Video: Adjusting click-through trainings

In this lesson we are going to adjust the training file that was created when we recorded our simulation. We will be using the contact_training file to do that. If you don't have it open, please open it now. When Captivate records trainings, it creates click boxes for all of the places that you click. In addition, it builds success and failure captions and it also builds text areas. We need to make some adjustments in order to make our training more effective. Let's begin with the audio on slider number 1.

Adjusting click-through trainings

In this lesson we are going to adjust the training file that was created when we recorded our simulation. We will be using the contact_training file to do that. If you don't have it open, please open it now. When Captivate records trainings, it creates click boxes for all of the places that you click. In addition, it builds success and failure captions and it also builds text areas. We need to make some adjustments in order to make our training more effective. Let's begin with the audio on slider number 1.

Select the audio and then choose Edit Audio from the Properties panel. If your Properties panel isn't available then you can get it by switching to the Classic workspace. I know because I edited this audio when we edited the demo file that I need to remove this area over here. I'll position my cursor and drag to the left and then remove the audio. I can use my Delete button or my Cut button to do that. Now that that's gone, I'll save and close.

Now I need to adjust the duration of the slide. Select the click box and drag it all the way back to where the sound ends. And then do the same with the slide. Let's scroll down to the middle of the screen. Captivate has created for us a click box and a hint and failure caption. We need to adjust both the captions and the click box.

The captions should say "Click the Name field." Let's change that now. Select the hint caption, double-click, and type Name field. Do the same with the failure caption. Hit Escape to cancel editing the text. Now reduce the width of that caption.

Do the same with the other caption. Select them both and drag them to the right a little bit more. There we go. Now we need to adjust the size of the click box. Select the click box and make it to be just a little bit bigger than the Name field. We have to increase the size of the click box because the user's expectation is that they can click anywhere on the name field to be able to enter text.

Captivate builds a very small click box, which is right around the area where you click. Let's move now to slider number 2. On slider number 2, we have some typing text. We need to remove the typing text and replace it with a text entry area. Select the Typing Text in the Timeline and then right-click and replace it with Text Animation. Now hit the Delete key to remove the text animation. Yes, we would like to delete the selected items.

We need to draw a text entry box on the name field. Use the Text Entry Box tool to create a text entry box. In the General Properties, we need to remove Validate User Input. We also need to remove the Hint Caption and the button. Scroll up to see the text entry box. Let's call the text entry box Name and we will associate it with a variable.

The associated variable will be called Name. Type in Name and click OK. Now let's put that text entry box so that fills the Name field. Let's reduce the size of that text so that its Myriad Pro 12 points. We can do that in the Character area of the Properties. The last thing we will do is to adjust its duration on the Stage.

Before we do that I would like to remove the typing in this audio right here. Select the audio and edit the audio. Drag to the right and I know that there's typing here. Let's remove it. Click-and-drag and then delete. Now that we have made the change, save and close. We will reduce the slide duration to match our audio. We also need to extend the text entry box so that it lasts for the entire slide.

Select it and then extend it to the end of the slide. We need to move its pause point all the way to the end of the slide as well. Scroll down to Timing and adjust Pause After to match the display duration, which is 3.6 seconds. Now let's go to Slide 3 to see how we can use this information that we have just captured in the Name field. You can see that there's already a name that's in the Name field.

This is because Captivate makes screen captures as it goes along and James Lockman was the name that was in that field when it captured the screen. We are just going to cover it up with a white rectangle. Select the Rectangle tool and draw a rectangle that we will use to cover up the text. Change the Fill to white, and solid white and the Stroke to 0. The last thing we need to do to bring the information from the previous slide to this slide is to create a new caption.

Change its Style to transparent, reduce the Size of the type to 12 points, and make it left-hand justified. Let's drag it onto the Name field now. We need to reduce its width to be the width of the Name field. The last thing we need to do with this caption is to fill it with a variable called Name. Double-click, select all with Command+ A or Ctrl+A, scroll down to Format, and choose Insert Variable which is the X here.

This is a user variable we are looking for and its name. We will set its maximum length to 30 and click OK. The steps that we've just taken for Slides 1, 2, and 3 will need to be repeated for the remainder of the training. While this may seem tedious, the results are very satisfying. Let's take a look at the results of the first three slides. We will preview the project to see the results. (Recording: In this training, we're going to learn how to use the Two Trees Olive Oil Company form to reach out to Kurt James.) (Recording: Browse to the Two Trees Olive Oil Company web site and then click on Contact and then Kurt James.) (Recording: That will take you to this form.) (Recording: The first thing you've got to do is enter your name in the name field.) (Recording: Although it's not required, it's a courtesy that Kurt will appreciate.) Now the program has stopped and it's waiting for us to click in the Name area.

Move your cursor over the Name field. You can see that the hint caption pops up that says "Click the Name field." Click somewhere else, however, so click out in this area instead. The failure caption will pop up reminding you to click the Name field. Now click the Name field. Select the Name field and then type your name. Now the program is waiting for some entry from us. I will type a totally different name and then Enter.

Next, we need your email address. Select the Email field and then type your email address. You've noticed that the James Lockman name has reappeared. It has reappearede because we need to extend the white box and that text caption to fill the entire slide duration. Now that you know what you need to do, I'm going to leave it to you to make that change. Let's exit our preview and save our project. We will call it contact_training_a.

As you can see, there are several steps that you'll need to take to turn your Captivate training recording into a proper program. Although it may seem tedious now, you'll get into the swing of it and be very productive before you know it.

Q: I am having some problems with Captivate reviewer permissions and was directed to the following solution of James' blog, but I'm having trouble implementing it. Is there a simpler solution or has Adobe released a patch?

In order to execute the step entitled "Assign write permission to owners and groups", you need to enable the root user. In addition, you need to add the "sudo" command before the following steps in this section:

sudo chmod -R o+w Adobe\ Captivate\ Reviewer\
sudo chmod -R g+w Adobe\ Captivate\ Reviewer\

You can disable the root user when you're done with updating permissions.
A: Unfortunately, there is no patch. This is not an Adobe issue, but rather an issue with the way that Apple allows UNIX permissions within its file systems. For most cases, this is a good thing, but for this one case, it backfires. Just so you're aware, the issue persists in Captivate 5.5 as well.
