drawings, so you can
| | 00:56 | navigate through your computer and
devices, including networks to locate
| | 01:00 | drawings, and open them up from here.
| | 01:03 | Or we could go to the right side of
our screen and create New Drawings.
| | 01:07 | And you'll notice a list of featured
templates to choose from, to help you get
| | 01:10 | started with different types of drawings.
| | 01:13 | So if want to do an audit type flowchart,
rack diagrams, network diagrams, all
| | 01:18 | the way up to basic as well, you'll see those options.
| | 01:21 | Including what we're going to select
momentarily, our blank drawing.
| | 01:25 | Now if you wanted to narrow down your
search, you're not interested in any
| | 01:29 | of these featured templates, you'll notice
Suggested searches include different categories.
| | 01:34 | So if you're more concerned about Floor
Plans, you could go to Floor Plans here,
| | 01:38 | it actually starts a new search
with the keywords Floor Plans.
| | 01:41 | And you'll see different set of templates
here all related to different types of
| | 01:45 | Floor Plans, could be for Home,
Office, HVAC, Print Layouts etc.
| | 01:51 | You also have the Categories over here in the
right-hand side to narrow it down even further.
| | 01:55 | And in some cases when you select
these categories, you won't find any
| | 01:59 | Visio templates, but you might be directed
to other templates for other office programs.
| | 02:05 | For example if we choose Media, notice
there aren't any for Visio, but there is
| | 02:10 | one for Word and one for PowerPoint.
| | 02:12 | At anytime we can go back by clicking
this Home button and start over.
| | 02:16 | We can choose another Category or
we can type in our own keywords.
| | 02:20 | Let's say we're looking for organization
charts; type in organization, press
| | 02:26 | Enter and it looks like there's one to
help us to get started here in Visio, a
| | 02:31 | number of other templates in the
other apps in the Office Suite.
| | 02:35 | Let's hit Home again to go back.
| | 02:36 | We're going to select blank drawing and
from here you'll notice we get to choose
| | 02:40 | the units of measure, Metric or US, and click Create.
| | 02:44 | If we want to navigate some of the other
featured templates, we could use these
| | 02:48 | navigation buttons to go back and forth through them.
| | 02:51 | But it is blank drawing that we want. So we'll make
sure it's selected with US units and click Create.
| | 02:57 | And this creates your first drawing and
it is indeed a blank drawing, you get a
| | 03:01 | blank page, a blank canvas to work on,
which means you can start any type of
| | 03:05 | diagram you want to create.
| | 03:07 | But we're just going to tour the User
Interface, because it does look a little
| | 03:11 | bit different from previous versions of Visio.
| | 03:13 | First of all across the top we do have
our Quick Access toolbar, it gives you
| | 03:16 | access to frequently used commands
like Save, Undo and Redo, but we can
| | 03:21 | customize this to add the commands we use most often.
| | 03:24 | We'll do that in an upcoming movie.
| | 03:26 | You'll also see the name of your drawing,
if haven't saved it, it's just drawing and a number.
| | 03:31 | And you'll see Visio either Standard or Professional
up here depending on the version you're using.
| | 03:36 | And then on the far right-hand corner
at the top, a Help button, Minimize,
| | 03:41 | Restore and here's where we
go to close Visio altogether.
| | 03:44 | You'll also see Account Information, if
you're in Windows 8 and already logged
| | 03:48 | in to your Microsoft account,
you'll be logged in here in Visio.
| | 03:51 | You can go here to login to your account.
Clicking the drop-down gives you some
| | 03:55 | information about your account, Account
settings, and you could even switch to
| | 04:00 | other accounts, if you're sharing a computer.
| | 04:02 | Next we have a number of tabs representing different
ribbons and our Backstage view, the File tab.
| | 04:09 | If we click File, here's where we go to
do things like Create New Drawings, Open
| | 04:14 | existing drawings, Save, Print, here is
Close to close up the drawing we might
| | 04:19 | be working on, Access our Account and other options,
which we'll talk about later on in this title as well.
| | 04:25 | This is Backstage view and you can do
number things here, but we can also go
| | 04:29 | back by clicking the back button at the top.
| | 04:31 | Now let's talk about the ribbon,
which is broken up into various tabs.
| | 04:35 | And it's very well-organized, so you don't waste a lot
of time searching for the commands you're looking for.
| | 04:40 | If you need to insert something, you
go to the INSERT tab; when you click
| | 04:44 | INSERT you'll notice different categories on our
ribbon, Pages, Illustrations, Diagram Parts, etcetera.
| | 04:51 | And every ribbon is set up that way.
The HOME ribbon has its own categories,
| | 04:55 | all the font the items are located
in one place on the ribbon, Paragraph
| | 04:59 | Formatting, etcetera.
| | 05:01 | And as we move through these, you'll see we've
different ribbons with different categories.
| | 05:05 | And again, organized, so that it's easy
for you to find what you're looking for.
| | 05:09 | Let's go back to the Home tab.
| | 05:11 | Now you'll also notice down the left-hand
side an area for Shapes and Stencils.
| | 05:15 | With a blank drawing we don't see anything to choose
from, except this option to access More Shapes.
| | 05:20 | Depending on the template you choose,
you'll see related Stencils and Shapes to
| | 05:25 | choose from that help you create your drawings.
| | 05:27 | Across the top we see our Ruler, also
down the left for measuring items that
| | 05:32 | we're going to be drawing in our diagram.
| | 05:34 | We have scrollbars on the right and
across the bottom for scrolling through
| | 05:38 | pages, either horizontally or
vertically, depending on the zoom level.
| | 05:43 | Down at the bottom you'll see the page you're on.
| | 05:45 | You'll see this little guy labeled All,
so if you wanted to, you could access
| | 05:50 | All Pages from here, and then just
simply select the page you want to go to.
| | 05:54 | We also have the ability to Insert a
page from here using the little + sign.
| | 05:58 | So if you want to start a new page,
that's the fastest way to create one.
| | 06:03 | At the bottom we have our Status bar.
You'll see what page you're on, the
| | 06:06 | language you are using, this little icon
for recording macros, and you can begin
| | 06:12 | macro recording right from here.
| | 06:14 | In the bottom right-hand corner we
have a zoom slider, you'll see the current
| | 06:17 | setting and you can move at slider to the right
if you wanted to zoom in, to the left to zoom out.
| | 06:24 | And of course, the further you zoom in,
if we go to say 100% here right in
| | 06:28 | the middle, you'll need your scrollbars to
scroll up and down through your blank drawing.
| | 06:34 | Let's move our zoom slider back, so we can
see the entire page without having to scroll.
| | 06:40 | I'm going to go to 50%, that's good enough.
| | 06:44 | And we also have a couple of other
buttons over here in the right-hand side,
| | 06:47 | this is the fastest way to Fit your Page
to the Current Window and it changes it.
| | 06:51 | As you can see to 45%, and then the last
button over here on the right-hand side
| | 06:55 | allows you to switch windows.
| | 06:57 | So if you're working on multiple diagrams
in separate windows, that's one way to
| | 07:01 | get to those other diagrams.
| | 07:03 | So that's a quick tour of the
User Interface here in Visio 2013.
| | 07:08 | Now that you're feeling comfortable in
your environment, we'll talk about ways
| | 07:11 | that you can customize it to suit
your own needs, that's coming up next.

