1. Using Google HangoutsRunning a group meeting with coworkers| 00:01 | Hi, I'm Jess Stratton, and
welcome to Monday Productivity Pointers.
| | 00:06 | This week we're talking about Google hangouts, and I'm
actually going to have a remote meeting with my producer, Shea.
| | 00:13 | Google hangouts is a video conferencing system that lets
you and up to nine other people have a video meeting.
| | 00:21 | These are great for remote workers,
there's no mucking around with firewall settings,
| | 00:26 | no VPN software to install, and chances are you probably
already own everything that you need to get started.
| | 00:32 | You need a browser, like Internet Explorer,
Firefox, or Safari, with an active internet
| | 00:37 | connection, and you need
a webcam and microphone.
| | 00:40 | Now, you can use a headset or even your
monitor may already come with the built-in webcam
| | 00:46 | and microphone like a lot of them do nowadays.
These are great for corporate meetings.
| | 00:51 | If you're a remote worker, chances are you
go long stretches without seeing any other
| | 00:56 | faces, so it's great to see some real
face time with your co-workers and employees.
| | 01:01 | Also, sometimes on a conference call, the
sound can be so muffled that even though you
| | 01:06 | hear what's being said, you're not sure
who said it, and sometimes that's important.
| | 01:11 | But in a Google hangout, the active person
who's talking becomes larger on the screen,
| | 01:16 | so everybody knows who's
talking and what they're saying.
| | 01:20 | Now, there is one drawback: you have to have
a Google account, and everybody who's going
| | 01:25 | to need also has to have a Google account.
| | 01:28 | So if your company doesn't use Google,
then you'll have to give them your information
| | 01:32 | so that they can add you as a contact.
| | 01:34 | If you don't want to give them your personal
Google account, then just set one up just
| | 01:38 | for your meetings, all right?
Let's get started.
| | 01:42 | I've logged into google.com, I've signed
in as myself, and now I'm going to click the
| | 01:47 | Plus beside my name to get into Google+.
| | 01:51 | From here, on the right-hand side
I'm going to click Start a hangout.
| | 01:58 | This is going to open up the Google Hangout
screen, and from here I have a couple of choices.
| | 02:03 | I can invite people into the hangout, or I
can check my microphone, start the hangout,
| | 02:08 | and then invite people in.
| | 02:10 | But before we start, I'm going to test my
microphone and my video camera and make sure
| | 02:15 | everything's working just perfectly.
| | 02:17 | Over here on the top right,
I can go into Settings.
| | 02:22 | This is going to pop up a screen where
I can check my microphone and my camera.
| | 02:26 | As you can see, the camera is working just fine.
Now I can check my microphone.
| | 02:31 | I know it's working because as I
talk the green bars are going up.
| | 02:36 | This means that it's getting a signal.
| | 02:38 | If I had another device that I
wanted to use, I can select it here.
| | 02:43 | Lastly, I'm going to play a test sound.
| | 02:46 | (phone ringing)
I hear the tone.
| | 02:49 | That means my headphones are working just fine.
| | 02:51 | This means that I'm going to be able to
hear everybody else who's also in hangout.
| | 02:56 | When I'm happy that everything works,
I'm going to choose Save Settings.
| | 02:58 | Now, we are ready to start
inviting people into our hangout.
| | 03:02 | I'm going to invite my producer,
Shea Hansen, and give my hangout a name.
| | 03:07 | In this case, I'm just going to call it
Meeting because we're not doing anything special,
| | 03:12 | it's not going on air.
We're just having a meeting.
| | 03:15 | When I'm ready to go, I can click Hang out.
| | 03:19 | Now all we have to do is wait for Shea to get
the invitation, respond, and enter the hangout.
| | 03:24 | And here she is.
