00:03Hi, I am Susan Metz, and welcome to Google Sites Essential Training.
00:09In this course we'll look at how easy it is to create websites that you can publish internally
00:13to organization or externally to the world.
00:17I'll start by showing you how to use templates to create new sites and new pages.
00:23Then I'll show you how to illustrate the content of your site with formatted text, images, and video.
00:29We'll see how to customize your site's navigation, background, colors, and fonts.
00:34We'll be covering all of these features, plus plenty of other tools and techniques like
00:37adding links, inserting Google Gadgets, and organizing your site hierarchy.

What is Google Sites?
00:00Google Sites is one of the collaboration applications within the Google Apps suite.
00:05You can use Google Sites to build a company Internet, to manage a team project, to build
00:11out your employee profile, or to organize materials for a classroom website.
00:17With Google Sites you can easily make information accessible to people who need quick and up-to-date access.
00:23People can work together on a site to add file attachments and information from other
00:27Google applications like Docs, Calendar, YouTube, and photos.
00:32Creating a site together is as easy as editing a document, and you can control who has access
00:37to the site, whether it's just yourself, your team, your whole organization, or you can even
00:42publish a site to the world.
00:44You create new pages on your site with the click of button. There is no HTML required.
00:50It's as easy as editing a document. You don't need to learn any special markup language.
00:55You can customize a site and make it your own using the site customization options.
01:01You can create a site from scratch or get started with a site or page template.
01:06You can also upload files and attachments to the different pages on your sites.
01:11Google Sites is a great way to integrate content from your other Google products like a video,
01:15a doc, a spreadsheet, a presentation, a photo slideshow, or even a calendar.
01:21Using the sharing permissions in Google Site you can work together on a site, you can add
01:25people as owners, editors, or viewers.
01:29You can also decide how your site is visible to the rest of your team or organization or to the world.
01:35Google Sites is a great way to enhance your Google Apps experience if you're already using
01:40Gmail or Docs or Calendar, or it's just a great way to get started on building an easy-to-make website.

Google Sites and your Google account
00:00Google Sites can be accessed with any Gmail, Google Apps, or Google Account.
00:05So if you have a Gmail account, account that ends in gmail.com, if you're signed in, just
00:10open a new tab or a window, go to sites.google.com, and you'll already be logged in.
00:19If you have a Google Apps account, meaning a Google account associated with your organization
00:25or business, it probably is a user name that ends in your own domain .com, you can access
00:31Google Sites by logging into that account and then clicking Sites in the menu bar at the top.
00:38Or if you don't have a Gmail or Google Apps account, when you go to sites.google.com,
00:43you'll see this login screen, you can click Sign Up, and then you can sign up with the
00:50Google account, and that Google account can be associated with any email address.
00:54So you could associate a Google account with your Yahoo or Hotmail address and use that
01:00to sign in to Google Sites.
01:02You do need some type of Google account to access Google Sites.
01:06Now if you get into Google Sites, and you don't see the site you're looking for you
01:10don't recognize the site, it may be that you're logged into the wrong account.
01:14Many people have multiple Google accounts.
01:17So to log in into the correct account, click on your email address at the top right,
01:22choose Add account, and then sign in with the correct account.
01:26If your Google Apps account is monitored or managed by an IT administrator, you can contact
01:32your IT administrator to get your Google Apps account user name and password.

1. Getting Started
Working in the Sites homepage
00:00When you get to the Sites homepage, notice that I have the Sites application selected,
00:06this is what my Sites homepage looks like.
00:09And by default you will be in this section called My Sites in your domain .com or just My Sites.
00:16It will list all of the Google Sites that you either own or have edit access to.
00:22So here is one site that's listed here, this is the name of the site, I see the sharing
00:27setting, a brief description if a description was added, the link to the site, as well as tags for this site.
00:34If I click on this site, this site will then open in a new tab, and I can begin editing this site.
00:40If I want to browse all of the sites on my domain, I can select Browse Sites, and then
00:47I can choose a category, so I can look at all sites, or perhaps I can just look at sites
00:53that have a particular tag, like the tag holiday.
00:56Now sites only appear here if the creator of the site has designated the site as available
01:02to anyone on the domain to view, and we'll talk more about that when we get into site sharing and permissions.
01:08I'll go back to the My Sites section, you also have an area where you can view Deleted Sites.
01:14If I want to search within my sites I can enter a keyword here like class, and I'll
01:20press the Search button, and this will show me all of the pages of my sites that have
01:26the word class somewhere on the page.
01:29So these are different pages that have the word class here.
01:33If I want to search not only my own sites, but all of the sites on my domain, I'll enter
01:38a keyword holiday, but this time I'll click the down arrow, and I'll choose Search all sites.
01:46And it found a site on my domain that have the word holiday in it, and I can now open
01:51that up and view that site.
01:54So whenever you click on Sites here, you'll go to the Sites homepage where you can see
02:00your sites that should be listed in alphabetical order, and then when you're ready to create
02:05a new site, you use this red button here to go ahead and create a new site.

Creating a new site from a blank template
00:00To create a new site, I'll go ahead and click the red Create button, and this will bring
00:05up the create new site screen.
00:07Now I have got two options here for the template to use for the new site.
00:12I can use a Blank template which will show in this video or I can go to the template
00:17gallery and find an existing template.
00:20Now that's helpful if you want some help getting started with the design and layout, or you
00:25or you have a specific template you're looking for like a project management site or a classroom site.
00:32But if you're doing a pretty unique project, like what I'm doing, I'm creating this volunteer
00:36program site, I'm going to start with a Blank template.
00:39So I have a Blank template selected, I'll give my site a name.
00:44Now notice what happens to the Site location URL as I type the site name. We'll call this Volunteer Program, I can change this later.
00:53As I type the site, it fills in the URL down here.
00:57So it shows me my Site location.
00:59All of my sites will start with sites.google.com/a, slash, my domain, slash, the site URL that I add here.
01:08If you're using sites with a Gmail account it will just be sites.google.com/, and then
01:14you put in your site name.
01:15So you can't use any special characters, but you can use a hyphen and A-Z or numbers.
01:22So if I don't like this site name, if I don't wanted to be volunteer-program, maybe I just
01:26want it to be volunteer, I can edit that site name.
01:30Now if I want I am ready to go ahead and create my site right now, or I can add a few more options.
01:39So I can choose the color theme, so if I choose Select theme I'll see a list of different
01:45themes and how they would look.
01:47I can always go back and change my themes, you're not married to one of these.
01:51I like starting with a little bit of color, I can go ahead and select one of these themes.
02:00How about this Launch default?
02:02So I select this theme, selected now, then I can also go to More options, and this is
02:08where I can list this site category or site description.
02:13Now remember we saw the categories in the Sites homepage video, so when you're looking
02:19at the Sites homepage, and you go to Browse Sites, you can browse sites by categories,
02:27so it's helpful to put categories in there.
02:30And this is the description that appears below the site name, and that's helpful if you make
02:35people editors of your site and they want to know what that site is about or even to
02:39remind you what this site is about.
02:41So I'll put in some categories, I may separate those by a comma, and then I can put it in a simple site description.
02:52Now I am ready to officially create my site, I click that Create button.
02:57Now this may take a few moments just depending on how much information you have added here, and ta-da!
03:03Here is my new site.
03:05So I'm now in my new site, and I'm ready to start editing.
03:09Now if I close this tab, and I need to get back to my site homepage, I just click Sites,
03:16and there is the new site that I just created, so I can always get back here by going directly
03:21to the URL or by coming to my Sites homepage and opening that site.

Creating a new site from an existing template
00:00When creating a new Google Site, you can either start with a Blank template and add all
00:05of the pages and the text and the design yourself, or you can start with a pre-made template
00:10from the template gallery.
00:11So there is a public template gallery where Google and other Google Sites users submit
00:18templates that you can then use and customize.
00:21The template gallery is a good way to get started if you're a first time site builder,
00:26or if you're building a site like a project management or classroom or typical type of site
00:31and you'd like some help getting started.
00:34When you get to the create new site page, instead of selecting Blank template you'll
00:39choose Browse the gallery for more, and this is going to open up the template gallery.
00:46So if you select Public, you'll see some of the public templates listed here, you'll see
00:50a little preview of the template, the name of the template, and description.
00:54There are also some various categories, here is one called Activities & events and these
00:59are templates specifically for different activities or events. We have got Schools & education and Business collaboration.
01:08You can also search the template gallery by entering a keyword that may be found in
01:12the site template name or description.
01:15If you're using Google Sites for your domain, you'll have the separate section up here with
01:18your domain, and if people have submitted sites specifically for use within your domain,
01:24you'll see them listed here.
01:26But I'm going back to that public area, and I'm going to take a look at this Project wiki.
01:31So I click on this, here is a larger preview of the template and a description.
01:36Now I'm going to preview it by clicking Preview template, and this will actually show me
01:40the live template in a new tab.
01:43Now from here I can actually look at the various pages, so this is a template, they already
01:47have some text filled in here, some placeholder images and then navigation, so I can take
01:53a look at different pages of the template site.
01:56Now if I decide I want to use this template, I click the USE TEMPLATE button right here
02:00at the top right, so I'll click on that.
02:04So this takes me back to the create new site page.
02:08Now I have the template I selected here and highlighted in red.
02:12Now I can give my site a name, I'll just call it My Project Wiki.
02:18The URL for this site is automatically filled in based on what I put in the title.
02:22If I want I can alter this, maybe this is my-project-wiki10.
02:27Now if you're using a template, I don't recommend choosing a theme in the Select a theme area,
02:32because your template already comes with a theme.
02:35And if you change the background theme, the text may not display correctly on the page,
02:41it may look a little strange.
02:43So I recommend to not selecting a theme if you're using a pre-made template.
02:48Then you can go ahead and click the CREATE button.
02:51Now sometimes when you create a site from a template, it takes a little bit longer but
02:55this yellow status bar up here tells me the new site is being created and here is my new site.
03:01I have used the template to create a new site that now exist on my own domain here, and
03:06now I can go in, and I can edit the pages, I can add pages, I can remove pages, but it's
03:11helpful to start with this template, it's a good way to get started on a new project site.

Adding a description and categories to a site
00:00The site categories and descriptions are helpful so that people can find and identify your
00:05site or so that you can identify your own site.
00:08So the description is what appears right here below this site, and the categories are these
00:13tags here that you give.
00:15Now the categories are helpful because if you go to the Browse Sites section, and you
00:20click on a category, you can see all the sites related to that category.
00:26So that's how you can use categories.
00:30When you do a search of this site, you're searching the site name as well as the description
00:35and the pages within this site.
00:37So when you first create a new site, you have the option to add the categories and description
00:44in the More options section.
00:47So you add the categories by putting in category names separated by commas, and then you put the description here.
00:57Now if you have already created a site, and you need to go back into that site and add
01:01categories and descriptions, just click on the site name, then go to the Manage site screen.
01:09You can get there by pressing More and Manage site, or you can use the keyboard shortcut
01:15G and then M, and in the General section here, this is where I can edit the Site categories,
01:23so I can delete a category or add a new one, and I can also edit the Site description.
01:31Always click Save when you make a change here in the Manage site area and my changes have been saved.
01:38So that's how I would edit the categories or description of an existing site.

Defining a site URL
00:00When you create a new Google Site, the URL is determined at the time of the site creation,
00:05and you can't go back and change the URL after the site has been created.
00:09So it's important to pick a good URL when you create the site.
00:14So if you are working on sites for Google Apps, meaning on your domain.com, your site
00:20will have this URL, sites.google.com/a/, your domain name, slash, whatever site name or tag you gave it here.
00:29So if I am going to call this site Example Site for Video, the URL gets filled in, example-site-for-video,
00:38I can then come down here and change this. I'll just call this examplesite10.
00:43So you want to be mindful of keeping the URL somewhat short so that you could say that
00:48name over the phone or in passing, this is examplesite10.
00:54So this would be the URL, I can use characters, uppercase, lowercase, and numbers here, and it is case sensitive.
01:02Now when you create a new site with your Gmail Account, you can give the site a name, and
01:10it automatically fills in the URL down here. When you create a site with a gmail.com address,
01:14the site location is sites.google.com/site, slash, whatever name you choose.
01:20Now if you choose something really generic, like project, there is a good chance that someone
01:25has already created that site.
01:27So I'll want to give this a really unique site name, probably susanlyndadotcom, no one has created that.
01:35And if I try to create this site, and I get a massage that says that cannot create site
01:41here, it means that somebody else has already used that particular path, so you'll need
01:46to think of a more creative path.
01:48So again once you click the Create button, this site is going to be automatically created
01:53at this URL, and you cannot change it later. So do be mindful of picking a good site name.
02:00Worst-case scenario, you could delete the site and start over again.

2. Editing the Text and Layout of a Page
Formatting text on a page
00:00In this video, we'll look at how to format the text on a Google Site page.
00:04So I have this site I am creating about the SAMOCA, the Museum Volunteer Program, and
00:09I have just got some basic text on this page.
00:12Now to get into the Edit mode where I can start putting formatting on the text, I need
00:17to click the Edit icon up here, the pencil icon. I can also use the shortcut E.
00:24So I'm now in Edit mode, and I know I'm in Edit mode because the formatting toolbar becomes available.
00:30Also this blue Save button up here shows me that I'm currently editing, and I need
00:35to click Save to save my changes.
00:38So to edit any text on a Google Site, you just click into the text, and you highlight
00:44the text that you want to apply certain formatting to or you just click anywhere on the page,
00:49and this is where you can start typing additional text or adding additional paragraph or spaces here.
00:57So let's look at what we have on the formatting toolbar, and this is very similar to way you'd
01:01see in the Google Documents editor, or even in a web email editor.
01:07So if I want to add some formatting to all of the text on the page, I can select everything
01:12by highlight everything or I can use Ctrl+A on a PC to select everything or Command+A on a Mac.
01:20So if I'd like to change the font here where it says Normal, I have got six different font choices.
01:26So, maybe I'll change the font here to Georgia.
01:29If I want to change the font size, I click here where it says 10 point and use up the
01:33different font size options I have. So, maybe I'll go up to, how about 12 point?
01:39Now if I want to add some text styling, maybe I want to highlight this 40% here, I can use bold,
01:45this is italic, I have got Underline here.
01:49I can also change the text color by selecting some or all of the text and clicking this icon here.
01:56Notice as I put my mouse over the icon, it gives me a little tool-tip showing that this
02:01is the text color, so I could make this a different color, how about this purple?
02:06I can also highlight text as well so I can give it a back highlight color using this
02:10button Text background color, maybe I'll highlight that in yellow.
02:15Now if I make a mistake, and I want to go back, I can use the Undo icon up here,
02:21or I can click Ctrl+Z or Command+Z. So this undoes my last action.
02:26If I want to redo it, I click the Redo button or Ctrl+Y or Command+Y.
02:33Now if I want to remove all of the formatting here and just go back to the original text,
02:39I just highlight everything, and I use this icon here, Remove formatting, and that removes the formatting.
02:45This is really helpful when you have copied and pasted text from the web, and it comes
02:50over with some strange formatting, you may need to use the Remove formatting option.
02:55We can do numbered and bulleted lists, so if I want to start a new bulleted list,
02:59I place my mouse where I want the bulleted list to go, and I click the Bullet list and then
03:05as I type the items, I just press Enter to get to the next bullet or I could do a numbered list.
03:12So if I click Numbered list, this will do a Numbered list.
03:17If I use the Tab button to indent, then it will indent in the bulleted or numbered list.
03:25If I want to take some existing text and make it bulleted, I highlight it, and I can click
03:29either the Numbered or the Bulleted list to turn on the bulleting there.
03:34I'll press Ctrl+Z to undo that change, and then I have got my Increase and Decrease indent,
03:40so if I need to increase or decrease the indent, I select the text Increase indent or Decrease
03:46indent, and then I have got Alignment as well.
03:49Now normally the default I believe is left-aligned, you can select your text and do center alignment
03:55or right alignment or you can move it back to the left alignment.
04:00Now if you want to do some advanced formatting in Google Sites, you'll need to go into the
04:04HTML source by clicking this button, and then you'll have to manually type in the HTML for the advanced formatting.
04:13You should only do this if you are more of an advance HTML user and know how to write
04:17HTML code, otherwise just use the basic formatting options you have got here, and when you're done
04:23formatting the text, you can go ahead and click Save and your changes have been saved.