| Customizig the Ribbon and the Quick Access Toolbar| 00:00 | One thing about the User Interface here
in Visio 2013 is it's quite customizable.
| | 00:05 | So for example, if you don't like viewing
the ribbon and all of the commands and
| | 00:10 | different sections of the ribbon, you
can minimize it, or if you want to add
| | 00:15 | your own buttons to the Quick Access
toolbar for frequently used commands,
| | 00:19 | you have that ability as well.
| | 00:21 | So that's what we're going to talk about here.
| | 00:23 | Really doesn't matter if you have a
drawing open or not, we're still working
| | 00:26 | with a blank drawing we
started in the previous movie.
| | 00:29 | But what we're going to do is start in the very
top left corner with our Quick Access toolbar.
| | 00:33 | Now saving what you're doing is one
of the commands that people use all the time.
| | 00:37 | That's why you see a Save button here
on the Quick Access toolbar.
| | 00:41 | If you make a mistake, Undo is a popular one.
| | 00:44 | And if you go too far, a Redo is also very popular.
| | 00:46 | But this little dropdown arrow allows us to
change what appears on the Quick Access toolbar.
| | 00:51 | By clicking it, you'll see check marks
next to the current commands appearing
| | 00:56 | onthe Quick Access toolbar.
There is Save, Undo and Redo.
| | 00:59 | But if you do for example a lot of printing,
you might want to have Quick Print show up there.
| | 01:04 | Let's add it, and you'll notice the Quick Print
icon shows up as a very last icon,
| | 01:08 | since it was added last.
| | 01:10 | Click the dropdown again and maybe Open
is one that you want up there as well.
| | 01:15 | Click the dropdown again, and then if you
wanted to, maybe you don't like Quick Print,
| | 01:19 | you just want a regular print
where you can choose print options,
| | 01:22 | and you want to rearrange the order.
| | 01:24 | Well in that case, you need to go a
little further down to More Commands.
| | 01:29 | And when you click this, it's a shortcut
for going to the File tab, backstage view,
| | 01:32 | Options and selecting Quick Access toolbar.
| | 01:36 | Now from here by default, Popular
Commands are going to be listed
| | 01:39 | and you can add anyone of them.
| | 01:41 | So for example, if we wanted to, we
could scroll down a little further until we
| | 01:46 | see some print options like Print Page.
| | 01:49 | Well, we don't see the full print option,
because it's not one of the Popular Commands.
| | 01:53 | If we click the dropdown here and
go to All Commands, you'll see an
| | 01:59 | alphabetical listing of even more
commands available to you.
| | 02:02 | In fact, every command available to us.
| | 02:04 | So we could scroll all the way down
into the Ps, and see all of our different
| | 02:08 | print options, and there's the Print icon there.
| | 02:11 | Let's select it and add it.
| | 02:13 | That means we can go to the Print Page
Option that we've added earlier from the
| | 02:17 | dropdown and remove it.
| | 02:20 | And if we want to change the order,
maybe Open should come before Save,
| | 02:24 | we select Open, and then use these little
navigation arrows to bump them up or down the list.
| | 02:30 | I think Print should come after Save as well.
There we go.
| | 02:34 | And when we click OK, we'll see those
changes up here on our Quick Access toolbar.
| | 02:40 | So you can have full control over
what appears on your Quick Access toolbar.
| | 02:44 | There are certain commands you use over
and over, why not go there to add them?
| | 02:48 | Also with you ribbon, it can be customized as well
and you'll see the default set of tabs.
| | 02:53 | Sometimes extra tabs show up,
based on what you're working on.
| | 02:57 | They're context-sensitive, but the
first thing we're going to look at is the
| | 03:02 | ribbon itself, which appears by default
with all of the tabs appearing and all
| | 03:06 | of the sections or categories in the