Hi Shea!
| | 03:27 | Shea: Hi!
| | 03:29 | Jess: So, here's what's neat about a hangout,
because this is my screen and there's only
| | 03:34 | two people in here, Shea is on
a larger version of the screen.
| | 03:38 | At anytime I can click my name, and there I am.
| | 03:42 | Now, if there's many people in here, the
person who's currently talking will be big on the
| | 03:47 | screen so you'll never miss what's being said,
and you'll never have to wonder who said it.
| | 03:54 | Let's go through what some of the things
are that you can do in a Google hangout.
| | 03:58 | The first thing that you can do up here on
the top right here is mute the microphone.
| | 04:02 | If I check this, Shea can't hear what I'm saying
right now, and I do get a reminder that I'm muted.
| | 04:09 | What a lot of people tend to do his keep their
microphone muted until they're actually ready to say something.
| | 04:14 | This way you won't have a dog barking or
something unfortunate enter your meeting
| | 04:18 | that you didn't want other people to know about.
I can also turn my camera off.
| | 04:23 | If I click this button, the picture
changes to my default Google+ profile picture.
| | 04:30 | This is useful if I want to
minimize the browser and do something else.
| | 04:33 | A lot of times it's very easy to minimize
the browser, keep working while you're in
| | 04:38 | a hangout, and completely forget about the
fact that your video camera is still up and
| | 04:42 | running and everybody can see you.
| | 04:46 | Over here on the left, we can click Invite
People if at any time there's more people that
| | 04:51 | we want invite into our hangout.
I can also chat with Shea.
| | 04:58 | I can click Chat and on a little box on the
right-hand side, I get a chance box, because
| | 05:03 | sometimes it's useful to just start
typing things rather than talking.
| | 05:09 | I can close it out anytime.
I can click Screenshare.
| | 05:14 | Screen share is excellent because I can share what's
on my screen while the video camera's still running.
| | 05:20 | I actually have a Word document ready to
go in the background because this meeting is
| | 05:25 | actually about a presentation
that we're giving later on.
| | 05:28 | So, I'm going to click on this document that
I already had open, select Start Screenshare,
| | 05:34 | and now Shea is actually
seeing what I'm doing here.
| | 05:38 | So, we could work collaboratively on this
document while we're having our meeting.
| | 05:45 | To get back into my hangout, I just open
up the browser and uncheck Screenshare.
| | 05:52 | I also have Google effects, which is more
for fun, not so useful for a meeting, but
| | 05:59 | you can add things like sounds, silly
headwear, silly eyewear, things like that.
| | 06:04 | Again, just click on it and it'll go away.
We also have the Hangout Toolbox.
| | 06:11 | This gives us useful items and neat things that we
can do, such as embed videos right in our hangout.
| | 06:17 | We also have the same silly things that we
could do with the Google effects, but we can
| | 06:21 | also mute the entire hangout, and we
have some more utilities that we can do.
| | 06:27 | Finally, you can get tons more apps from Google
by clicking View more apps and choosing Add apps.
| | 06:36 | From here, you can browse featured apps, see
what they do, and if any one of them sounds
| | 06:40 | interesting or sounds like it could
help you, select Add to this hangout.
| | 06:44 | I'm going to hit cancel because we're not going
to actually add anything to our hangout right now.
| | 06:49 | When you're all done, the meeting is over,
and you've said everything that you had to
| | 06:53 | say, to end the meeting, go up to the
top right and choose Exit. Bye Shea.
| | 07:02 | It's going to take you back to your Google+
site, and now you can go on with your day.
| | 07:07 | So that's how you can have a Google
hangout and work collaboratively and actually
| | 07:11 | get some face time with some workers,
especially if you're remote.
| | 07:14 | You'll find that it's just nice to
see other people's faces once in a while.

| Recording and marketing chat on air| 00:01 | Hi, I'm Jess Stratton, and
welcome to Monday Productivity Pointers.
| | 00:06 | This week we're talking about Google Hangouts.
| | 00:08 | Now, I already showed you how to do a remote
meeting with you and up to nine of your co-workers.
| | 00:13 | This video we're going to take a step further,
we're going to have a Google hangout on air
| | 00:17 | which streams live so that anybody can
stop by virtually and watch the discussion.
| | 00:22 | When it's all done, it's going to hang around on your
YouTube channel to be watched whatever by any whomever.
| | 00:28 | To do a hangout, we talked about how you needed in
internet connection, a browser, and a microphone and a webcam.
| | 00:35 | To do a hangout on air, you need one more thing:
you need a YouTube account that's linked to your Google account.
| | 00:40 | This is quick and easy, and in fact the
first time you go to do a hangout on air,
| | 00:44 | you're going to get prompted to do it.