Adding links
00:00One of the ways your users can navigate around your site is through different links to either
00:05different web pages or areas of the site or other links outside of the Google Site.
00:12So my navigation menu over here in my left is made up of different links, and we can
00:16also create links within the text itself.
00:19So to create a link, I'll click Edit page, then I'll highlight the text I want to make a link.
00:25So maybe for this SAMOCA, I want to link to the museum website, so I select SAMOCA,
00:32I click on the Link icon, and now I will select web address because I'm linking to another website.
00:40This will be samoca.org, and I can decide if I want this to open in a new window.
00:45So if I take this box, instead of opening that site in this window, we'll open in a new window.
00:51So if I click OK, I now see that this text is underlined and blue, meaning it's a link.
00:57If I click it, I can test the link, I can change the link, or I can remove the link.
01:02So when I click Save here and then click this link, the SAMOCA website will open in a new tab here.
01:09Now how about linking to another page of my site?
01:12So I have got this Calendar page on my site, and I mentioned that I have an orientation
01:16coming up, so it'd be helpful to link to another page on my site.
01:20So I click Edit, and I'll highlight next orientation, I click link.
01:27Now this time I can link to another page on my site, so in the sites pages I see
01:33the different pages on my sites.
01:35Now if you have a lot of pages, you may need to choose the search box to search for the
01:38page you're looking for, here it is, and then I click OK, and notice this is now linking
01:45to another page right on my site.
01:48So I have created a link to a site outside of my Google Site, and I have created a link
01:54to another page on my site.
01:55There is also a special link that can be created called mail to link, so if you have an email
02:00address, and you highlight it and click Link, it will automatically create what's called a mail-to link.
02:07And when a user clicks on the link, it will open up their mail program, so they can send an email.
02:13So I'll click Edit page, I am going to highlight Bernice's email address, I click Link,
02:18and that automatically turns into a link.
02:22When I save this, and when I put my mouse over this link, if you look in the bottom-left
02:27of the page, I can see this is a mail-to link, and this is going to open in my email program.
02:33So that's how you create new links.
02:35Now if you need to change a link at anytime, you select it, and you choose Change, and
02:39you can change the link or if you want to remove the altogether, click on the link
02:44and choose Remove and then always click Save to save your changes.
02:49So links help your users navigate more efficiently through your site.

Copying and pasting text
00:00A great way to get text from page to page or from website to website or document to site
00:05is to use Copy/Paste.
00:08So if you need to copy and paste text you can simply use the Ctrl+C for Copy and Ctrl+V
00:15for Paste on a PC or Command+C and Command+V on a Mac.
00:20So let's look at copying and pasting some text from one page from my site to another.
00:25So if I wanted to copy this text here, I can just copy I'll select the text I want to copy, I can use Ctrl+C.
00:32Then I'll go to that other page where I want to paste, I'll click the Edit Page button,
00:38and now using Ctrl+V, I can paste that text right in, and the formatting comes along with it.
00:45So the links come with that the fonts, the colors, that all comes along with it.
00:51Now if you're copying and pasting text from another website, you can most likely copy
00:55and paste the text, but you're not always going to get all of the formatting.
01:00Websites are built using the combination of HTML and scripting and programming languages.
01:06So Google sites does not support those programming languages like JavaScript.
01:11So if you copy and paste content from another website and has some of this program and scripting
01:17elements, it may not copy over.
01:20Also, the formatting may look a little different then you were expecting,
01:23so let's just take a look at how this works. So I'm going to go into Edit mode on this page.
01:29Now I have got this other website here, and now I want to copy some of this text, so I'm
01:33just going to drag down here, and I have got an image here, all the different formatting
01:40and styles, I'll press Ctrl+C, come back in here, Ctrl+V, and it does look like it got most of the content.
01:48Now again, does the formatting look exactly the same?
01:52No, in this page the column here is shorter, looks like I didn't get the famous quote, that didn't come through.
01:59But I have got some of this info, so if I click Save, I see that some of the content
02:05did come, I got the image, and then I got this text here.
02:09So with a little bit hit or miss, I maybe tried to copy too much at one time, so maybe
02:14it's better to copy and paste in smaller amounts.
02:18Also, if you want to have the formatting match the formatting in your site, you can go into
02:25the Edit mode and then highlight the text here and click Remove Formatting, and then
02:30you can add your site's default formatting here.
02:34So Copy and Paste is good for bringing some text over, perhaps some images.
02:40But of course, it's not going to exactly copy and paste it like you saw on the other web page.
02:45Also, you do want to make sure that you have the rights to the material before copying
02:49and pasting it on to your site especially with images.
02:53That's how the Copy/Paste works.
02:55Now if you're copying and pasting something from Microsoft Office, you can copy things
02:59from a Microsoft document or Word document, that should come through, expect for any really
03:05special macros or media that's not supported by Google Sites.
03:09When you copy and paste from a spreadsheet like an Excel spreadsheet, it's not going
03:13to retain the columns and cells and formulas.
03:17The best thing to do is if you want content from the spreadsheet or a heavily formatted
03:22document is just to attach that file to this site, or perhaps to upload it as a Google doc
03:27and then bring it into the site as Google doc, and we talk about that in another movie in this course.
03:34So Copy/Paste works fine between pages in the site.
03:37Now between other websites in your site, it's a little bit hit or miss, but give it a try
03:42and see what you come up with.

Changing the page layout
00:00On a Google Sites page, you have got the title of the page, and then you got this body area.
00:05Now this is even more evident when I go into the Edit mode, here's the title of the page,
00:11this is going to be on every page, then here is the body area.
00:14Now with the body area you have several different layouts you can choose from.
00:18So you can choose the Layout by clicking on the Layout menu and then selecting
00:22one of these different layouts.
00:23So what I have got right now is a one-column layout, but I want to do a two-column, I select
00:29Two column, and now I have got this column over here and this column over here.
00:34So the different text areas are represented with these gray dashed lines around them.
00:40And these gray dashed lines disappear when you save the page.
00:43I could even do a triple-column layout, so maybe I had some text here, some text here, and perhaps an image.
00:51Just choose the layout that best compliments the content and the message of that particular page.
00:57We could even get fancy and do one of these one-column layouts with an additional header
01:02and footer area down here or we could do a two-column with the header and the footer,
01:08there's also a three-column, or if you need a specific left sidebar area.
01:13So if I choose left sidebar, I get this little narrow sidebar over here and body content here.
01:18You can use the sidebar for putting in images or secondary navigation, we could
01:23also do the right sidebar or the left and right sidebars with the large middle content.
01:31So again, just layout depends on what type of information you're going to have on the page.
01:36For this particular page, it's just information about a volunteer program at the museum, so
01:41I think maybe a two-column layout with text here and an image here on this side will suffice.
01:48Now if you have got a two-column layout, and then you go down to one-column layout, the
01:53text from the second column just gets pasted here at the bottom of this column.
01:58So I just need to come in here and do some backspacing to clean up these spaces, but
02:03you can change your layout at anytime, so I save my page, save the layout, and if
02:08I need to change the layout again, I click Edit, click Layout, and then I choose one of these other layouts.

3. Creating Pages
Understanding the five page types
00:00When you are in your site and you choose to create a new page, you'll be asked to select
00:05a template to use, so there are five templates, Web Page, Announcements, File Cabinet, List, and Start Page.
00:13Once you get going with your site, you can edit additional templates, but these are the
00:18templates that are built into Google Sites.
00:21So let's take a look at what these different templates are, and in order to do that.
00:26I'm going to open up this Project Wiki. This is a site that I have already built from a project template,
00:33and why I'm going to look at this site is because it shows you the five different types of pages.
00:40So what's a web page?
00:42Basically, when you create a new web page, it is just a title and the body of the page.
00:49This is an example of the Web Page page template.
00:52Then once you start editing on a web page, you can add things like a table of contents, text box, images, video.
00:59If you're not sure what type of page you want, you might always want to start with just the
01:03Web Page template, it's just a blank template.
01:06So when you create a new web page using this template, I'll show you what that looks like.
01:12You just get a blank page, so this is a new page with the Web Page template.
01:16Okay, the other type of template is an Announcement page.
01:20Think of an Announcement page like a blog, I'll show you one in action.
01:25This one here called Project updates.
01:28So an Announcement page is made up of many posts, you can see here, here is a post, here
01:34is a post, here is another post, I can write a new post by clicking New post.
01:39And this is like a blog, every time you write a new post that new post is put at the top.
01:45So if you want to make a site in your page with some type of announcements or update
01:49or news, you might want to use the Announcement type page template.
01:55And when you first create that, choose Announcements, it looks like this.
02:00You have got a title, and then you can start adding new posts.
02:04The other type of page template you can use is a File Cabinet.
02:10And this is helpful if you want to upload and store and share files in your Google site.
02:16So you can upload any type of file, you can add multiple versions of it, you can create folders,
02:22and people can download the files, or other editors of the site can add files.
02:28An example of a File Cabinet would be this page here called Files.
02:32So there are a few files that have been uploaded here.
02:37Not only can you add files, you can also add links.
02:41When you create a new File Cabinet page type, it looks like this, and then this is where
02:48you can start adding files and links and creating folders.
02:51And then the last page template that I want to talk about would be the List type of page.
02:58So a List type of page allows you to create a list, like action items or maybe a directory
03:04or some type of custom list that you can add items to and that your editors can add items to,
03:11and you can then sort and view the different items on the list.
03:15So here is an example on this Project Wiki of a List page.
03:19The To-Dos, they were created as a list.
03:22Each item in the list has an Owner, Description, Due Date, and whether or not it's been completed.
03:28And I can sort these lists, which is nice.
03:33As an owner or an editor I can add a new item to the list by clicking Add Item,
03:38this is where I add the new item.
03:46And as the creator of the List page you can customize how the list will look, so what
03:51columns are there and what data types.
03:54So we have videos in this chapter showing how to further edit and create and manage these different page types.
04:02In this course we're not going to look at the Start Page, that's a more advanced type
04:06of page, it's basically half web page and half personalized page where each user can
04:13add their individual gadgets, these are mini- programs and applications that can be added into sites.
04:20So, for example, a gadget might be a personal weather gadget or perhaps a currency exchange gadget.
04:27And the Start Page looks different for every person who accesses the site, depending on what gadgets they have added.
04:34Again, it's more of an advanced feature that we're not really covering in this particular course.

Creating a new page from a page template
00:00To create a new page, just click the New page button.
00:04You can also type the letter C, and this takes you to the new page window.
00:10So this is what it looks like when you create a new page in the site.
00:12So the first thing to do is name your page.
00:15The page name is important because it determines the URL of the page.
00:21So if I'm going to create a new page called Map and Directions, the URL of the page becomes map and directions.
00:30You also want pages that help the user understand what will be on this page, so I'm hoping the
00:36users will see the page map and directions and know this is the page they go to, to find
00:40a map of the museum and directions to get there.
00:43If I don't like this URL, I can change it here, clicking change URL, maybe I'm just going to call it map.
00:49And as long as this URL doesn't already exist, I can do that.
00:53So if you already had a page called map, then you wouldn't be able to change the URL.
00:59Then you select a page template to use. You always need to start with some type of page template.
01:05In another video in this chapter we looked at the different types of templates.
01:09So I just click here, and I choose one of these templates, I'm going to choose just
01:15normal Web Page, and these are the page templates that are built into the site.
01:21If the owner of the site decides to edit additional templates, they may appear here.
01:26All sites will have at least these five page types.
01:30Now you cannot change the page template after it's been created, so it's important that
01:35you choose the right template, otherwise you'll have to delete the page and start again.
01:40So then you'll select the location where the page goes.
01:43Is it a top-level page, a second-level page, third-level page?
01:47You can change the location at any time, so don't worry too much about this.
01:50This can determine how the page shows up in the navigation, and if it's listed at the
01:56bottom of the page or as a subpage.
01:59We have a video talking about moving page locations and determining navigation.
02:04When you first create the page, you can decide where you want to put it, at the top level,
02:09under an existing page like Home or we can choose a different location, and this will
02:14show me all of my existing pages.
02:16In this case I want to just put it at the top level, I don't want to make it a subpage,
02:21we talk more about this in another video. I have created my new page, named it.
02:26I have selected the template, and I have decided on the location, and that's really all there is to it.
02:31Then I click the Create button, the wheel spins, and it takes me to the page, and I'm
02:37already in Edit mode, and now I can start adding to this page.
02:43I'll save my changes, and the nice thing is that if I do make a mistake and need to remove
02:48the page, that's very easy. Just from the More menu, I choose Delete page.
02:54Notice there is also an option here from Move page.
02:58So this is how you create a new page on your site and any owner or editor can create new pages.