ribbon and all the commands,
| | 03:10 | and it does take up space at the top.
| | 03:12 | If you prefer to save space for your
diagrams, there is a little button over
| | 03:16 | here on the far right-hand side
that allows you to minimize it.
| | 03:20 | So when you click this, you're
actually minimizing the ribbon.
| | 03:23 | Notice how much more room you have to
work on now, but we do see the tabs for
| | 03:28 | the ribbon across the top, and when we
select them, then the commands rollout.
| | 03:32 | We select our command and when we click the
tab or a command, notice it rolls back up.
| | 03:38 | So it's out of the way and only there
when we need it by clicking one of the tabs.
| | 03:43 | If you want to, go ahead and click one
of the tabs like the Home tab and if you
| | 03:46 | prefer to have all of your commands
visible, you can go back to this bottom
| | 03:50 | right corner now, that little collapsed arrow
has turned into a pushpin that
| | 03:55 | allows us to pin it to our UI.
| | 03:58 | So it stays there and will always
stay there until we decide to change it.
| | 04:02 | And of course, we can
customize the ribbon itself as well.
| | 04:05 | Let's go to the File tab.
| | 04:07 | We'll go down to Options and from here,
there's Quick Access toolbar where we
| | 04:12 | left off last time, but we
can also customize the ribbon.
| | 04:16 | And from here, you'll notice the
various tabs, the main tabs, including some
| | 04:21 | tabs that we don't see until we need them.
| | 04:23 | Those are the context-sensitive
ones, like Stencil and Icon Editor.
| | 04:27 | But we also have all of those commands
that we saw that could be added to the
| | 04:31 | Quick Access toolbar and that can be
added to our own tabs on the ribbon.
| | 04:35 | So for example, if we wanted to
add a new tab, we'll click New Tab.
| | 04:39 | Now all we have to do is give it a name.
You'll notice it's New Tab right here (Custom).
| | 04:44 | If we wanted to, all we have to do
is right-click it and choose Rename.
| | 04:50 | So instead of New Tab, I'm
going to call it Daves and click OK.
| | 04:55 | There's also one New Group created by default
and we can start adding things to that group.
| | 05:00 | So for example, if Delete is one that
we want, we select it over here in the
| | 05:03 | left and add it to the Group.
| | 05:06 | Maybe you also want to add New and Save.
| | 05:11 | So you have all of those
commands you use in one group.
| | 05:13 | This tab can be moved.
| | 05:15 | Let's select the tab we just
created and move it to the end.
| | 05:19 | We'll move it after the View tab.
| | 05:22 | And when we click OK, our
ribbon has now been customized.
| | 05:27 | There's our new tab with our New Group.
| | 05:29 | We could Rename that group.
| | 05:31 | We could Add Additional Groups and
Additional Commands, you have full control.
| | 05:35 | If we right-click the tab, notice that is a
shortcut to get us to Customize the Ribbon.
| | 05:39 | We'll go back to it and I want to
show you one thing down here for
| | 05:42 | customizations, the Reset button.
| | 05:45 | This is actually going to reset not
just any changes you've made to your ribbon
| | 05:49 | and set it back to the default,
but the Quick Access toolbar as well.
| | 05:52 | So we click it and choose Reset all customizations.
| | 05:57 | We have to confirm we meant
to do that by clicking Yes.
| | 06:00 | We'll click OK and check out the ribbon,
we have lost that New tab and our Quick
| | 06:05 | Access toolbar is back where we started.
| | 06:08 | So you have full control over your ribbon.
| | 06:10 | How it appears, also what appears on it,
as well as the Quick Access toolbar.
| | 06:14 | Remember, there are certain commands
that you use over and over, you can add
| | 06:17 | them to your own tab on the ribbon
or even better the Quick Access toolbar,
| | 06:22 | where you'll always be able to
access them quickly when you need it.

