In Word for Mac 2011 Essential Training, author Maria Langer shows how to create, format, and print a wide variety of documents in Microsoft Word 2011. In the previous video, we saw how easy it is to enter headings and even body text in Outline View. Now we will look at how you can rearrange an outline as you change your mind about its organization. While you were waiting for this video to start, I was very busy and built up our outline to add more headings. This is what I have got so far. They're a bunch of changes that we need to make to this outline. First we have decided that the new products need to be listed in alphabetical order, and there are two ways that we can change the order. So that's this area down here.
One way we can do this is with the Up and Down arrows up in the ribbon. So I am going to click right in front of Lemon-infused Olive Oil, because I want that above Mandarin Orange-infused Olive Oil and I will go up here to the Ribbon and I will click this Up button, and what that does is that moves that entire heading up one notch. Another way we can do this though is by dragging and dropping. So if I position my mouse pointer on this little button in front of Basil-infused Olive Oil and I drag up, as I drag, you can see a line where it will go when I release it.
I want it right up here at the top. When I release it, it moves up there. And I can do that again for the Garlic Olive Oil, and that puts them in alphabetical order. Next we have decided that the Staff and everything under it should be moved out of the Introduction section and into its own section. And again, I can do that with buttons or I can do that with drag-and-drop. So what I need to do is I need to click the button in front of Staff and that selects Staff and everything under it. And what I want to do is move it into its own major section, so what I really want to do is I want to promote it.
Now I can do that by either clicking the Promote button like this or let me just demote that and get it back there, I can press Shift+Tab and that will move it out. So either way will promote it. And notice that it promotes them all and it maintains the relationship between all of them. Now the problem here is we have moved it out to Level 1 heading, but Feedback is still part of the Introduction. So what I need to do here is I need to move Feedback up under Purpose, right above Staff. So I am going to click on that and I can just drag it up.
We have also decided that we need to put Planned Products under New Products. So again, I can click on this. It selects everything under it and I can drag it down. Also under Planned Products, we decide that we need some new sub-headings. we want to separate the planned products into food and nonfood items. So what I need to do here is I need to add some headings, then I need to move some things under them. So the two heading are going to go under Planned Products. So I will click after Planned Products, press Return to get a new line, press the Tab key to get a lower level heading, and then type in that heading.
The first one is going to be Food and the items that go under Food are going to be not Olive Oil Soap, I don't usually eat soap, but this olive oil here in the cake. So what I need to do is to move up the Strawberry-infused Oil, and then I want to demote it, so I can just drag it over. And I can do the same thing for this cake. Move it up and drag it over. And then under the Olive Oil Cake, I want another new heading. So I will just click after that and press Return. Now I want to promote this, so I will press Shift+Tab and I'll type in Nonfood, and then I can do the same thing with these two items. I can demote them, or use a shortcut. I can select them both and press Tab and get them both at once.
Now did you see how easy it is to modify an outline? Wwhen you drag a heading with subheadings, everything moves together. You can also use buttons on the ribbon to rearrange things. Either way, it's a great way to organize your thoughts for preparing a document.