Managing an announcement page
00:00In this video we'll look at how to manage an Announcement type of page.
00:03In the beginning of this chapter we saw how you can create an Announcement type of page
00:10which is a page made up of multiple posts that's similar to a blog type of page.
00:16So here is my Volunteer Program site, and I want to post announcements about the Volunteer Program on this page.
00:22I have already created the page, the page type is Announcement page.
00:26And just to remind you how I did that, I went to New page, named the page, and the template I selected was Announcement.
00:34So to add a new announcement to the page, I click New post, and this takes me to a new
00:41page called Untitled Post, and I'll give the post a name, and then I can add text, I can
00:50add images, I can add video, anything that you can add to a normal web page you can add to these posts.
00:57So see in the Insert menu I can add Images and Links, so I can add all of these other
01:04Google products like a Document or a Chart or a Map.
01:08So a post page is just like any other web page here.
01:13Just for fun, I'll add an image. I'm going to take an image from the SAMOCA site.
01:18How about this one? And we'll copy the image URL, that's one away to add an image.
01:24We talk more about that in the how to add images video.
01:33We'll make this maybe the medium size, okay. So I have edited this post.
01:39I can also apply upload a file to this post, maybe I want to include the volunteer application
01:46or some frequently asked questions.
01:48So I can attach a file to this post if I'd like by clicking Add file, and then I choose
01:54a file from my computer to upload.
01:58I can save this as a draft, it's actually auto-saved or I can just click Save.
02:03So once I click Save, I now see the completed post.
02:07When I go back to the Announcement page, click Announcement here, I see the post is now listed
02:13here on the Announcement page.
02:16Then if I want to write a new post, I just click New post.
02:26This one is called Volunteer Job Descriptions, and then I click Save, back to the Announcement
02:35page, now I have got two posts.
02:37So every time you add a post, the post that you just added will be listed at the top,
02:44the newest post appears at the top just like on a blog.
02:48If you need to go back and edit a post, just click the Edit post link, so only the owners
02:54and editors of the page will be allowed to edit the post.
02:58So I can come back in here and make a change to the post, and then I'll save that again.
03:05And that post, even though it was updated a minute ago, it's listed here in the original order.
03:13Now let's talk a little bit about comments. So you can add Allow for comments on your posts.
03:19If you open up the post here, you'll notice that there is this comment section down here,
03:25and any one who is an owner or an editor of the site can make a comment about this post.
03:32Site viewers cannot make comments about posts, only editors and viewers.
03:38But if I wanted to make a comment, I just type in my comment here and my comment has been added.
03:46If you want to disable comments for a post, from the More menu select Page settings and
03:52then un-tick the Allow comments button, and now comments will be disabled, no more comments.
04:00And so you'll need to do that for each page where you want to disable comments.
04:04Now you'll notice that each time I add a new post to this Announcement page, it's listed
04:09here in the navigation as a subpage.
04:12That's because I have my navigation to set up to automatically add new posts and pages to
04:17the navigation, we can change that, and we talk more about that in the chapter about navigation.
04:24So this is how you manage an Announcement page.
04:27If you need to delete a post, click on the post, then from the More menu just choose
04:33Delete page, confirm the deletion, and the post has been deleted.
04:40So Announcement pages are really helpful for sharing updates about your project or site with the site viewers.

Managing a list page
00:00A List type of page is a great way to track action items, create a directory, or keep an inventory.
00:09To create a new List type of page I'm actually going to create one for my Volunteer Program
00:15at the Museum, and I'm going to call this Volunteer Directory.
00:21And if it's going to be a List type of page I need to choose List from the page template.
00:27I'll go ahead and click Create.
00:30The wheel is spinning, and here is my new List page.
00:35Now whenever you create a new List page, Google Sites will suggest some different templates
00:40you can use for the List, like an Action Items List, an Issue List, a Unit Status List, or Create your own.
00:49Now I usually end up creating my own list because this template list pages don't necessarily
00:55do what I want them to do.
00:56However, if you do use one of these templates, you can always edit the columns and customize
01:01it to your own usage.
01:03So I'll click the Use template for Create your own, and this takes me to a dialog box
01:09where I need to customize my List.
01:12So for Column name I'll choose First Name, I want to track the first name of the volunteers.
01:17The Type of data in this column will be Text.
01:20So this is kind of similar to a spreadsheet where you would format the different column types.
01:27I'll add another column, this is surprise, Last Name, also Text.
01:33Now I want to track the Date of Hire as a volunteer, and so this time I'm choosing the
01:39Date Type, and we'll see once the list gets created this allows you to choose a date from a calendar.
01:46I will also add website in case the volunteers have a website, in that case I want to choose URL.
01:54Then I'll choose Type of volunteer, and so there are senior volunteers, adult volunteers, and teen volunteers.
02:02I'll make myself a dropdown list of these different options, so I choose Dropdown.
02:08Option 1 would be Senior, second option would be Adult, and then Teen.
02:14If I need to remove one of these options, I just click on the X.
02:19So I'll save that, and when I click Save, my list is now created, First Name, Last Name,
02:25Date of Hire, Website, and Type.
02:27I realize that I did want to track whether or not these users had attended the orientation,
02:34and I want to track that using a check box.
02:36So I'm going to go Customize this list so I can go back into the list customization area.
02:42In here I will add a column, and this is called Attended Orientation and the type is Checkbox.
02:50Now if you need to change the order of the columns, you can use up and down arrows to move this around.
02:55So I actually want Website to be the last column, so I click the down arrow, and I'll go
03:00ahead and click SAVE and my list has being updated.
03:04So how do we add an item to a list, and who can add items to a list?
03:08Well, any owners or editors can add items to the list, viewers cannot add items.
03:15So I click Add item, going to add myself.
03:19For Date of Hire I click Choose date, and this brings up a calendar here.
03:23I was hired on 11th, I'm Adult, I did attend the Orientation, and here is my website.
03:31Notice you can also link to an existing page on the Google Site that you're currently editing.
03:37So I click SAVE, and ta-da! My row has been added to the list.
03:43I'll add another item now, Teddy, and he started on the 18th.
03:53He is 18, volunteer, he has not yet attended Orientation, he doesn't have a web address,
03:59so I click SAVE, and now we have got Teddy.
04:02As your list gets longer, you may need to sort your List, and you can sort by any of these columns.
04:09So if I want to sort by Last Name or maybe First Name, I just click Sort in Ascending, and the list updates.
04:17To sort by Descending order, I can sort by higher order.
04:23So you just choose the sort column for the column you want to sort and then the order
04:27you want to sort it in.
04:29If at any time you need to edit an item on the list just click on it, click on the row.
04:34Teddy just did his Orientation, so we'll choose that check box and SAVE.
04:40If you need to delete an item on the list, click on the item, choose Delete this item
04:46and the item is deleted.
04:48Notice the yellow bar up here confirms the deletion.
04:52If you want to add some information for your viewers, your editors about how to use this list,
04:57you can edit the text in the space between the title and the list by clicking the Edit button.
05:04This makes the list page editable and here is where you can add some text.
05:10I click SAVE, and now I have some descriptive text about this particular list.
05:16So again, the actual list, columns and information here can be customized
05:20at any time by clicking Customize this list.
05:22For example, if you need to delete a column like I'm going to delete Website, I just click
05:27the X here, and then I click SAVE, and that will update the list.
05:31So that's how you would manage a List type of page, and again, only editors and owners
05:37can add items to the list, but your viewers can view the list.

Managing a file cabinet page
00:00So a File Cabinet type of page is great for uploading files and multiple versions of files
00:06or adding links to files that exist on the web.
00:09So if you have a number of files you want to share with your site viewers, you can use a File Cabinet page.
00:14So this is what a blank File Cabinet page looks like.
00:18I created a new page, I selected the File Cabinet template.
00:22So I want to add some files here, some files that have to do with the Volunteer Program,
00:27so I click Add file.
00:28Now, only owners and editors have the option to add the file, but anyone who is a viewer
00:33of this site can view the files.
00:36So I click Add file, then navigate to the folder where your files are kept on your PC
00:43or Mac and then click on the file you want to upload, so I want to add this volunteer orientation letter.
00:50I click Upload, it's been uploaded right here, and now the file is listed here, it's a Word type.
00:56I can see the size and the version, when it was added, and who added it.
01:01Now I'm going to add another file as well.
01:05I'll do the museum collections, and that's been uploaded now as well.
01:11And these are usually ordered in an alphabetical order by the file name.
01:16If I want to add folders here to this File Cabinet structure, what I would do is select
01:22the file from the Move to dropdown, I choose New folder, and I give the folder a name,
01:31and I click Save and so now I have got a folder called Museum Collections. This file is listed under that folder.
01:39So your viewers can view any of these files by clicking View and the Google Docs viewer will open up.
01:46If it can read the file, if you see that this entry here, it means that the Google Docs
01:51viewer cannot view the file for some reason, and in that case you can just click Download,
01:57and that will download the file to your computer or to your viewers' computers.
02:03If you need to remove a file, just select it and click the Delete button.
02:08If you want to add a new version of a file, when you click Add file just make sure you
02:12choose the file with the same file name and then when you upload that, it will then update
02:19the file, and now it says Version 2, and so I can actually view the older version.
02:25So each version is stored here, so I can see how that file has changed over time if I'd like.
02:31So again, to make sure that the file updates with the new version, you can upload the file
02:36again with the same file name.
02:39Now if you have got a file stored on the web, or perhaps on Google Drive, you may want to link to the file.
02:45So instead of clicking Add file, you would choose Add link.
02:49So let's take a look at my Google Drive.
02:55So I'm going to upload a file actually to Google Drive, maybe this presentation.
03:00So Google Drive allows me to store my files in the Google Cloud here, so I can access them from any browser.
03:09So here is this PowerPoint I just uploaded, and if I want to link to this PowerPoint,
03:15I just take the link here, I go back to my file list, and this time I click Add link.
03:22Now I need to paste in the URL, what's the display?
03:28I want it to say Orientation.
03:31I click Add, and now that link is listed here just like a file.
03:36So there is no option to download, I can just click View, and then it opens up that link or that file.
03:43So if you have a number of files here, you may want to use the folder feature so that
03:48you can organize the files into different folders.
03:51I'd say if you have over ten files, you may want to start creating folders to put different
03:57files into their respective buckets.
04:00If you need to add some information about this file type of page, up here at the top,
04:04maybe some directions or just a description, click Edit to edit the page and then there
04:10is a text box right here where you can add some information, and I'll click Save and
04:16then that text updates there.
04:18Now if you are the owner or editor of the page, you will have this option to Subscribe
04:24to page changes, so I click Subscribe to page changes.
04:29What that means is that every time a new file is added, I will receive an email.
04:36Now if you're curious what this page looks like to viewers who don't have ownership or
04:42editor rights, from the More menu you can choose Preview page as viewer, and this is
04:47how the viewer see the site.
04:50So they can view and download these different files; however, they don't have access to add
04:55files or links or to delete files.
04:58So be rest assured that only editors and owners can actually add files to a File Cabinet page.
05:05So that's how you would manage the File Cabinet type of page.
05:09And so again, viewers can view and download the files, owners and editors can organize
05:15the files, add the files, add links, and delete files.

4. Adding Images and Video
Adding an image from your computer
00:00You can upload images from your computer to a Google Site page, and the image can really
00:05help bring the content of you site to life, so you can add photos or clip art or flowcharts,
00:12graphics any type of image file, you should be able to upload, well, the popular image
00:17files like JPEG, PNG, and GIF.
00:20So to upload an image, first you need to go into Edit mode, so I am going to go into the Edit page mode.
00:26And I think for this particular page I'm actually going to change the layout here to a two-column layout,
00:31so I have the text here, and over on the right, I'm going to add the image.
00:37And I want to add the logo for the museum, so I choose Insert, and then I select image.
00:44Now I'm going to upload an image, so I will select Choose File, and I'm going to add the
00:50logo that I have got here in my computer.
00:54So there is a preview of the logo there, and I can click OK, and then the logo is placed
01:00right here where my cursor was.
01:03Now, once I have got the logo on the site page, I can choose some different sizes, choose
01:08Small, Medium, Large, or I can go with the original size.
01:13I think the Original size looks pretty good.
01:16I can also decide how I want this image aligned within this text box, so to the left,
01:24center, or right, and I think I will go with center here.
01:29Now if I'm adding this image where I have got text, I can decide if I want the text to wrap
01:33around the image or just be above and below.
01:37This may make more sense if I have the image over here, so I'm going to add the image here
01:42as well so you can see what happens when you add an image around text.
01:46So notice when I go to insert image, it already has a list of my recently uploaded images,
01:52so I can select this image right now, click OK.
01:55So the image is in here, and currently I don't have Text Wrap selected.
02:00If I click the Text Wrap on, then the text wraps around the image, so it just depends
02:05on how you want to have the image look in relation to the text.
02:11If I want to go back to Wrap off, I select Wrap off, and now the text is above and below the image.
02:18I'm just going to delete that image.
02:20If I need to come back and edit the image, I just click on this image over here, and
02:25I can make changes to the image.
02:27Right now the image is going to link to a page that just has that image.
02:33So if I click on the link, it takes you to the site page that goes directly to that image.
02:39If you don't want people to be able to click on the image and go to the image page, you can click Remove.
02:44And if you want to remove this image altogether, I click the X, and the image is gone.
02:51So that's how you upload an image from your computer and palace it onto a page on your site.

Linking to an image on the web
00:00When you add an image to a site's page, you can either upload an image or link to the
00:05URL of an image, so if an image already exists on the web and you have the URL, you can then link directly to that.
00:13So I'm going to go ahead and open up the SAMOCA website.
00:18I want to take an image that's already on the website, I like this one here of the couple looking at the art.
00:26So I'll right-click in this, and I choose and Copy Image URL so that gives me the direct
00:33image URL, the link to the image, and it places it on my clipboard.
00:37I want to add this image to the Home page, so I click Edit to go on to the edit mode,
00:42then I put my mouse cursor where I want the image to go, I select Insert Image.
00:49And instead of Uploading the Image, I'll choose a web address, and I paste that image in using
00:54Ctrl+V or Command+V on a Mac, and there is Preview of the image.
01:00And for some reason when you paste the image, and you don't get a preview, it means the
01:05image may be blocked behind a firewall or protected so that you can't just put it on another site.
01:12And always make sure you have permission to use these images before adding them to your site.
01:17Now this Alt text (optional), this is something that goes in the back of the hinge in the HTML,
01:22and sometimes this is used by our page readers' that gives a description of the image
01:28where people who can't see the image will load the image.
01:31So I'll just call this, couple looking at art, and this is optional, so I click OK,
01:37and the image goes into my site.
01:39Well, that's really much larger than I would have wanted.
01:43So this is the image properties area, so I'm going to change the Size, I could click small
01:49so I will choose Small, Medium, or Large, or I can choose Original size.
01:54And I think I'm going to go back to Medium.
01:57I can also determine the alignment, Left, Center, or Right.
02:02So if have the image near text, you can decide if you want to turn Text Wrapping on or off,
02:07so Text Wrapping means if there's text here, the text displays right alongside the
02:13image, if it's off, this is Wrap off, the text displays above and below the image.
02:19Now this image is going to link to a special page on the site. If I click this link,
02:23it goes directly to the Original sized image on the site, so it shows that picture I have uploaded.
02:30If you do not want your viewers to be able to click on this image and go to the image
02:35page itself, you can click Remove, and that removes the linking.
02:39So when a user clicks on the image, it does not open up in a new tab, so I click Save,
02:45and my image in now you in place.
02:48My site is starting to look a little more interesting.
02:50If you need to delete the image you uploaded, click Edit Page and then click on the image.
02:56You can either click by it and click Backspace, or you can click this X here, and that removes
03:01the image, and then of course, you'll want to save your changes.