| Setting up global preferences| 00:00 | Aside from customizing the Quick Access
toolbar and the Ribbon, like we did
| | 00:04 | in the previous movie, there are a number of
other global settings that can be adjusted as well.
| | 00:09 | We are going to look at a couple
of popular ones right now.
| | 00:12 | To access all of your settings simply go to
the File tab and then down below, click Options.
| | 00:18 | Now from here, you'll see the options
that we've been working with already in
| | 00:22 | previous movies, like customizing the
Quick Access toolbar and the Ribbon.
| | 00:26 | But there are a number of other
settings we can adjust as well.
| | 00:29 | So let's go to General and from here,
you'll see anything that's turned on with
| | 00:33 | a check mark inside the checkbox.
| | 00:36 | For example, a Mini toolbar pops up
when you select Content in a diagram,
| | 00:41 | let's say it's a set of text.
| | 00:44 | Text Formatting pops up in this Mini toolbar.
It's great, except it does take up
| | 00:48 | some of your valuable resources.
| | 00:50 | If you're running short on computer memory
for example, and things are slowing down,
| | 00:54 | you can turn items like Show Mini
toolbar or the Live Preview that shows
| | 00:59 | you what things are going to look
like before you make the selection.
| | 01:03 | Those will conserve valuable resources by
turning them off, same thing for Shapes.
| | 01:08 | I am going to leave all of mine on.
| | 01:10 | I am not too worried about my
computer memory at this point.
| | 01:13 | Also down below, you should know when
you save your diagrams, there are certain
| | 01:17 | data being saved with the diagram;
File Properties including your User name.
| | 01:22 | You will show up as the author of the
diagram and this is the name that will be used.
| | 01:27 | If you don't like adding that information,
you can remove it, change it.

