In Outlook 2010 Power Shortcuts, author David Diskin shares an assortment of time-saving tips and tricks to maximize efficiency and productivity in Outlook 2010. When we first introduce ourselves to someone in person, we tend to give them our business card, but what about e-mail? Outlook allows us to send a contact our own business card or anyone else's through e-mail as an attachment. If the recipient is using any modern e-mail program, they will be able to save that business card into their own contacts. Let me show you how this works. While composing an e-mail, I will place my cursor where the business card should appear. From the Ribbon in the Message tab, I will pull down Attach Item and then Business Card.
Business cards that I have already included in past e-mails show here. But to find a business card that I have not yet used, I will click Other Business Cards. My list of contacts appears, and I will choose the person that I'd like to include. Remember that you can type a few keys on your keyboard to jump to a specific contact. I'll press OK, and their card is automatically inserted where my cursor was. Note also that a VCF was attached to the e-mail. This attachment contains all of the contact's information, like their e-mail and phone number.
The recipient of the e-mail can easily save this to their own contacts. Sending a business card is a great, quick way to pass on information, and remember the next time you go to use this feature, contacts you've already sent will appear in the list. In chapter 7, I cover how to customize the look of someone's business card, but for now, let's move on to tip number eight.