Adding a YouTube video
00:00I have added a new page to my site called Media, and I want to add some videos to this page.
00:06Really easy to insert either a video from YouTube, or that you have upload to Google Docs
00:11into your Google Site page.
00:13So I'll go into the Edit page mode, then from the Insert menu I go to Video, and I'm going
00:21to select YouTube video.
00:23I'm kind of ignoring this Google Video option, because that's something that has been deprecated by Google.
00:29And so all videos are now either on YouTube, or private videos that you upload and then
00:34set the permissions for can go into your Google Docs video.
00:39So let's insert a YouTube video, so I select YouTube, and now I need to paste the URL of the YouTube video.
00:46So I went to YouTube and found this video about Volunteering at the Museum, and I'd
00:50like to use this video.
00:53So I just take the URL, that is all of this information up here, and I copy that, Ctrl+C
01:00on a PC, Command+C on and Mac, and I paste that into this form Command+V on a Mac,
01:08V as in Victor, or Ctrl+V on a PC.
01:11I can decide if want to border around the YouTube video, I can even give this a title, so I click Save.
01:18Now this inserts what's called just a placeholder, this is a video gadget.
01:23When I click Save I'll actually see the video, so I click Save, now here is the video.
01:30So there is the title, the users can play the video right here.
01:33(video playing)
01:37And you have got all of these YouTube controls like the Volume, turning on Captions
01:42if they're available, you can make this full screen, to escape full screen, I just click
01:48Escape, either I or the viewers can actually Share the videos, they videos they have all
01:53of the different YouTube options.
01:55If they want to open it in the YouTube page, they click the title of the video there.
02:01So the video is always going to be this size on the page, but users again can make it go full screen.
02:08Now if I need to make changes to this video, I click Edit page, then I can edit this gadget by clicking on it.
02:15I can change the Alignment to Center, Right, and just like with images I can decide if
02:21want the text on the page to wrap around the video, or if I want to turn off the Text Wrap.
02:29And if I need to make changes to the properties of the video, I click on the Gear, and this
02:33is where I could change the URL, or decide to remove the border or change the title,
02:38and then if need to remove the video, I just click the X here.
02:42But video is a really great way to add some more dynamic interesting content to your Google Site page.

Inserting a video from Google Docs
00:00So I have created a page on site called Media where I want to add some videos about the Volunteer program.
00:07In another video in this chapter I inserted a YouTube video, and that's one option for video.
00:12The other option for video is that you can insert a video from your Google Drive account.
00:19And so everyone who has a Google apps account or Gmail account also has a Google Drive account,
00:26so when you're looking at your site's screen or when you're in Gmail, if you click on Drive
00:31this opens up Google Drive, and this is an online files store and sharing location.
00:38You can learn more about this application through our course, Google Drive Essential Training.
00:44One thing you should know that Google Drive is you get 5 gigabytes of free storage space.
00:48You can upload videos or any type of file here.
00:51And Google Drive would be more appropriate for adding a video that you want to keep private
00:56or only share with the few people, whereas YouTube is more for public consumption.
01:02So to add a video to a site from Google Drive, first we have to add the video to Google Drive,
01:08and we do that by uploading the file, so I click Upload, and I'm going to Select File.
01:15I have this video about one of the photographers who works at the museum, so I'll click Open.
01:21Now this video is uploading, you can see the progress about 15% done.
01:27So when the video has been uploaded, I will then find the video in the My Drive.
01:34I have some other docs that are already here, so here's the video.
01:41So I can take a look at the video here, see the name of the video, and this video icon,
01:45and when I open it, see the video, and I can actually play the video right in the player.
01:51When you first upload a file to Google Drive, it is a private file that only you can see.
01:57You can then click on Share, and I can add individual people here who can also edit or view this video.
02:04Now, in the case of this Google site, I'm building this is a site that's going to be
02:09open to all types of people, not just a few people or just on one domain.
02:15So in that case I want to share this video so that anybody can view it.
02:20So I need to Change the visibility settings here where it says Private,
02:25and I'm going to select Anyone with the link.
02:27So anyone who has a link to this video or sees the embedded video will be able to play it.
02:33If I don't change this setting, then when people try to play the video from Google Sites,
02:38they will get an access error.
02:40Okay, now I have this special link to the video, which is one way I could add it to the site.
02:47But I'm going to add it to the site by going into the Media page, clicking the Edit Page
02:53button, I'll put my mouse where I want that video to go, from the Insert Menu, I choose
03:00Video, and this has constructed a Google Docs video. So I get to this Insert screen,
03:06and right here I'm looking at My Videos.
03:08This is the section that will show all of my Google Docs videos.
03:12Notice there are some other items here that I could insert, other Google products.
03:16But right now just looking at Videos, and I only have one video.
03:19If I had more then one, I could do a search. These most likely will be in order of upload date.
03:25So I'm going to select the Jim Sugar video, I click Select so that URL is already copied in.
03:31I can decide if I want a Border and the Title. I'm going to change the title here.
03:41Now unlike the YouTube video, I can actually set the Width and Height for the video, but
03:45I will just leave the Default right now, and I click Save, so a gadget is inserted here, this is a video gadget.
03:53Once I click Save, I'll see the video, and here's the video, so I can play the video right here.
03:59(video playing)
04:03I can change the Volume, I see the time that's elapsed, can turn on Closed Captioning,
04:10got some Quality options, and then of course I can go full screen.
04:15Now if click on the Title here, this will actually bring me to--well, that's interesting
04:19what just happened there, because what I assumed would happen was it would bring to this page.
04:25Instead, it tried to bring me to a YouTube page.
04:28So it looks like we even covered a little bug in the sites, good thing to know.
04:32I'll be informing Google about this and by the time you watch this video, this little issue
04:36may not come up, or it may still come up.
04:39So if I need to make changes to this video later, I can click Edit to Edit the page,
04:45then I select the Video gadget I can change the alignment here, Center, Right, I can turn
04:51Text Wrapping on or off, I'll go back to Align Left.
04:55If I need to get back to those Video Properties like the Dimension, I can click Properties,
04:59and here is if I need to update the video URL or the title, and then I click Save
05:04and Save again, and that's how to add a Google Docs video.

5. Managing Pages
Deleting a page
00:00So I have been working on this Volunteer Program site for the museum, and we added this Volunteer Directory page.
00:07But on second thought, I think this is probably something we want to keep private, we're not
00:11going to publish this information on the site, so I'm going to delete this page from the site.
00:17And when I delete a page, it goes into this Deleted Item Area for about 4 weeks,
00:22and then it's permanently deleted.
00:23So the first step of deleting a page is clicking on the More menu and choosing Delete Page.
00:30Now If you delete a top level page, it will also delete the sublevel pages, and any lists
00:38or file cabinets or posts that are associated with the page, so this going to delete this page
00:45and this list here as well.
00:49So if I want to delete the page, I select Delete, and the page is deleted, it no longer appears in my navigation.
00:57If somebody goes to the site or the URL where the page used to exist, it won't be there.
01:03If you need to recover the page, you can go into your Site Management area by clicking More and Manage Site.
01:11And if I go to this Deleted Items Area, it shows me all of the items I have deleted recently,
01:16so the name, the URL, who deleted it, and when it will be deleted permanently.
01:22So, this one that I just deleted, that it is going to be deleted permanently in 4 weeks.
01:27If I want to delete that permanently now, I click Delete Permanently; if want to recover it,
01:32I click Recover, so clicking Recover will recover the page, and when go back to my site
01:39now, there is the Volunteer Directory just where I left it.
01:43Again, if you mistakenly delete a page, you do have up to 4 weeks to recover that.

Moving a page
00:00You can always view the Sitemap to view the hierarchy of the site pages. So it looks like
00:06I have got about one, two, three, four, five, six, seven, eight top level pages, and then
00:12under Files I have got one sublevel page.
00:16And you can have sub-subpages under the subpages.
00:21And so the hierarchy of the site is helpful for your users, because they'll see what pages
00:27belong in which categories.
00:30Now, if you need to move a page around, you can do that at anytime.
00:35For example, this image gallery should actually go under the Media page, which should be a subpage of Media.
00:43So in the Sitemap this is the tree version of the page; you can also look at just the
00:47list view, but the tree view here shows you the hierarchy.
00:51So I want to move the Image Gallery page. I go to that page and then in the More menu
00:58there's an option to move the page, the shortcut is Shift+M.
01:03And so this shows me the sitemap, and then I can decide where do I want to move the page.
01:07And in this case I want to move it under Media.
01:11So it'll be a subpage of media, so I click Move, and I could see in the navigation image
01:17gallery is now a subpage of Media.
01:20In the chapter about the navigation we'll look at even more about how to alter the navigation,
01:25but I can see if I go to Media there is a caret here and then this is the subpage.
01:30So if I click on Media, below it lists the subpages of Media, I'll choose Image Gallery.
01:38Now, Job Descriptions right now is a subpage of Files, so it's Files then Job Description.
01:45But it really shouldn't be a subpage, I want to make it a top level page.
01:49So in that case, I select More > Move page, and then I choose the site name so that it
01:57becomes a top level page, and now this is a top level page.
02:03So in the navigation you see subpages when you expand the arrow here, you can see the subpages.
02:10Remember also when you create a new page this is where you can select the location, either
02:15at the top level, under the page you are currently looking at, or you can choose a different location.
02:23When you create a new page, you could choose the location, but remember you can't always
02:27move the page again to a different location. Depending on what you want, you just go to More and Move page.
02:35So the hierarchy is really important with site organization, because it does help your
02:39users navigate the site effectively.

Displaying subpages
00:00This is a pretty simple video, but it is important because it's about your site hierarchy and
00:05having only the pages display that you want to display.
00:09When you go to a page that has subpages like Media which has an Image Gallery and Podcast
00:14subpage, by default those subpages will appear at the bottom of the page, Image Gallery and Podcast.
00:22So, even if they don't appear in the navigation, any user who comes to this page will be able
00:28to see that this page has subpages, and then they'll be able to click on these subpages to go to that page.
00:34Now if you do not want the subpages to appear here on the page, you can change that in Page Settings.
00:41You click More and Page settings or the keyboard shortcut U, and then you simply
00:48untick Show links to subpages, so you click Save, and now the page no longer
00:55displays the links to subpages.
00:57However, if you have a site map, and you have put that on your site, this is where your users can see the subpages.
01:04And they may also see them in the navigation if you have set up your navigation that way.
01:09So for any page where you do want the subpages to show, you just go into the More menu,
01:16Page settings, and you would untick allow subpages.
01:19Now this page doesn't have any subpages so that's what it's not showing up, but again
01:24back on this page that does have subpage,
01:27if I click Page settings, I can either allow the links to the subpages or disallow.

6. Defining the Site Navigation
Setting the location of the navigation
00:00Your site navigation is very important because it helps your users quickly move around your site
00:05and find the information they're looking for. It also gives your users or your site visitors
00:10an idea of what they'll find on the site.
00:13So the navigation and the different levels of navigation are an important guide for your sites visitors.
00:19So the default location for this navigation element is over here on the left.
00:25This whole area here is called the Sidebar, and it can contain the navigation or other elements,
00:31I have added a countdown here as well, this is another element in the sidebar.
00:36If I would like to move the navigation over to the right-hand side of the site, I can do that.
00:41It moves the entire sidebar, so everything will move over to the right.
00:47So to change the location of the navigation, there're couples of way I can get to that area.
00:52I can click More and choose Manage site, or I can choose Edit site layout.
00:58So if I choose Manage site, then I can come in here and then select Site layout, but it's
01:04probably quicker to just click on the More menu and choose Edit site layout,
01:10or to use the keyboard shortcut, Shift+L.
01:13Okay, so this puts up the Site layout buttons up here.
01:19If we want to move the sidebar location, I can click this pencil right here, and now
01:24I can decide to put the sidebar on the right.
01:27I can also change the width of the sidebar, so the default is 150 pixels.
01:33If I want to make this a wider sidebar, maybe I have a lot text in here, and I want to make sure
01:37all the text appears on the single line, each element, I can increase the width, make this
01:43150, or I could do 200 or I can make this sidebar thinner if I'd like by decreasing the number of pixels.
01:51Right now we'll just leave it at 150, but I'm moving the sidebar to the right, so I click OK.
01:57My sidebar is now on the right. If I'm happy with that look, I can click Close.
02:02And now this entire sidebar is on the right.
02:06If I need to change that back, I'm going to use my keyboard shortcut, Shift+L, and then
02:11I'll click on the Pencil icon here. Now I'll move that back to the left.
02:16Now this is called a vertical navigation because the elements are listed vertically.
02:21You can change the vertical navigation into a horizontal navigation where the items are
02:26listed horizontally across the top, or you could have both horizontal and vertical navigation,
02:32you can have a secondary navigation.
02:35So let's turn on the Horizontal navigation, and I can do that while I'm in this site Layout
02:40settings by clicking Horizontal navigation, and this turns on Horizontal navigation.
02:47Now what it's done is it has added just this Home element to the horizontal navigation,
02:52it hasn't added these other navigations items. I need to add those manually.
02:56And I'll show you how that's done, I'll click Close here, so I can decide what elements
03:02I want to display horizontally, maybe I want everything to display horizontally,
03:06maybe just a few of the elements.
03:08So to add items to the horizontal navigation, I'm going to come into More and choose Manage site,
03:16then I'll choose Site layout. Where it says horizontal navigation bar, this is where
03:23I click edit horizontal navigation content.
03:27And this is where I can start adding pages that I want to show in the horizontal navigation.
03:32So I'll click Add page, I can see my entire Site map or just my recent changes, and maybe
03:39I want to add announcements, so I select Announcements, I click OK.
03:46I'm going to add another page, maybe I'll add media as well, so I'll select Media, then I click OK.
03:55I can use this up and down arrows to move the navigation items either further to the
04:01left or further to the right.
04:02So in horizontal navigation the element listed first is the one on the left.
04:07Maybe I also want to include a link to the Site map.
04:10And then I can decide the style here for the navigation elements boxes is what you saw
04:17before that looks like a box. There is a Tab, it looks more like a Tab. I'm going to select Tab
04:21so you can see that, and then the Link is just the Link, so I click OK.
04:27Now I click Save don't forget that step, and I go back to the site.
04:31Now that's interesting, for some reasons it moved my navigation over here over to the
04:35right, and I think that was maybe a bug here, because I didn't select for that to be on the right.
04:41I am not going to change that right now, but I can change that back to the left showing
04:45you the technique I showed you earlier, which was to change the location of the sidebar.
04:49But what I want to point out here is that I now have a horizontal navigation.
04:56So if you remember, I added Announcements in here and Media and a link to Sitemap and these
05:02are tabs, so this another way to move around the site.
05:06I choose to have some links in a horizontal navigation that also exist in the vertical navigation.
05:12That's okay, or you can delete the items from the vertical navigation that
05:16are in the horizontal navigation, we'll look at that in another movie in this chapter.
05:20So that's how you set up your horizontal navigation.
05:24And again, to make changes to that horizontal navigation, I go into Manage Site and Site Layout,
05:29and I edit the horizontal nav content.