2. Charts and DiagramsCreating diagrams from templates| 00:00 | Creating a new blank diagram from
scratch does give you full flexibility in

blank diagram, the stencils and shapes

well there really aren't any. You need to
| | 00:16 | find your shapes and start building
your diagram and it's a totally custom diagram,

| | 00:23 | If you need to get a specific type of
diagram created quickly with professional
| | 00:28 | looking results, there are a
number of templates to choose from.

create a new diagram based on a template.

the File tab and select New.

templates and as you scroll down the list,

| Importing images into an org chart| 00:00 | One of the cool features of Visio 2013
when working with Org Chart is the

import them to individual squares or to an

going to look at both methods.

in Visio 2013, you're not stuck with the end result.

you've created after the fact. We're going

formatting for our diagram, and the one

Chart we started a couple lessons ago.

| Duplicating pages to create versions of a diagram| 00:00 | When you want to create variations of
the diagram, there is a cool new feature

| | 00:06 | It allows you to duplicate a page, an
entire page, so all of your drawing, any
| | 00:12 | contents therein, and simply make changes
to the duplicate. That's what we're
| | 00:16 | going to do with our Network Diagram
that we've been working on.

you need to get caught up;

your exercise files and open up Network0209.

| | 00:29 | Let's say we have a proposed
network for later on in 2013.

objects, creating a new page and pasting

actually go to the Insert tab, click there.

the lower half for New Pages and you'll

| | 00:50 | So when we click Duplicate This Page,
we're actually on page 2 and down below

flip back to that at any time.

| Using containers and callouts| 00:00 | Containers and callouts can add clarity
to your diagram, so we're going to
| | 00:04 | explore them now using this Org Chart
file called NO_OrgChart_0210.
| | 00:10 | And what we're going to do is begin with containers.
| | 00:13 | They give you a convenient way to visually
group your shapes together, and then
| | 00:17 | easily work with that group after the fact.
| | 00:19 | So let's zoom in, so we can see at the top
we have our CEO and then we have a
| | 00:24 | number of VPs. So we have an executive team.
It might be easier to recognize
| | 00:29 | that team if we put them into a container.
| | 00:32 | The fastest and easiest way to do
that is to select them ahead of time.
| | 00:36 | Now we can click, and Shift+Click each
shape that we want to include
| | 00:41 | or we can use a marquee select.
| | 00:42 | With the Pointer tool selected here,
all I have to do is draw by clicking and
| | 00:46 | dragging a box or a rectangle around the
shapes that we want.
| | 00:50 | Don't worry if you touch part of a shape.
| | 00:52 | The shape has to be totally encompassed
inside our marquee to be selected.
| | 00:57 | So when we release, you'll notice that
each of our shapes, each of our VPs and
| | 01:01 | our CEO are selected.
| | 01:03 | Now it's a matter of choosing the container
we want to place them in, we do that
| | 01:07 | by going to the Insert tab on the ribbon,
and here from the Diagram Part section,
| | 01:11 | click the Container drop-down.
| | 01:14 | Now what's really cool is we can hover
over these to get a real-time preview of
| | 01:18 | what that's going to look like if we make the selection.
| | 01:21 | You can see the waves there, creates a
background, here we have a semi-border
| | 01:26 | around them, all kinds of different ones,
including some new ones here as well.
| | 01:31 | You might like a background, you might
prefer a white background, it's totally up to you.
| | 01:37 | So I'm going to go with one that kind
of goes with the Style of Shape we're
| | 01:42 | using, it's got a bit of a curve to it.
| | 01:44 | I'm going to go with this second one
here and give it a click.
| | 01:47 | Now all we have to do is start typing
to add a heading to this, so let's call
| | 01:52 | this Executive Team.
| | 01:53 | As soon as you start typing, you can
see it appears, replacing the existing
| | 01:57 | placeholder text, there we go.

