In Outlook 2007 Power Shortcuts, author David Diskin shares an assortment of time-saving tips and tricks to maximize efficiency and productivity in Outlook 2007. Every now and then we really need to get someone's attention. Maybe we're announcing the company picnic, conducting an important poll, or just need to break up the routine a little bit. Here are three ways to do that. The first is to use styles, style sets, colors, and themes. Because the email editor in Outlook is based off the word engine, its built-in styles and style sets are available. This means that I can draft an elegant letter or memo with a variety of headers and other elements. Here with the email I have created I'm going to select various areas and apply Styles.
This is in the Format Text tab of the Ribbon. Once I've used built-in styles my email already looks better. But I can go further by pulling down the Change Styles menu and modifying the Style Set, Color Set, or Font Set used in the email. If I'm going for even more attention I might get it by changing the page color of my email. I'll click on the Options tab and choose Page Color.
From here, I can hover over the different colors in the palette and pick a new color for my email. Just be sure not to pick something that makes your email too hard to read and consider that not all email clients will handle this feature. If you want maximum attention, another way is to use stationery. For my Inbox I'm going to pull down the Actions menu, then New Message Using and More Stationery. Here is a list of all the different kinds of stationeries and themes built into Outlook. When you found the one you want, choose it and then decide whether or not you also want vivid colors, active graphics, or the background Image.
Click OK, and your email is ready to go. You can begin to type, and your email will appear formatted. Remember, just as you would with Microsoft Word you can also use the heading 1, heading 2, and heading 3 styles to make different sections of your email stand out. With all three of these methods covered, the best advice is to not overdo it. If every email you send is overflowing with style, then nothing you send will ever stand out.