Adding pages to the navigation bar
00:00There are two methods in which new pages get added to the navigation.
00:05The first method is that any new page you create automatically gets added to the navigation.
00:10This is actually the default setting for Google Sites.
00:13So, if you create a new site, new pages are automatically going to get added to the navigation.
00:19Or you can change this setting so that you pick and choose which pages get added to the navigation.
00:24So, for a small site with maybe less than ten pages, it's probably fine if you automatically
00:29add the pages to the navigation.
00:32But for a larger site, you may want to change this so that you pick and choose so that your
00:36viewers are overwhelmed with the number of pages.
00:39So, let's look at the first method where the page gets automatically added here into the navigation.
00:46I'll start by creating a new page, and I do that by clicking the New page button.
00:53The name of my new page is going to be Bookkeeping.
00:55So, I type the name of the page.
00:58We'll just do a general web page here, and I click Create.
01:03So, here is my New page. I'm in Edit mode.
01:06The important think to notice is that this page automatically got added to the navigation.
01:11And it got added in alphabetical order.
01:14So, after home, all of the pages are in alphabetical order.
01:18So, I'll click Save, and I have got my New page, which I can come back and edit later, and
01:23I also see that it appears here in the navigation.
01:28So, now let's look at the other method, where pages are not automatically added.
01:33The first thing you need to do is go into your Manage Site area.
01:40Then if you scroll down to the Site layout section, in the sidebar here it shows that
01:44I have got this navigation element, and if I click Edit, I see that right now my navigation
01:50is Automatically being organized, meaning, new pages are automatically added.
01:55So when I untick this button, a new menu appears, and this shows all of the different
02:00pages that are currently in my navigation.
02:03And from here, I can organize the page order with the Up and Down and Left and Right button.
02:08I can remove a page by highlighting it, clicking the X, and I can add a page.
02:14So, by clicking Add page, it brings up my Site map where I can select a page to add,
02:22I can just choose one that's here, or I can search for one.
02:25So, I'm going to search for the map page.
02:28There we go, Map and Directions.
02:31This is the page I want to add, so I highlight it, and I click OK.
02:35And that page has just been added to my navigation.
02:38You'll need to click OK again to save that. And then I click Save again.
02:49And now my New page shows up here on my navigation.
02:54Notice it's no longer in alphabetical order.
02:56So, once you switch off that Automatically organize my navigation check box, then you
03:03need to manually go in and add or remove pages to your navigation.
03:08Another way to add a new page in the creation process, I'll click the New page button.
03:16I'll call this Links. I'll create it, then I save it.
03:25And from the More menu, I can choose Page settings or use the keyboard shortcut U.
03:31And then to make sure that it shows up in my navigation, I click Show this page in the sidebar.
03:37And now the Links page will show up in the sidebar, so I'll click Save.
03:43And after this refreshes, now Links still shows up so that's the other way to how
03:49a page appear in your navigation. So, you can decide what's best.
03:52Pages can automatically get added or you can go in and choose which pages you want to show up and which you don't.

Changing the order of navigation elements
00:00You can change the order in which the pages appear in navigation.
00:05You can also change whether a page is sort of a subpage, a nested page in here,
00:11or if it's on the first level, so it's un-nested.
00:15So by default, the nesting is just based on whether a page is a subpage or not.
00:19If it's a subpage, like Orientation Schedule's a subpage of Announcements.
00:24It automatically gets indented, but you can indent more or unindent.
00:28So, let's look at how to change that.
00:31We'll go into Site layout section by selecting More and then Edit site layout.
00:36From here, if I hover over the navigation, it displays navigation and clicking on the
00:43black header will show the Configure navigation screen.
00:47So I use these Up and Down arrows and the Left and Right arrows to move the pages around.
00:52So, maybe I have decided that Media should be a little higher up.
00:57So, I select Media, and then I use the Move up button to move this up to the desired location.
01:06And I can move a page down like Classroom Training by selecting it and choosing Move Down.
01:12I can also indent or unindent a page.
01:14So, if I want Calendar to be indented under Home, I click on the Indent button.
01:21If I want to unindent a page like Image Gallery which is a subpage of Media, I have decided
01:27I don't want this indented. So, I click on the Outdent button.
01:32And I didn't know that was a word, but now we know, Outdent.
01:35Okay, so I click OK.
01:38I can see that my sidebar has changed, and I click Close.
01:42And now Media has moved up, Classroom Training has moved down.
01:50I have unindented Image Gallery, and I have indented Calendar.
01:55Another way to get to that screen is to go into the More section and choose Manage Site.
02:03Then under Site layout, I click Edit by Navigation.
02:09Now remember, if you have got Automatically organize my navigation selected, then you
02:13won't see a listing all of the pages.
02:16Because pages are automatically added, and you can't change the order or indenting, so
02:21you'd want to untick this box here, if you don't see the option to change the page order.
02:26And you can always come back in here and undo your changes or make new changes based on
02:34how your site has changed.
02:36But it is nice that you have that flexibility to change the order of the pages.

Adding an outside URL to the navigation bar
00:00Not only can your navigation be made up of different pages on your site, you can actually link to outside URLs.
00:06So, notice I have this Museum Homepage link.
00:09When I click on this, instead of opening another page in my site, it actually opens
00:14the Museum Homepage, so totally a different URL.
00:17So, to add an outside URL to the navigation, I click on More, then I choose Manage Site,
00:26and I'll go into the Site layout area, and I'll click Edit by Navigation.
00:32I added that Museum Homepage site by clicking Add URL.
00:36So, if I want to add another URL, maybe I want to link to this other site I'm building,
00:42this Classroom site, I select the URL of the site. I click Add URL.
00:48I choose the Text to display, so maybe I call it Classroom Training, and then I'll paste
00:55in the URL, Ctrl+V on a PC or Command+V on a Mac.
01:01You can also add an email address, if you want to link to an email address. So, I click OK.
01:07There is that new URL. I click OK and Save.
01:11And now when I go back to site, I see this Classroom Training, and if I were to click
01:16on that link, it actually links to another site.
01:20So, your navigation does not only have to link to different pages, it can also link
01:24to different entire websites or Google sites, and this is helpful if perhaps you're building
01:29a company intranet made up of different subsites or maybe each department makes a site,
01:35and then you link it all together on the company intranet.

Creating multiple navigation sections
00:00Your Google Site is made up of various elements, and one of these elements is a navigation element.
00:06So this is the vertical navigation element, this is what's call the countdown element,
00:12this is the horizontal nav element.
00:15In the first video in this chapter we looked at how to add the horizontal navigation, now
00:20let's talk about how to add an additional navigation element.
00:25So maybe you want to separate your navigation into two sections.
00:29Perhaps I want navigation to internal pages, and then I want a secondary navigation that links to outside pages.
00:37So to add that secondary navigation element, I'll click More and Manage site.
00:43then I'm going to willing to go to Site layout and so I can see in my sidebar I already have
00:49one navigation element, now I'm going to add another sidebar item.
00:53I click Add a sidebar item, I have got some different options here, Text, Recent activity,
00:59Countdown, who are the Site owners, but right up here towards the top I have got Navigation.
01:04So I have now added a second navigation element. I'll click Edit to edit this.
01:10I'm going to give this a name, I'll call this Outside Links, and then I can start adding pages to this navigation.
01:17So we saw in another movie in this chapter how to add pages and how to add links to a navigation.
01:24So I'm going to add a URL, I'm going to add the Museum Homepage.
01:31So I put in the text in the URL, and maybe I'm also going to add a link to the let's say lynda.com.
01:41Who knows? Maybe there will be a course on how to volunteer at a museum at some point.
01:46So we'll put in a link here, and again I can organize the pages using the up or down and
01:52the right and left to indent or outdent.
01:55So I click OK, and I'm going to edit this other navigation, I'm going to remove the element I had added here.
02:01I have already linked to the Museum Homepage here, but I'm going to remove that element by clicking the X.
02:07I don't need two links. That would be confusing.
02:10So I click OK, click SAVE.
02:13We'll go back to the Volunteer Program page, and I have now got two different navigations.
02:18I have got this navigation here where are links to different pages, and then I have got this
02:22navigation that I called Outside Links, where I link to the outside links like the Museum Homepage and lynda.com.
02:30So you can add as many of these additional navigation elements as you'd like.
02:36And sometimes it really just makes sense to separate your navigation elements into two different areas.
02:42If you need to go back to that area, I choose Manage site, Site layout.
02:47Now unfortunately, it doesn't name the different navigations. You just kind of have to remember.
02:51Oh, this is the one with the links to the pages, this is the one with the links to outside the links.
02:56I know that if I click Edit it says Outside Links, so I know which navigation that is.
03:07Another place you may want to add a secondary navigation is actually if I go to this Media site, this page.
03:14If I want to add a navigation to the different subpages of this site, I can do that by clicking Edit to edit the page.
03:22I'll move this down, I'll place my cursor here at the top, and from Insert I choose Subpage
03:28listing, and this will list the subpages of this page.
03:34So I can choose how many levels, and I'll just choose all and then the Width of this
03:37Subpage listing, and if I want it to have look sort of like this, have a title of the
03:43top that's in gray and then the listing in white or if I want it all to be in gray, I'll
03:48choose that, I'll click Save, it puts in this placeholder, and I click Save again, and now
03:54it's going to list the subpages of Media, and as I add additional subpages, they will
04:00show up here in the Subpage Listing.
04:02So that's another way to add another navigation element to your site.

7. Integrating Google Docs and Google Calendar
Inserting Google Docs on a page
00:01As I have mentioned in the intro to this course, one of the nice things about Google Sites
00:06is it's integrated with the other Google apps products.
00:11This integration with Google Drive is especially helpful because you can pull in your Google
00:16documents, your Google spreadsheets and your Google presentations, as well as other Google files.
00:22Google is actually making a change right now to the naming convention of those, so you
00:27may hear me say documents which are now called docs, those are the text documents, spreadsheets,
00:34which are now called sheets, those are the Excel like spreadsheets.
00:38And then slides, which was formally called presentations.
00:43So if you here me interchanging those words, I think you know what I mean now.
00:46So, I created a new page called Job Description, and instead of typing my job description into
00:53the Google Site page, I just want to add a Google Drive doc that I have created called Job Descriptions.
01:01So I'm going to go into Google Drive for a moment.
01:03If I go back to my main site page, and I click on Drive, I can now go into my Google Drive account.
01:09And within Google Drive I can store my files that I have access to them anywhere.
01:15I can also create new Word processing documents, presentations, spreadsheets, or with
01:22the new terms, docs, slides, sheets.
01:26So I created a doc called Volunteer Job Descriptions where I wrote up the job description,
01:32so here is what it looks like if you have never seen Google Drive before.
01:35It's very similar to Microsoft Word or other text editing programs.
01:40We also have a course called Google Drive Essential Training where you'll learn all about this.
01:46So here is the Job Description document.
01:49Now I want to pull this into my site, so I click Edit page and then from the Insert menu
01:58I'm going to choose Document. Now this term may change soon just to Doc.
02:05So a box comes up here which is Insert, and I can see my different docs listed, documents, presentation, spreadsheets.
02:12Here's is that Volunteer Job Description doc, I select it, I click Select.
02:18Now, when you first add a Google doc to a site page, it'll just show up as a gray box, you'll
02:25see that in just a moment, but first we can decide here if we want to have a border around
02:30the document, what the title should be, the height.
02:33I usually leave the width at 100%, so it takes up the full screen.
02:38So I click Save, and so this placeholder appears when I click Save again.
02:45Now I'm going to pull in that job description, and if I make changes here in the live document
02:51to the description, within a few minutes those changes should push out to the site.
02:56So, I usually choose to add documents instead of just editing a site page when the document
03:04changes a lot I need to do special formatting, or when I don't want my site editors to be
03:11able to edit the document, because if I just type this into a site page, any site editor
03:17would be able to actually come in here and edit the text.
03:20But this doc in Google Drive has its own set of permissions, and we should talk about those
03:26permissions for just a moment.
03:28Because if you're going to share a Google doc, you're going to want to make sure that
03:33you have got the right permission set up so the people who you intend to be able to see the doc can see it.
03:39And you do that back in the document here.
03:42Well, we have a whole chapter--maybe two chapters-- devoted to this Google Drive Essential Training.
03:47But to change the permission, I click the Share button, and then I can add specific
03:53users or groups who can edit or comment or view the document. I can also just change the general visibility settings.
04:02So, right now I have this set as Anyone who has the link can view.
04:07So I can come in here, and I can change it to one of these other options.
04:11You'll have five options if you're using a Google apps account, three options if you're
04:16using just a Gmail or general Google account.
04:20So I can make the doc Private, I can allow just people at my organization who have an
04:25email address ending in vol.samoca.org to be able to see the doc, or I can make it so
04:31that anyone in my organization can find the doc or anyone with the link, which is probably
04:38the most appropriate for this volunteer site.
04:40Since people who aren't necessarily members of my organization need access to see this
04:45doc or I can make it public on the web which actually publishes the doc.
04:50So if you have people telling you, hey, I can't see that document or I'm getting the
04:54permission error, it's probably that you just didn't set your Sharing settings up right.
05:00So I'll cancel out of here, because I do have the permission set up correctly right now.
05:06So that's how I would add a Google document to my page.
05:09Now I can add a spreadsheet or presentation as well.
05:13One thing I do want to point out, though, is that if somebody is looking at this document
05:17that's embedded in the site, they can always click on this link here, and that will actually
05:22open the doc within Google Drive.
05:25Now I'm in editor of this document, so I have Edit view, but if I was just a viewer it what
05:30open in just View-only mode.
05:34So we'll look at adding spreadsheet or presentation again, I click Edit Page, I'll put my mouse
05:44cursor where I want the new file to go, from the Insert menu, this time I'm going to choose
05:51Spreadsheet, and it looks like I don't have any spreadsheets to add.
05:56However, if I create a new spreadsheet in Google Drive then I will, so maybe I'm going
06:01to just create a spreadsheet quickly, and I'll title this.
06:10So, now when I come back in here, it should pull up that spreadsheet I created,
06:15I may need to give it just a second to sync.
06:18In the meantime I'll show you a presentation. So a presentation would be like a PowerPoint.
06:24So from the Insert menu I choose Presentation, and I have got this volunteer orientation
06:31presentation, so I'll select that one.
06:35Now from here I can decide what size I want it to show, and so this should be determine
06:40by the layout of your site. I'll choose medium.
06:43I can also start the slide show on its own, so people can click through the slides or
06:49I can just have it automatically start which is a neat feature, so I'll click Save,
06:54and let's see how that looks.
06:56So here is my presentation, and it loads up, and it's just going to play on its own,
07:03I'm not even clicking on it, it's just moving through the presentation.
07:07I could take over, and I could force it move forward or backwards, but when it first loads,
07:12it's just going to play on its own.
07:15So this would be a nice way to highlight your organization or program to just have a presentation playing like that.
07:21And again, like any Google doc, you need to make sure you have got the correct permissions set up.
07:26So if people are telling you I can't see it or I have been no permission error, you would
07:30want to come into the presentation here and in the sharing area just make sure you have
07:36shared out the presentation correctly.
07:41So let's go back and finally add that spreadsheet, it should appear now. I choose Insert and Spreadsheet,
07:49and now it does have that contact list there, so I can paste that in. Just for fun,
07:56I'll show what it looks like when I restrict the width. I'm going to put--I can put the
08:00number of pixels, so maybe I'm going to put 350 pixels, I'll click Save, so now you can
08:08see it's a little thinner and save again, and now it's going to display my spreadsheet, there we go.
08:17So being able to integrate your Google Drive docs and files right into your Google Site is a really useful tool.

