In Outlook 2007 Power Shortcuts, author David Diskin shares an assortment of time-saving tips and tricks to maximize efficiency and productivity in Outlook 2007. For those who travel across time zones, Outlook has some specific features that can save us time and reduce the confusion associated with appointments. You should understand that your computer and mobile devices have a setting for which time zone they're in. If we right-click on the Timescale and choose Change Time Zone, we can tell Outlook and Windows which time zone we're currently in. Changing the setting automatically adjusts the system time forward or back.
In other words, after traveling from California to New York, don't change the time forward 3 hours. Instead just set the time zone to where you are now. When you land back in California, change the time zone back. Your laptop will automatically show the correct time and most mobile devices will do this automatically. Now, here is the best part. Outlook and your mobile device's calendar will automatically adjust all of the appointments to reflect the new proper local time. For example, my New York meeting was to start at 1:30 Pacific Time, but now with my time zone adjusted to Eastern, Outlook automatically changed the appointment to start at 4:30 p.m. Eastern Time.
If you want a little help managing your life in two different time zones Outlook's calendar can be configured to display two time scales along the left side of the Appointment screen. Right-click on the Timescale and choose Change Time Zone. Here we can give a label for the current time zone and add an additional one down below. When I press OK, the calendar now shows me two different time zones.
Note that I can also use the same window to swap time zones as I travel back-and-forth. Next step is how to create an appointment for a specific time zone.