deselect and see the end result.
| | 02:04 | So you can see how much easier it is to spot
our Executive Team now, thanks to our container.
| | 02:09 | Containers can be used in all kinds of
diagrams and as you can see, there are

| | 02:14 | All right, let's talk about Callouts now.
| | 02:17 | Callouts provide a simple way
to attach text to any shape.
| | 02:21 | So let's say we wanted to add the extension
for our executive assistant,
| | 02:25 | since it doesn't appear on the chart itself.
| | 02:27 | In that case we can select the shape
ahead a time, go ahead and click it.
| | 02:31 | Next, we'll go back to that Insert tab
on the ribbon and in the Diagram Parts
| | 02:36 | you'll notice the next dropdown
is Callout after Container.
| | 02:40 | So when we click that you'll see
some new callouts, if you're already
| | 02:43 | familiar with previous versions of Visio.
Again, as we hover over these, we see a preview.

can always go down here and just kind
| | 02:52 | of shift this over.
| | 02:53 | I'm going to use the Horizontal
scroll bar at the bottom, go back to the
| | 02:57 | Callout dropdown, and now as I hover
over, you can see the different actual

| | 03:04 | You can see what happens too, some of
the callouts when you hover over them,
| | 03:08 | will adjust the container, so it's still easy to read.
| | 03:11 | So let's pick one that kind of goes with our drawing.
I'm going to with this little guy right here.

all we have to do is type to replace

5544, and then click off the page to see

part of your drawing to any shape and
| | 03:41 | that goes for any type of diagram by using Callouts.

you're better able to express information in Visio.

and Callouts in Visio 2013, and here's
| | 03:54 | another fact, they respond well to themes,
which we will explore better in the next chapter.

3. Themes and EffectsChanging diagram design with themes| 00:00 | It's time now to shift our focus to
the design or look and feel of our
| | 00:05 | diagrams here in Visio 2013.
We're going to work with this file called
| | 00:10 | NoObstacles_OrgChart_0301, found in the
Chapter_03 folder of your exercise files.
| | 00:14 | As you see we have a number of
Shapes. We also have Connectors,
| | 00:18 | a Container around our Executive Team,
there is a Callout.
| | 00:22 | All of these are affected by the fastest
and easiest way to change the look and
| | 00:26 | feel of any diagram and that
is to apply a different theme.
| | 00:30 | I say different, because a default theme
is applied to your diagrams, especially
| | 00:35 | when you go through creating a
new diagram based on a template.
| | 00:39 | So let's just zoom into this, so we can
really see the changes as they happen.
| | 00:42 | I am going to go down to the plus sign
(+) to the right of my zoom slider and
| | 00:46 | give it a few clicks, until I get up to about 89%, 90%.
| | 00:50 | I am also going to scroll, so we can
move it off to the right here and have a
| | 00:55 | better look when we go to the Design
tab on the ribbon, because that's where
| | 01:00 | we see Themes. We'll also see Variants to
those themes, which we'll get into momentarily.
| | 01:06 | So for Themes you'll notice some themes
that appear here as presets on the top
| | 01:11 | row of our list, and as we hover over
these, we get a real-time preview of

if we make that selection.

you'll see there are categories as well,

highlighted, it also appears down here

other categories like Hand Drawn, Trendy,

colorful, let's give it a click to apply it.

add will also take on the new theme.

a check mark next to that option at the

to do that by simply clicking down here

just click anywhere on our page.

selected a different Theme, were the Variants.

different effects, different colors,

over those, again, you can see there's

| | 02:11 | I kind of like that one, so I'm going to
give it a click, fourth one, very cool!

can see we can get very detail into the
| | 02:20 | Colors, the Effects, the Connectors
and the Embellishment.
| | 02:25 | The Embellishment is what we see, like
for example, with the curvature in our
| | 02:28 | shapes and the points at each end.
| | 02:30 | As we go to High that's what we see,
with Medium it's more curved, with
| | 02:34 | Low, there's no curvature, and
Automatic is what selected,
| | 02:38 | based on the preset we selected,
| | 02:40 | that's one of the characteristics
under Embellishment.

through the lessons in this chapter.

and easily we're able to change

and the Variants now to choose from are

Just like we saw with colors,

this is ideal for the color scheme I'm using.