Controlling the visibility of Google Docs
00:00When you add a Google doc like a document, spreadsheet, or presentation to a site's page,
00:06you need to verify that you have the correct sharing permission set up for that doc,
00:12or else other viewers of your site might not be able to see it.
00:15So I'm the one who created this volunteer job descriptions document in Google Drive,
00:20and then I added it to my Google Site.
00:22So when I'm logged in--this is me, admin@vol.samoca.org--I can see the doc.
00:28However, if another user was to go to the site who is not logged in as me, they would
00:34just see a blank, and that's because I haven't shared out this volunteers document page,
00:41so they don't have access to see it, and that's why they just see a blank page.
00:45So whenever you add a new doc to a Google Site page, you need to check the permissions.
00:52And I manage the permissions by opening up that doc from Google Drive and then clicking on the Share button.
00:59And right now I see this is a private doc, so only I can see it.
01:03If you want to learn more that sharing permissions, I encourage you to watch the whole chapter
01:07on this in Google Drive Essential Training, but basically you can share the doc with specific
01:13people or groups of people, so I could add in a another user here like Toby,
01:21and I can make Toby either an editor or commenter or viewer.
01:25So if I just make Toby a viewer, then she can view this document, and if she were to go
01:30to my Google Site she would be able to view it, that's still private for everyone else.
01:36I could also add a group of people, so maybe I'll call this, I'll show this with a group
01:41called volunteers at my domain, and I'll make them viewers.
01:47So, now I have added this group here, who can view it.
01:54But what if I decide to make this a public site? And we talk more about that in the site sharing permissions.
02:01Well, I want to make sure that if anyone from the public can view this site that they can also view this document.
02:06And so in that case, not only do I want to just share this with specific people or groups,
02:12but I want to change the visibility setting of the entire doc, and I do that by clicking
02:17by Private, I click Change, and this changes the visibility, so I can keep this just within
02:22my organization, so only people who have an email address at my organization can see this,
02:29if they have the link or that anybody in my organization can search Google Drive and find this.
02:34But if I am publishing this so that anyone in the world can view this site, I'll either
02:39want to choose Anyone with the link can find this document, and if I have linked to this
02:43document on the site then anyone can view it or Public on the web, which means this
02:48document actually becomes searchable on the web.
02:51So I'm just going to choose Anyone with the link.
02:54So I click Save, I have changed the permission of this document, so the icon by the Share
02:59button changes to anyone with this link.
03:03So what that means now is that anyone with the link who comes upon this page will be
03:08able to see the description.
03:10So let me refresh the page, I am just an anonymous viewer here.
03:13And now this viewer can see the document. They can't edit it, but they can see the document contents.
03:21So anytime you insert a Google doc or Google file into a site, you will want to make sure
03:27that you set up the correct permissions for that file so that it can be seen by the people who you want to see it.

Inserting Google Calendars on a page
00:00Adding a Google Calendar to your site page is a great way to share upcoming events
00:05or activities with the community that visits your site.
00:08So I have created this page here called Calendar, and I haven't yet inserted a calendar.
00:13To insert the calendar, I am actually going to go to my Google Calendar program.
00:18And so you can get into Calendar just by clicking on the Calendar link when you are logged in to your Google account.
00:25So here is my calendar, I have already got my calendar that's associated with my name here.
00:32So that's my primary calendar, but I am going to create a secondary calendar that I can
00:37use to publish activities about the volunteer program.
00:41And you can learn more about creating and publishing and sharing calendars in our
00:46Google Calendar Essential Training course.
00:48So to create the secondary calendar, click on the down arrow here and then choose Create a new calendar.
00:54And I will call this SAMOCA Volunteer Calendar.
01:00I am not going to make any other changes yet, I will just go ahead and click Create Calendar.
01:05So this new calendar is now listed under My calendars.
01:09And I want to put some events on this calendar.
01:12So we are going to have an orientation on the 4th from 10:00 to 12:30, so I create this
01:18new event, and I will call it Orientation.
01:20And in the Calendar drop down, I want to make sure this goes in the right calendar, it goes
01:25on the Volunteer Calendar.
01:27Notice it turns this pink color which is the same color associated with my calendar,
01:33and I click Create event.
01:34If I wanted, I could open this event and add some more information here.
01:39I will save those changes, I am going to create a few other events as well.
01:48On the 9th, we are going to have a lunch with the volunteers.
01:56I want to put an all day event on the second, that this is the deadline for volunteer applications.
02:01Okay, so I have created this calendar, and I have added some events to the calendar.
02:09Now, right now I am the only one who is editing this calendar, but I could go into the calendar
02:13sharing settings and add other people as people who can make changes to this calendar,
02:18but for right now I will just leave it as is.
02:21So, now I am going to go into my calendar page in my Google Site, and I want to edit this page,
02:26so I click on the pencil icon.
02:28I am going to click Insert, and now I will choose Calendar.
02:35So this is going to list all of the calendars that I have access to.
02:39So calendars I have added or created, so there is my default calendar, here is the new one
02:45that I just created, the Volunteer Calendar. You can actually insert more than one calendar.
02:51First, we choose one calendar, and then we can insert another one later, but for now
02:55I am just going to check the Volunteer Calendar, I choose Select, and now I can set up some
03:00properties about how this calendar will look.
03:03I can list a Height, I can list a Width. If I leave it empty, it will be 100%.
03:08I can choose the default view, and I actually like the Agenda view.
03:14I can choose the Timezone, the default Timezone for the calendar, in this case, our museum
03:20is in California, so this is going to be the Pacific Time.
03:26Then under Display Options I can tick off the various elements that I want to show.
03:31Maybe I want to show the navigation so the user can change the view from the Week to
03:34Month to Agenda in the navigation button, so I am just going to leave everything on for now.
03:40So I click Save, this gadget is inserted here, I will click Save again so I can view it.
03:46And here is the Calendar, so it's in this Agenda view so you can see okay the Volunteer
03:50application deadline is coming up, there is an orientation, a user could click on this
03:55and get some details about this.
03:57I could also look at the Week view, nothing this week, but I see some events next week or the Month view.
04:06So let's see what's happening in January.
04:12So this is a great way to share updates in the calendar.
04:15Now if I go back to my calendar, and I add a new event, so we are actually having two
04:21orientations, we have one on Friday, and we are going to have one on Saturday.
04:31So I have created that event.
04:33Now when I go back to my calendar page, and I refresh the page, now it shows that second orientation.
04:40So it automatically updates my calendar here.
04:43So this is how you can add a calendar, Google Calendar to your Google Site page.
04:50Now if I need to make changes to this calendar I click Edit Page.
04:54Then I click on the gadget here, and I choose the Gear icon where I can change the properties,
05:00this takes me back to this page where I can change the height and the width, maybe I have
05:04decided I don't want a border here, maybe I want to display another calendar as well.
05:10So I will choose US Holidays, you can display two calendars on one calendar page.
05:15And I have decided I want the default view to be Month.
05:19So I click Save, and I click Save again.
05:22And now my calendar updates the default view as Month.
05:26Not only am I showing my volunteer calendar, I have also got the US Holiday calendar showing up here as well.
05:34So I really like this Calendar element, it's a great way to share information with your
05:38users, and if your users want to subscribe to this calendar, they can click on this Plus
05:43Google Calendar button, and then they can add the calendar to their own Google Apps Calendar for viewing purposes only.

Controlling the visibility of a Google Calendar
00:00On my Google Site I have added this Calendar page, and I have the SAMOCA Volunteer Calendar,
00:06so those events are here in blue.
00:09However, when I view this site as someone who is not signed in, so not myself I have
00:15it in this incognito window, I get this error that some events can not be shown because
00:20I don't have permission to view them.
00:22So it looks like I'm seeing the Holiday Calendar but the SAMOCA Volunteer Calendar is not showing up.
00:28So the reason for this is I probably didn't set the sharing permissions for my SAMOCA Volunteer Calendar correct.
00:36So what I need to do is go into my Google Calendar, so I can get there from the main
00:41sites page by selecting Calendar, just going to calendar.google.com, and I see the SAMOCA Volunteer Calendar here.
00:50To change the settings I select Share this calendar, and I see right now the calendar is not being shared.
00:57So I have access to it, and I have given Toby access to it, but it's not being shared with
01:02the general public, and that's why people couldn't view the calendar.
01:07So what I need to do is select Share this calendar with others, and I can choose to
01:12share it with everyone in my organization and also I can make the calendar public so
01:17that just people who are interested in volunteering can come to the site and see the calendar.
01:22I have got two sharing options here, See all event details or See only free/busy.
01:28Now if I'd select See only free/busy that will just see blocks of time when the calendar
01:32is busy, and that's not that helpful because this is an informative calendar.
01:37So I'll choose See all event details, and then I Save my changes, and I click Yes,
01:44so by making the calendar public it may show up in Google searches, so you should be aware of that.
01:50So, now when I go back to this incognito window, and I refresh the page, and I'll go into January,
01:57those events now show up because I have set the Visibility correctly.
02:01If you want to learn more about changing your calendar visibility and sharing with specific
02:06people, highly recommend the Calendar Essential Training course.
02:10I think we have one or two chapters just devoted to how to share your calendar and set the permissions.
02:17So that is a step whenever you add a calendar to your site page just make sure you have
02:23set up the permissions correctly, and you do that within the Calendar application.

Removing and resizing docs and calendars
00:00When you add Google Docs to your site or a Google Calendar, it's considered a gadget.
00:07And you know you have some type of gadget on your page because when you go to the page,
00:12like if I go into the Job Description page, and I Edit it, I see that my Google document
00:20has this gray box, that's how it's represented to make changes to it, actually.
00:25You need to click on it and go to the Properties.
00:28Most of what you insert from the menu here are considered gadgets.
00:33So we'll talk about gadgets that are special light-weight applications that you can add
00:37to your site, we talk about that later in the course and then there is also that Google Gadgets.
00:42So like Google Calendar gadget, or Doc gadget or Spreadsheet or Presentation gadget.
00:48So if you need to resize a gadget or make changes to the properties or even remove it,
00:53you go to the site where the gadget is, and you click Edit, then click on the gadget itself,
00:59the placeholder here, and I can change the alignment with the alignment buttons,
01:04align center or right or back to left, I can also decide if I want to text on the page to wrap
01:11around the gadget or just be on top or below, so text Wrap on or text Wrap off.
01:17And then to get back into the Properties, maybe I want to change the border that appears
01:21with the name of this document, I click on Properties, and that's where I get to this
01:26dialog box where I can change the actual document, or I can remove the border or not include
01:33the title or change the title or change the Height and Width, so maybe I'll make this
01:38500 pixels, perhaps 500x500, and I'm going to remove the title and the border.
01:46So I click SAVE, and then I do have to click Save again to save the page and then the updates will take effect.
01:52So I made this a little narrower, and I removed the title and the border.
01:58And again I can always come back in there, click Edit page, click on the placeholder,
02:02and go into the Properties again.
02:05The same is true for a Calendar, so if I need to edit the properties of a Calendar, I click
02:11to the page where the Calendar is, click on the Edit button, and then I can change the
02:19Calendar, the alignment, whether text Wrap is on or off.
02:23I can go into the Properties to Display an additional Calendar, change the Height and
02:29Width, the default view here, time zone, and these different display options.
02:34Now if I want to remove this gadget altogether, I select it, and I click the X, and that removes
02:40the gadget altogether, and then you'd want to click save to save your changes.

8. Changing the Site Design
Applying a design theme
00:00You can customize the look and feel of your site using one of the pre-made design themes.
00:07The design themes dictate the font colors and styles and any background images.
00:14So if you remember, when you create a new site you can choose a design theme at that time,
00:20if you scroll down and choose select a theme.
00:23But at any time you can go in and change the design theme of your site.
00:29So to change the design theme of my site, I'll select More, and then I'll choose Manage Site.
00:36And over here where it says Colors and Fonts and Themes, if I choose Themes, this is where
00:43I can choose a new design theme.
00:46So I believe the one that I have selected, right now I think it's this Iceberg one.
00:51But if I'd like to choose a new theme, I can click on one of these themes, how about Wintermint?
00:56Maybe I want to preview what my site will look like with this theme, so I click on the
01:01preview link, and this shows my site with this new theme.
01:05So it changes the background image here as well as the colors of the fonts and the links.
01:14I'm not sure that's quite the right fit. Let's try this one, Terra Water.
01:23I think a little too much blue there. Maybe we'll go with Garden, how's this?
01:31So Garden looks nice.
01:32If I decide I want to use the Garden theme, then I keep the Garden theme selected, and
01:38I choose SAVE, and now my site will appear with the new theme, when I go back to the site page.
01:46So I now have this new theme.
01:48And remember, at anytime you can change the theme of this site.
01:53Now if you are using a site template, so if you created a site from the template gallery,
01:59those templates usually come with predefined themes, all of the colors and the fonts and
02:04the sizes and the colors of the different elements have already been selected, and if
02:09you change the theme it could really make the site look a little strange.
02:13So I don't usually recommend changing the theme of a site you created from a template.
02:20Instead, you can individually go in and change the fonts and colors, and we'll look at
02:24how to do that in another video in this chapter.

Designing a site header
00:00This is the header area of your site.
00:02If you would like what the header looks like to your site viewers who don't have these
00:07editing options that editors and owners have, you can click on More and choose Preview page as viewer.
00:14So this is how a viewer would see the site, and so they just see the name of the site here.
00:19Now you can change the header, you can decide if you want to put a logo up at the top left,
00:24or if you want to remove the site name or even change the height of the header.
00:31To edit the header area, select More and then choose Edit site layout.
00:36So this allows you to edit different elements of the site.
00:40Right now I have got Header selected, meaning that the Header is enabled.
00:44If I deselect it, then this disables the header. So there is no Header on the site now.
00:50But I do want that enabled, so I am going to click Enable.
00:53Now to actually edit the header, I click in the Header area, and this Configure site header opens.
01:00So, some of the changes I can make to the header is that I can change the height.
01:05So, right now it's set to the theme Default.
01:08I could also have it adjust to the logo size-- I haven't added a logo yet--or I could
01:12set the number of pixels, right here I can type in the number of pixels.
01:16So I set it with 400 pixels, and I click OK.
01:20So, now this is a 400-pixel header. That's pretty large. I am going to change that back to the theme default.
01:26For the vertical alignment, it can be the theme default top, middle, or bottom, or I can
01:31choose the horizontal alignment, which is either standard or centered. Standard is usually towards the left.
01:38This is where I can also upload a logo. So I could select No logo.
01:43If my Google apps administrator has enabled a domain default logo for site, I can select
01:48that by choosing this radio button, or I can upload my own custom logo which I am going
01:54to do for the SAMOCA site.
01:55So you want a logo that I would say is about 200 pixels wide by 100 pixels high.
02:01So I will choose a file.
02:03So I have this logo for the SAMOCA museum, I will double-click on it, and I will click
02:10OK, and I see a preview of that logo there.
02:13So again for the Height of the header, I can use the theme default or I can adjust it to the logo size.
02:18So, I will choose Use logo size, I click OK.
02:22And so here is my header now and the height of the header is the same as the logo here.
02:27You can also decide if you want to show or hide the name of the site in the header.
02:33And this is actually done in a different area. So I will click Close.
02:37Now if my logo already had the name of the site, then I wouldn't need the name of the site twice.
02:42So if I decide I want to remove the name of the site, I go into the General settings > More > Manage site,
02:47and then here in the General settings, here is the site name, I can untick this box, I will click Save,
02:56now when I go back to the site, I see the site name no longer appears.
03:01So the header you choose is going to be the header on all of the pages of your site.
03:05And again, changes you can make to the header are the height of the header, the alignment
03:10of the header, the logo that shows, and then whether or not the site name appears.
03:15So if you have got a really nice banner for your header, you can just upload that banner.
03:19It could even take up the whole header area, and you can remove the site name, and then
03:24you can choose the alignment so it matches that banner.
03:28That's how it works to change the header of your site.

