In Word for Mac 2011 Essential Training, author Maria Langer shows how to create, format, and print a wide variety of documents in Microsoft Word 2011. Justification and line spacing are two very basic types of formatting options that can be easily applied with Word's Ribbon. You can find their buttons and menu in the paragraph area right here. This is Justification. This is Line spacing. Let's take a look at how these work. I want to start out by applying a few alignment changes. The document heading needs to be centered. I can do this by positioning the insertion point anywhere at all in this paragraph, which is right here at the beginning, and then click the Center button and that centers the whole paragraph.
Next, I want to right align the signature lines at the bottom of the document. So, I am going to go down to the bottom of the document, select those lines, and we'll click the Right align button and this isn't exactly what I had in mind but this is right aligned and it doesn't look bad so I'll let it go for now. Let's also try justifying the text in the rest of the document. So, I am going to select this text, all the text here, and I'll click the Justify button. What that does is it spreads the text in each line out to the indents and adds additional spacing between characters so that they line up on both the left and the right side.
Now, this is a very formal look. It's not really what I want so I am going to turn it off. If I click that button again it will restore to the way it was. But if you like that style you could always leave it turned on. Next, let's work a little bit with the line spacing in the body of the document. I think it looks too tight. With the text still selected, I am going to choose an option for the Line Spacing menu. Maybe I'll try 1.5 here and what that does is it adds additional space and it does space it out. But if you scroll down I can see that it pushed me to the next page.
I don't want that so I am going to try another option here. I'll pick 1.15 and see what that does. And that keeps us on one page. It does look a lot better. I do want to point out that you could pick Line Spacing Options here. That'll open the Paragraph dialog. You'll be able to use that to set a more precise number and we'll do that in another video. Now, as you can see it's pretty easy to use Word's Ribbon to apply alignment and line spacing options to selected paragraphs. Just be sure to select the paragraph you want to format before using the button or menu to make the change.