a 3D effect as there's a shadow placed
| | 01:42 | behind some of the shapes in our text.
| | 01:44 | So as you hover over these, you get a
nice real-time preview, helps you to make
| | 01:48 | a decision through trial an error.
| | 01:51 | I'm going to go with Ion, give it
click and that looks kind of cool!
| | 01:55 | Let's go to that dropdown again
and go down to Connectors.
| | 01:59 | Now from here you can see Linear is
being used, but if we wanted to match up our
| | 02:04 | color with our effects, we could go to
Ion, we don't see a big difference here,
| | 02:10 | but some of the connectors are
faded in some of these options.
| | 02:13 | I'm going to just keep things consistent with Ion.
| | 02:16 | And lastly, we can go to the Embellishment.
| | 02:19 | Now the Embellishment is typically defaulted
to Automatic. It's based on the
| | 02:24 | theme you choose and any changes you make.
| | 02:27 | If we go to Low, you can see we just lose some
of those curvatures and points at either end.
| | 02:32 | Medium keeps things curved and rounded on
the corners, and High is what we were using.
| | 02:38 | That's a little harsh.
| | 02:39 | I'm going to with Medium, give that a click,
and there we go, that's the end result.

is made up of Color Schemes, different
| | 02:49 | Fonts, Effects, Embellishments, we can
also tackle those individually by going

| Adding backgrounds, borders, and titles| 00:00 | Aside from selecting Themes, Color
Schemes, Fonts, Special Effects, we can also

by adding content to the background,

a Color or a Gradient or even an Image.

Titles and we're going to talk about how

| | 00:29 | Now here we are zoomed out

can see is really nothing at all.

Design tab selected, in the Background

colors and gradients based on the theme

last one here, which is kind of a Gray

diagram really stands out with this background.

also talk about borders and titles.

dropdown, we're also applying these to the

can see there are some presets here.

theme already being chosen for this diagram.

top and Page Numbering in the bottom.

some have borders all the way around,

apply it and if we don't like it, change it.

the background of our diagram to access

we do that by going down just below our

| | 02:43 | So we give Background a click, the
Background 1, and that's all you're going to
| | 02:48 | see now is what exists in the background.
| | 02:50 | So there's our gray pattern in the background,
as well as our border and there's title right there.

| | 02:59 | Double-click Title, you'll be inside and selecting
the word Title, so you can type right over it.

| Defining your own theme colors| 00:00 | When you apply Themes to a diagram,
you're also applying a set of Colors called
| | 00:04 | Theme Colors, what we used to call
Color Schemes. What you can do here in
| | 00:09 | Visio 2013 is set up your own set of
Theme Colors or Color Scheme if you like.
| | 00:14 | Maybe you wanted to match your company
colors for example, and there's no set
| | 00:18 | that perfectly matches, well,
you can create your own custom set.
| | 00:22 | That's what we're going to do right
now as we continue working with our
| | 00:25 | NoObstacles_OrgChart file.

need to get caught up, you can open up

on the ribbon, we're going to go to

or theme colors suits your needs,

Let's give it our company name, No Obstacles.

the theme colors we see for the Accents,

over here of how that will affect our diagram.

our company colors do not involve any red,

column for example, right down to the

| | 01:23 | Now for Accents, you'll see
those down the right-hand side.
| | 01:26 | We can change them up as well.
| | 01:28 | So for Accent 2, instead of that orangy color,
let's go for more yellow color.
| | 01:33 | Accent 3, we'll give it a click and
we'll go with a green color at the top.
| | 01:39 | Notice we're staying in with the theme
colors and by doing that we know that when
| | 01:43 | we change themes that our theme
colors will be updated as well.

Accent 5 looks okay. And Accent 6.

| | 01:55 | We'll go down near the bottom
to something a little bit darker.

like in the background, let's move this

you're ready to go. You click OK.