Changing the fonts and colors
00:00When you choose a site theme, the theme comes with pre-defined colors for the text,
00:08and the links and the headers comes with predefined fonts and font sizes.
00:14You can change the fonts and colors at any time, or when you start with a blank template,
00:19you can design the look from scratch by changing the fonts and colors.
00:25So to make changes, you go into the Manage site area, I select More and then Manage Site.
00:30And I am going to scroll down here on the left navigation, and I will choose Colors and Fonts.
00:36So what this shows me here on this page is that I have selected the Garden theme.
00:41And then it shows me these different elements of the page, and I can either use the theme
00:46default for these elements or I can change the element.
00:50So right now if I choose Page background color, and I look at the theme default, looks like
00:55it's maybe this gray shade, or perhaps that's an image in the background.
00:59And if I want to change the background color, I can select Custom, and then I can choose
01:04a color, what about this purple color, it looks like I hooked in the blue color so see
01:08the site background color now changes to blue, I can preview it here.
01:13Now maybe I have decided I also want to change the color of the page titles, maybe I don't
01:19want it to be that gray color.
01:22So I see these different elements, there is entire page, elements for the entire page, for the header,
01:28for the content area, this is the content area right here, all of the content for the page.
01:34So I can make changes in the Content Area, Content Area gadgets.
01:40Now gadgets are things you insert like a calendar gadget or docs gadget, any of those little
01:46gray boxes you insert that look like placeholders, usually when you insert something
01:50from the Insert menu, that's a gadget.
01:53Then the Sidebar gadgets would be gadget you add to the sidebar.
01:57The Navigation gadget, this is your navigation, in the Navigation element, Horizontal Navigation
02:04and then if we have a dropdown menu for the Horizontal Navigation dropdown.
02:08So what you can see here is you have got a lot of things that you can make changes to.
02:13So let's look again at the Content Area, so if we want to change the Content title color,
02:20right now it looks like it's gray, maybe I want to choose a custom one, let's say red.
02:25Now the name of the page changes to red. So to save these changes, I click Save.
02:31And now when I return to my site, I now have this blue background, and the pages on my
02:37site now have this red color in the header.
02:41So you can really customize the colors here to match any sort of corporate colors or just
02:47the colors that match the content on your site. You can start with the theme and then
02:51move from there or you can choose no design theme and just choose colors and customizations
02:57for each elements on the site. I am going to go back now into Manage Site.
03:02I am going to select colors and fonts because I also want to show you how you can change the fonts.
03:08So if I want to choose the font for perhaps I want to change the font for the Sidebar,
03:15so Sidebar gadget font that would be anything in the sidebar.
03:18I can change the font here. How about this one, Acme?
03:23So I change this to Acme, and now the font in the sidebar has changed.
03:29So I click Save, and I have now made the change.
03:33Now, what if you have gotten a little carried away with some of these customizations,
03:36and you just want to revert back to the theme default for everything, you would like click
03:40Clear all customizations, and this would just revert back to the garden theme default,
03:48so the default colors and sizes and fonts.
03:52So anytime you see the ability to change the font size, the font size and the header, that's
03:58where you can choose the font size from the dropdown list or you can choose the theme default.
04:04So if you are really into the design of things, and you want things to look exactly a certain
04:08way with colors and fonts, you can come in here and play around, and you always know
04:12that you can go back and clear the customizations, or if you have added a customization,
04:17you can revert back to the theme default, or you can say I am not going to mess around with
04:22these colors and fonts at all, I am just going to choose a theme and stick with what that
04:26theme has as the colors and fonts and font sizes.
04:30But again, when you do make changes here, you want to click Save to make sure that your changes take effect.

Managing the site layout
00:00Throughout this course, we have looked some different elements you can change, we looked
00:04at how you can change the location of the navigation bar, how you can change the layout
00:08of the page, and how you can change the layout of the header.
00:12But one place where you can come to change all of the site layout would be if you went
00:18into the More menu and selected Manage site, and then you go to the Site layout area.
00:25And so, from here this is where you can access the header, you can change the logo for
00:30the header or change the alignment for the header.
00:33If you have enabled a horizontal nav bar, here is where you would edit the pages that
00:38appear in that horizontal nav content.
00:41If you need to make changes to the sidebar, you would make those changes here by editing
00:47the different elements within the sidebar. You can also add a sidebar item.
00:54This is also where you could customize the system footer links.
01:00If you take a look here at our site, the footer area is down below and what we see right now
01:05is we have got a link to Recent Site Activity, Report Abuse, Print Page, Remove Access,
01:11and then it says Powered By Google Sites.
01:12So if we want to change those elements, I click customize system footer links.
01:18And I can decide if I want to hide any of these elements.
01:21So some of them are always going to be on the page, like Report Abuse, but if I want,
01:25I can hide the Sign in link or the Recent Changes or Print Page link.
01:30If you are not seeing what you are looking for here in the site layout change, maybe
01:34you were looking to change the width of the sidebar, the height of the header, you would
01:38click Change site layout, and that would bring up this screen where you could come in here,
01:43and you could define the site width by entering a number of pixels or a percentage,
01:49so 100% means it covers 100% of the page.
01:54This is where you could change again the header size, we have already looked at that, whether
01:58or not you have enabled the horizontal nav bar.
02:01The Sidebar, this is where you define the width, and the Footer we looked at how to disable
02:06some of the links, but here is where you change the Height.
02:09But if you come into this Manage site area, and you go to site layout, you can see the
02:14different elements you can change, and then if you don't see the option for changing perhaps
02:20the Height or Width, that would be in here in the Change site layout area.
02:26Always remember to click Save when you have made changes.
02:30Before you click Save, you can always click the Preview button, which will show you
02:33a preview of how the site would look with the changes you have made before you saved it.
02:39And then if you are happy with that, you go ahead and click Save, and you have made the change.
02:44Only owners can make these kinds of changes to the site layout.

9. Gadgets
Understanding site gadgets
00:00I have created this Gadget page to show you an example of gadgets in Google Sites.
00:06So Gadgets are a combination of HTML and JavaScript applications written by other people that
00:12can be embedded into your Google Site pages, and they allow you to include external and
00:18dynamic content into your site. They are like little mini-applications within your site page.
00:24We have already looked at some gadgets like this one, this is the gadget where you can
00:29include a Google document into your site page.
00:34Here's a Map gadget, so this allows you to insert a map location, I added the White House
00:41here, and so we can either navigate the map, then change the terrain setting.
00:47And here's another example of a gadget, this is a News Element gadget, where it is showing
00:52the Top Stories here, and I can interact with this gadget, I can open up this article,
00:59I can go to the next article.
01:01So these are all examples of gadgets, some of these gadgets are created by Google,
01:06and some are created by other users.
01:09So anytime you insert something from the Insert menu, that's usually some type of gadget.
01:15So if I go to the Edit page, another clue that you have got a gadget on your page is that
01:22you'll see this gray background here, with the name of the gadget and then this menu,
01:27this is the Gadget menu, where you can change Properties, Alignment, so these are all gadgets.
01:35Whereas if I just added some text here, this is not a gadget, it doesn't have that gray
01:40background, there's no menu for this. This is just text.
01:44So when I go to the Insert menu, all of these here under Google, these are all different
01:49types of gadgets, the Document gadgets, Picasa Photo gadget, Video gadget.
01:55So under Gadget here, the other kinds of gadget we can add or different elements of the site
01:59like our Recent posts, Recent updated files, Text Box, or we can got to the Gadget Gallery,
02:04which we'll look at in a minute.
02:06So anything usually insert from here, these would be considered gadgets.
02:10And again, the gray background shows you that this is a gadget.
02:14And we'll talk more about gadgets in this chapter.

Using gadgets to pull from other site pages
00:00There are gadgets that I'll call site-specific gadgets that allow you to insert data
00:06from other pages in the site into a site page. For example, I have created some Announcements.
00:13I can use a gadget that pulls those Announcements into my Homepage, the same with a file cabinet or list items.
00:22So I'll show how you that works.
00:24Here's my Homepage going to do go into Edit mode.
00:26And I'd like to pull in the Announcements from the Announcement page on to my Homepage.
00:32So I put my cursor where I want those to go, and from the Insert menu, I see I can pull
00:38in a Table of Contents, Subpage listing, Horizontal line or here under Gadgets, what I'd like is Recent posts.
00:47So I'll select Recent posts.
00:49I can choose the Announcement page I want to pull this from.
00:52If you have created several pages using that Announcement template, then they'll be listed
00:57here, so I can decide for the Post length, do I want to show a Snippet, Medium Snippet, or Full?
01:02I'll just do Short Snippet, I can include the Thumbnail of the first image in
01:07the post if I'd like, the Number of posts, then I can decide if I want a title here.
01:13So I'll just say Recent Announcements, I click Save, because this is a gadget, it just inserts
01:18it here in this gray box.
01:20I click Save again, and now I have this gadget pulling in the Recent Announcements.
01:25So this is pulling in the Recent Announcements from this page here.
01:32So let's look at another type of site-specific-gadget.
01:35Maybe I want to pull in the files from my file cabinet.
01:39So I can choose Insert, and I'm going to choose Recently updated files, and I'll pull them
01:46from my Files page, click Save, and this is going to pull in the Recently updated files from my Files page.
02:00We can do the same with Recent list items as well.
02:04The other type of gadget I could add here is a text box, where I could add a bit of
02:07text or an HTML box, where I can actually add some HTML here to display.
02:15Perhaps you have created some type of Twitter feed and they said, okay, here is a badge
02:20with some HTML code you need to insert in your page. That's how you could insert the HTML code.
02:26These little gadgets, these site-specific gadgets are really helpful in customizing
02:30your site and pulling in information from the different pages onto your site so that
02:36when someone comes to a Homepage, they're seeing all the most recent information here.
02:41So these are considered the kind of site-specific gadgets listed here under Gadgets.

Adding gadgets from the Gadget Gallery
00:01So not only can I add site-specific gadgets or different Google gadgets, I can actually
00:06add from the Gadget Galley, and so those are Googlers or different users who created these
00:12light-weight gadget application that can run right in my Google Site.
00:18So I'm going click Edit page, I have decided I want to add some kind of news announcements about museums here.
00:25So I'm going to choose Insert, and then I select More gadgets, so I can Add a gadget
00:31by URL if someone is giving me the URL of the gadget, or I can just browse the gallery here.
00:36I can search the gallery or just look by name, and I know there is one here called News Element.
00:43So I'm going to select that, it gives me a preview and a description.
00:48Choose Select again, and now have to customize this.
00:51So I can choose the Size, I can decide the sections I want to show, or I can create my own.
00:57So I'm going to create one called Museums which will show news from museums.
01:03I click OK, puts the gadget placeholder in.
01:07Then I click Save, and I can see here is my museum news gadget.
01:12Nine Weirdly Shaped Museums, so that's interesting, and so it's just different articles here
01:17that have the word museum in it.
01:19I think that would be interesting for my site viewers to see some of the news about museums.
01:25So these gadgets help you bring in external content, and you can always go to the gadget
01:31gallery to view different gadgets that are available, and new gadgets are always being added.

Managing gadget properties
00:00All gadgets have the same menu. When you are in Edit mode for a page with a gadget,
00:07and you select the gadget, you'll see this menu here where you have got the Properties button
00:12for the gadget, the alignment for the gadget--align left, center, or right--
00:18whether you want text to wrap around the gadget, or if you want Wrap off and the X button to Remove the gadget.
00:25Now where the gadgets differ is what you'll see when you click on the Properties button,
00:29because each gadget has its own set of properties to set up.
00:33So if you ever want to make a change to any type of gadget you have added, you go into Edit
00:38mode, and then you can change the alignment or the text wrapping, and then you can configure
00:43that specific gadget by clicking on the Properties gear right here.
00:49Just as an example, I'll just show you different example of the Properties gear,
00:53if we go to the Calendar, and I want to edit this Calendar gadget, how do I do it?
00:58I click on the Edit button, select the gadget, and choose the Properties gear and here is
01:04a different menu where I can define the Properties for this gadget.
01:09And so usually when you think about changing the gadget, you're probably thinking about
01:14going into the properties area here, and just remember, you do have to be in Edit mode for the page to get to this menu.