4. Connecting, Sharing, and CollaborationPrinting diagrams| 00:00 | There are many different ways to share
your diagrams with other people.
| | 00:04 | We're going to look at them now, beginning
with the first option, which is still
| | 00:08 | popular and that is to print out your diagram.
| | 00:11 | Notice that the diagram we're working
with Network0401 has multiple pages;
| | 00:17 | pages 1 and 2, we have a shaded background, its color.
| | 00:21 | These are all things to consider when printing.
| | 00:23 | So let's go to the File tab, next,
we'll select Print and from here check out
| | 00:30 | some of the default settings that we can customize.
| | 00:33 | First of all at the very top, we're going to be
printing one copy; that is the default.
| | 00:38 | We can bump that up using the arrows or
down or could simply type in the number
| | 00:43 | of copies that we want;

| | 00:46 | Next, you'll see your Default printer,
and of course, you could select a

even send it to OneNote, you could use

connected to your computer, and in that case

not seeing it. I'll leave the default set up,

when move down into the Settings area;

Notice the whole thing is the default.

print, pages 1 to 2 is the whole thing.

also have some presets here, such as the

looking at, it happens to be page 2.
| | 01:37 | If we click the dropdown and go to Custom
Print, this is ideal for longer documents.
| | 01:42 | So for example if you had a 12 page diagram,
you might want to print pages 5
| | 01:48 | through 7 and maybe 10 and 12; those
would be custom options you could set up.
| | 01:54 | So in that case you would choose Custom Print,
and then choose your pages as well.

there's also Current View and in this case,

This is going to be centered right in

it's different from printing the current page,

| Saving to SkyDrive| 00:00 | One thing you'll notice with any of
the new Microsoft programs such as the

One of the easiest ways to share your
| | 00:15 | diagrams with others, even give
people access to make changes to those
| | 00:19 | diagrams is to save it to the Cloud.
| | 00:22 | Now the default location here in Visio,
like the Office Suite, is SkyDrive.
| | 00:27 | When you sign up for your free
Microsoft Account, you get some free
| | 00:31 | storage space in SkyDrive.
| | 00:34 | That allows you to save to that location
and even set up permissions and
| | 00:39 | sharing for sharing your diagrams with other people.
| | 00:42 | So we are going to take a look at
that as we continue working with our
| | 00:46 | Network0401 diagram here.
| | 00:47 | It's a two pager, and if you are already
logged in to your Microsoft account,
| | 00:51 | you'll see your account name
up here in the top-right corner.

here or even switch to another account.

also logged in to your SkyDrive.

separate folder if it's going to be shared

everyone will have access to it if they should.

We'll go to Shared favorites and double-click it.

it will be the only file, it will be a Visio drawing.

the same permissions, Read/Write.

| Importing data from an external source| 00:00 | Earlier in this title we created an
organization chart that allowed us to enter

enter that data into a spreadsheet like

into the diagram you're creating.

but this time we are going to use a

screen right now, we are going to go to the

New and we are going to search for one of
| | 00:35 | the FEATURED templates, Organization Chart.

how often you use it where it appears on
| | 00:41 | this list, mine happens to be on the top row.
| | 00:44 | Locate Organization Chart and just give it one click.
| | 00:46 | We'll use the default of US Units
of measure and click Create.

creating our org chart and Wizard kicks in.

the Data file columns that can be included.

shapes across pages as well.

| Sharing diagrams using the cloud| 00:00 | In a previous movie, we learned how we
could save our diagrams to SkyDrive.

if you're going to be collaborating.

here in Visio 2013 for sharing your diagrams

Highlighters, we can erase any ink that we add.

which is selected by default.
| | 03:20 | The Color, I'm going to change it to a bright color.
| | 03:23 | Let's go to a bright yellow. The Weight
or thickness can be adjusted as well.

I'm just going to circle that, there you go.

it just brings some attention.

itself, its kind of on top of the diagram.

to show up as something that can be removed.

the Ink tools by clicking the Close button

our Pointer tool is still selected.

back to the PENS tab that appears,

it to Text, to a Shape; we could adjust

Stroke Eraser if we wanted to erase it that way.

click once to delete it, it's gone.

It's not something you need to rub across

click once on and the entire stroke will be erased.

that there's a lower half dropdown that

like seeing those little balloons.

little balloon tags, and that gives you a

Then you can go back to the dropdown

our original, there is the response, close it up.