10. Sharing Your Site
Defining owners, editors, and viewers
00:00What makes Google Sites so easy to use as a collaborative tool is that you can share
00:05your site with other users, you can make them owners, editors, or viewers,
00:11and we'll talk in a little bit about the distinctions between those three categories,
00:17but first, let's look at how you would go ahead and share your site with other users.
00:23You do that by clicking the Share button, that's this blue button at the top right,
00:28and that takes you to this page.
00:29And when you get to the Add people, this is where you enter the email address of the person
00:35you'd like to share the site with.
00:37If you have used the Google Drive product, you may be familiar with this concept of sharing
00:42out different docs with editors and viewers.
00:45So I can enter an email address here, I can enter a Google group address.
00:50If you share this with somebody who does not have a Google account, when they accept your
00:55invitation, they'll be asked to create an account.
00:57So they must have some account, some Google account, either a Gmail account,
01:02a Google Apps account, or what's called a Google account which can be associated with any email address.
01:08So you can really share this site with anyone.
01:10If they don't have already have some type of Google account, they'll be prompted to
01:13sign up for a Google account when they try to access the site.
01:17So I am going to go ahead and add some users, I am going to add Toby.
01:22She is in my contact list, so her name comes up, and I am going to add her as an editor.
01:26I can add additional email addresses here if I'd like.
01:29But I'll go ahead and I can also add a message when I share this site, so when she gets
01:33the email, the site has been shared with her, she'll also see my message.
01:41So I recommend keeping this box ticked so that when you share a site with somebody, they get this email.
01:47So I click Share & save, and now Toby will be listed here as someone who has edit rights to my site.
01:54So there she is, she is an editor.
01:56Now I'll go ahead, and I am going to add lyndalearner@gmail.com. I'll make lyndalearner a viewer of the site.
02:05So from the dropdown, I select viewer, and I am also going to make my marketing team
02:10a viewer of this site, this is a Google group address.
02:18I can add a message if I'd like, then I click Share & save.
02:25So here is that group I shared it with, notice the group has an icon of multiple people
02:30and here is the other user.
02:31So I can see all of the users who have access to this site and what their status is.
02:36And at any time I can change their status, so I can change lyndalearner from a viewer
02:41to either an owner or an editor, or I can keep her as a viewer.
02:46So let's now talk about the differences between owner, editor, and viewer.
02:50When I go back to my site, I am going to show you what a viewer sees.
02:54A viewer sees the page like this. I am going to click More and Preview page as viewer.
02:59This is how they see the site.
03:01They see all of the content on the site, they can see the different pages of this site.
03:06they can see comments and attachments on the pages; however, they can not upload their
03:11own attachments and they can't add comments.
03:14If there is a list type of page, they can't add items to a list, they can't edit any of
03:18the pages, they are basically just a viewer, they can view any of the content on your Google Site.
03:25But what about an editor, what can an editor do?
03:29So I am going to--I am signed in here as Toby, and I have made Toby an editor of my site.
03:35So when she opens the site, she has access to edit any of the pages on the site, she
03:42can create a new page, she can change the Page settings, she can see the Revision History
03:50for a page, she has all of these options. What she can't do, she can't delete the page,
03:54because she is not an owner, and she also can't make changes to the look
04:01and feel of the site, so when she goes into the Manage site, she is able
04:06to see the Recent site activity, the pages, the Attachments, the templates, and any scripts
04:14or Deleted items and she can even create a new page template, but what doesn't she see?
04:20Well, look at what I see as the owner when I go into Manage site.
04:23As the owner I have these items that Toby sees, but I also can make changes to the General settings,
04:29Sharing and Permissions, any Ads, the Site layout, and Colors and Fonts, so Toby
04:35as an editor can't make those changes.
04:38Only an owner can make changes to the General settings, only the owner can add and delete
04:44different editors or viewers, and only the owner can change the way the site looks.
04:50Notice the owner also has the ability to delete the site or copy the site. The editor does not have that right.
04:59So for my Volunteer site, Toby is just someone who is going to be editing some of the content
05:03on the pages, and so I'll keep her as an editor. Editors are able to add comments and attachments
05:10if the page allows for that.
05:12So Toby here can make a comment, she can add a file.
05:18For list items, as an editor, Toby can add a list item.
05:23She can also add Announcements, so for the Announcement page type, she can create
05:28new posts and add an announcement.
05:32And for the File cabinet, she has the rights to add files or links and organize the files listed here.
05:40So that's the difference between an owner and an editor and a viewer.
05:44Unlike Google Drive where you can only have owner of a document, you can have multiple
05:49owners of a Google Site, and that's actually a best practice.
05:52So I am going to go back into my Volunteer site, and I can get back to the sharing page
05:58by selecting More and Sharing and Permissions.
06:02And I have actually decided I am going to make Toby an owner, so I am going to make her an
06:06owner, and then I just need to save my changes, so I click Save changes.
06:12If you need to remove anyone from the site, you just click the X by the name and they
06:16have been removed from the site once you click Save changes.
06:19Now if you are on Google Sites with a Gmail address or a Google account, you should be
06:26able to share your site with anyone.
06:28If you are using Google Sites on a Google Apps account, it's possible your administrator
06:33has restricted you from sharing outside your domain.
06:37So if you try to add an email address outside your domain, you may get an error message
06:41saying you are not allowed to share outside your domain, so that's what that message is.
06:46So remember, whenever you make changes here to owners, editors, or viewers, you click Save
06:51changes and your changes will be saved.
06:55And you can remove someone at any time, you can change someone's status at any time.
06:59If you have added somebody as an owner or an editor, when they go to their site's homepage,
07:04the site will show up for them, if they are an owner or an editor.
07:08If they are just a viewer of the site, the site will not show up on their site list.
07:13They'll need to find the site by going directly to this link here.

Changing site visibility
00:00The Visibility options for your site control what happens when a user goes to this link right here to the site's URL.
00:08If you have a private site, the user will only be able to see that site if you have given
00:15them access to the site as an editor or viewer.
00:18There are five Visibility options from Private all the way to Public, and they all control
00:24how users see the site and what happens when they go to this URL.
00:28And I'll explain the different Visibility options in just a moment.
00:32To change the Visibility options, we click the Share button, and right here where it
00:37says Private, I click Change to change the Visibility option.
00:41For sites for Google Apps, I have got five Visibility options.
00:46If you have a site, you have created with a Gmail or a regular Google account, you have
00:51only got three Visibility options.
00:53So this is my Gmail account, I have got three Visibility options.
00:57So with the Gmail account, you can make the site Private, which means if some body comes
01:02to this URL and you haven't added them as an Editor or a Viewer, they will get a massage
01:08that says you do not have access to this site.
01:10If you choose anyone with the link, it means that you can share the link to the site with
01:15anyone, and they'll be able to access the site
01:18but that the site won't be searchable through the search engine.
01:23Public on the web means that not only can anyone with the link find the site,
01:28but it's also going to be published in search engines.
01:30So, if someone does let's say a Google search for content that's on my site, it would appear in the search results.
01:37So those are the three options.
01:38So if was making a Private site for some kind of project or team, I may want to keep that
01:44private or just anyone with the link.
01:46If I have created a Google Site to help market my business, well, then definitely want that
01:51Public on the web so that anyone can find and access the site.
01:55Now if we go back to the Visibility options for the Google Sites for your domain, there are two additional ones.
02:02You'll have options to just share within your domain.
02:05Right above Private, I can choose People at SAMOCA as my domain--this may say your domain's name--
02:10with the link, meaning that I can share the link to this site with anyone who has
02:16a vol.samoca.org email address, they will be asked to sign in to access the account.
02:22And so if I have created a site that I want to share with my organization, maybe a project
02:27site, and I don't want to add every person as an editor or viewer, I just choose this
02:32Visibility option and share the link.
02:35This option, where it just says your domain, means that anyone can find and access,
02:39so anyone with the link can access the site, and this site will come up in search results,
02:45so if somebody does a search of the Google Sites, so they do a search up here and they
02:50click Search all sites, your site will come up in the search results.
02:55So maybe if I made a Human Resource site with different forms and HR policies, and I want
03:00that to be available to anyone in my domain, I will choose this Visibility setting.
03:06So these are ranked from the most secure to the least secure.
03:10If you are using site for Google Apps, you may notice that Public on the web or even
03:15Anyone with the link is disabled, it may be that your Administrator has disabled publishing outside the domain.
03:22So I just changed the Visibility to People at SAMOCA can find and access.
03:26So I'll save that, and this is the link I can then share with people on my domain,
03:31and they'll be able to access this site.
03:34And at anytime you can click Change to change the Visibility of this site.
03:39When you're on the main site page, you can see the Visibility setting in the blue box,
03:44so this icon tells you the Visibility setting, and I can run my mouse over here, and it will
03:50tell me what the Visibility setting is.
03:53So if you ever have someone say, hey, I tried to get your site, but I got an error that
03:56I had to log in or it couldn't access your site, it's probably that you either haven't
04:00added them as a viewer or editor or you don't have your Visibility options set up correctly.
04:06So you can just come into the Share area and then click Change to change the Visibility options.

Editing pages simultaneously
00:00Google Sites pages are similar to Google Drive Docs and Spreadsheets and Presentations because
00:06you can have multiple editors and viewers.
00:08However, they are dissimilar in the way that only one person can edit a page at a time.
00:15If you shared out your Google Site with other editors or owners, it's possible that they
00:20may be trying to edit a page that you're currently editing or vice-versa.
00:25So on my volunteer site Toby has signed in here, and she is editing the Home page, when
00:30I as the admin come to this page, and I click Edit, I get this message.
00:36I see that Toby is editing this page, so I can wait for them to finish or I can break
00:41their lock and begin editing now.
00:44So if I just wait, and I'll just wait until Toby is done, maybe I'll use Google Chat
00:49and send Toby a chat to tell me when she is done.
00:52And then when Toby is done, she clicks Save, her changes will be saved.
00:58Then when I click the editor again, I will now be able to edit the page, because Toby is done editing.
01:05Now if you decide to break the lock, so let's say I make some changes here, and I haven't
01:11yet saved my changes and then Toby comes in here and clicks Edit and decided to break
01:17the lock, then she can start editing, but the changes I made won't save.
01:24So if I am still editing here, so Toby comes in and adds a new sentence and saves,
01:33then when I try to Save as Susan again, I see there is a conflict here because Toby made changes while I was editing.
01:41If I click YES, my changes will overwrite her changes, if I click No, I just won't save,
01:47I'll just Cancel out of here, and then I can see what changes Toby made to the site,
01:52and then I can make my changes.
01:54The good thing is that it's not a perfect system where two people can edit at the same
01:59time, but you do get these notifications if somebody else is editing or if your changes
02:04are going to overwrite their changes.
02:07You'll know if somebody else is editing the page, and the best practice is not to break
02:12the lock if somebody else is editing the page, to let them finish editing and then to go in and make your edits.
02:18If it looks like they just simply maybe walked away from their desk or have had the page
02:23open for all day, then maybe you can break the lock, but it's to have some type of communication
02:29before you break the lock and overwrite their changes.

Exploring page revision history
00:00One thing you might worry about with multiple editors to a site is, well, what happens
00:05if someone makes the change to the site that I don't like?
00:07Can I go back to how it was before? And the answer is yes.
00:13Whenever you save changes you have made to a page in your Google site, a new revision
00:19of that site is saved in the Revision History.
00:24So if I come in, and I make changes to the site and then save it, it saves as a version.
00:30If Toby comes in later and makes changes, that saves as a new version, and if I decide
00:36that I don't really like her changes or I want to go back to how the site looked before,
00:40I can just revert to the old version.
00:43And so this is also helpful because you can see how a site has grown over time and who's made what changes.
00:51So instead of just talking about that, let's actually go in and look at the Revision History section.
00:57So you will find that in the More menu, it's Revision History, and the shortcut is G then R.
01:04So this pulls up the version history for the homepage.
01:09So there is a different version history for each page on your site.
01:13So just looking at the homepage, I see that we have got 43 different versions, and I see
01:20the most recent version is 43, last edited 42 minutes ago by Susan, and if I use the
01:26arrow to view previous results, I can keep going back, and if I come back to December 31st,
01:34I see Toby made a change.
01:39And you can see the exact time and date when the change happened.
01:46You can also look at the old versions.
01:50So maybe I want to see what this home page looked like on December 6th.
01:54I click version 3, and I see a preview, so I didn't have much here. I just had some text.
02:00If I want to compare it to today's version, I select Compare two versions, and now I can
02:06decide which version I want to compare. Let's compare it to something more recent.
02:10So what about compare to the version that I have worked on today?
02:15So if there is text that is crossed out, it means this has been deleted in the more recent
02:20version, and if there is underlined text, it means it's been inserted.
02:24So I can see this text was removed and this new text was added.
02:30So I see back here the orientation was June 23rd, and then we changed to June 3rd,
02:35and this picture was an edition.
02:37So I'll click back to the version history listing.
02:41And if I decided I want to revert back to an older version of a page, so maybe back
02:46to how the page looked on January 10th, for example, I click Revert to this version,
02:53and that now becomes the most recent version.
02:56So I was able to take one of those old versions and make it a current one.
03:00So that gives you a lot of power and safety and makes you feel a little better about working
03:04with other people just in case someone makes a mistake, or in case you make a mistake.
03:09So we looked at how to edit the version history for the homepage.
03:13If I want to manage the way that page looked for a different page or the version history,
03:18I go to that page, and from the More menu again I choose Revision History.
03:23So you can change the history for the text on the pages, but you can't go back and change
03:32sort of the theme of this site or the logo or the headers or the navigation.
03:38So you can just change the text of the pages, those are the different versions that save.
03:43And if you do need to go to a different page to manage the Revision History, I can select
03:49View page listing, I want to do Files, I choose Files, and then again I would have to come
03:58into this Revision History, so each page has its own Revision History.
04:05But I can't go back in time and revert to other looks of the color and feel and logo.
04:12But the good thing to know is that only the owners of the site can make changes to the
04:16look of the site, like the logo and the colors and the fonts.
04:21So it's not so likely that there will be a problem you need to change.
04:25But editors can make changes to any of the pages on this site so that's something that's
04:30more likely you would need to go into the Revision History and change.
04:35So you are safe in knowing if you make a mistake, you can always go back.

00:00If you need help with Google Sites, I recommend the Google Sites Help Center which is published
00:06and kept updated by the Google Sites team, and you can get to the help center if you
00:11go back to the main My Sites page and from the gear here select Sites Help.
00:17You could also go to support.google.com/sites, so this is the Sites Help Center.
00:24And what I like to point out here is we have got this Beginners Guide which just walks
00:27you through the basics of creating sites, and there is a good reference.
00:31Thee is about let's see about seven or eight different elements here about just the basics of sites.
00:39There is also some popular articles you can see as well as different sections of the
00:47Help Center, so if you want to know about managing your site, you can select Manage Site, and
00:53there are some different articles like how do you delete a site, and this takes you to the article here.
01:00If I go back here, there is also the troubleshooting section, so if you are getting errors or having
01:07some kind of issue accessing sites that would be in Fix an issue.
01:11It's also helpful just to do a search of the Sites Help Center, so if you want to know
01:16about gadgets, you can just do a search for gadgets, and here are different articles about gadgets.
01:25Some Additional resources over on the right is the Google Site Product Forum, and that's
01:29sort of a bulleting board where different sites users and power users post and answer questions.
01:35You can also get an overview of Google Sites here, some ideas for using Google sites for
01:41work or school, and this is where you can suggest a feature for Google Sites.
01:47So this is kept updated as sites change, and I usually find it easier just to do a search
01:53of the help center to search for a particular issue. If I don't see the article then I go
01:58to the Google Sites Product Forum.
02:01If you are using Google Apps for business, then you have paid support for sites, so you
02:07actually get support with the licenses that you pay for and your Google Apps administrator
02:13can log a ticket in the support section of your control panel.
02:16But if you are using Google Sites for the Gmail account or a free Google Account, then
02:21the Sites Help Center or the product Forum here where you can post questions is your best source of help.

Google Sites updates
00:00Google Sites is continuously being updated, and new features are pushed out to you automatically.
00:05So you will log in one day, and to see the new feature you don't need to install anything.
00:12To learn more about what's new with Google Sites, you can go to learn.googleapps.com
00:17and click on the What's new link.
00:20So this lists What's new with all of the products Gmail, Drive, Docs, Calendar.
00:27If it has to do with site, the update, you will see this icon here.
00:30So it looks like now Google Discussions is what's powering the comments.
00:35So there is an article about this new feature.
00:39As you can see, most of the updates are actually for the other products, but updates to sites
00:44come out at least five or six times a year.
00:47So I can click on this article to see more about this.
00:52Another place to read about updates to Google Sites is on the Google Drive Blog.
00:58So the Google Drive Blog contains updates for not just Google Drive, but also Google Sites.
01:04And so these updates are listed in the order when they were published. If you want to see
01:09the updates about Google Sites, I'll do a search for Google Sites.
01:13And here are some articles that mention Google Sites in them.
01:20So it looks like here is the article about the Improved discussions and comments in Google Sites.
01:27Here on the 20th they published A Year in the Review of what happened with Google Sites,
01:32I see this was back in 2011, so I scrolled down pretty far.
01:36This Google Drive Blog is a good read about once a month to find out about the updates
01:42to both Google Drive and Google Sites, then you can also go to the What's new section on learn.googleapps.com.
01:49When a really big change comes out, there will usually be some kind of dialog box
01:54or pop-up that appears in Google Sites, explaining the new change.