Now, I like to first create an event in Google.
| | 00:50 | I can invite my customers and clients to the
event and when I'm ready to do a hangout on air,
| | 00:55 | I can simply paste the
URL right into that event.
| | 00:59 | It makes me look more professional, and the
best part is any customers and clients who
| | 01:04 | said their attending my virtual event will get a
reminder and a link right before it's about to start.
| | 01:09 | I'm going to show you how to do that right now.
| | 01:14 | I'm on my Google site, and I'm going to click
the Plus beside my name to get into Google+.
| | 01:20 | Before I even start my hangout, I'm first
going to create an event by clicking Events
| | 01:24 | on the left-hand side and choosing CREATE EVENT,
which is the big red button at the top.
| | 01:32 | Now, I'm going to change the theme because it's a hangout
on air, and I just don't like what they have there.
| | 01:40 | I'm going to choose Other, I can browse these.
| | 01:43 | Pick one that matches the
type of event you're doing.
| | 01:46 | In this case, because I'm doing hangout on air,
down at the bottom there's a little video camera.
| | 01:51 | I can choose Set As Theme,
and now that's the picture.
| | 01:55 | Make your event title
what the actual hangout is.
| | 02:03 | I can set the date and the time for
when I'm going to have my hangout on air.
| | 02:09 | And for Event options, I need to click advanced.
| | 02:13 | Now, you may be tempted to select Google+
Hangout, because after all, that's what it
| | 02:19 | is, but if you select Google+ Hangout, what's
going to happen is that for every person that
| | 02:25 | says that they're going to attend this event,
it's actually going to invite them into the
| | 02:29 | hangout, not just to watch it.
| | 02:32 | So we're going to select Make this an event
on air so that anybody can view the event.
| | 02:37 | We don't want our customers becoming part of
the panel, we just want them to watch the panel.
| | 02:42 | I also need to choose Show additional fields.
| | 02:46 | It's going to give us a bunch more fields, including a
YouTube URL, and that's what we're going to use later.
| | 02:52 | For the location field, I'm simply going
to type online because it's an online event,
| | 02:58 | and I can put any details I want.
| | 03:05 | All right, when we're all ready, we can
invite the people that we want to watch.
| | 03:14 | For now I'm going to invite my producer, Shea,
and when we're ready, click the green Invite button.
| | 03:25 | Our event has been created.
| | 03:28 | Now we can just sit back
and wait for it to happen.
| | 03:32 | Once we're ready and it's time to have the
actual hangout on air, I'm going to click
| | 03:37 | Start a hangout, invite the
people for my panel, I can name it.
| | 03:53 | This time I'm going to
select Enable Hangouts On Air.
| | 03:57 | It's going to be broadcast in both my Google+
screen and my YouTube channel, and because
| | 04:02 | I've already linked it I
can just click Okay, got it!
| | 04:06 | This is where if this was the first time
you're doing it you would have to enter in a code.
| | 04:09 | I'm going to click the blue Hangout button, and
we're in Google Hangout, but we're not on the air yet.
| | 04:18 | I can see on the top left of the screen it
still says off air, and that's good.
| | 04:22 | Hi, Shea!
Shea: Hi!
| | 04:23 | Jess: All right, we have our panelists, but
we're not quite ready to broadcast live just yet.
| | 04:29 | There's one more thing I want to do.
I want to use an app called the Hangout Toolbox.
| | 04:35 | I'm going to click on the Hangout Toolbox, and it's going
to let me bring up something called a lower third.
| | 04:40 | A lower third is that neat banner that you
see at the bottom of the screen that helps
| | 04:44 | people know who everybody is in the panel.
| | 04:48 | I clicked the headphone icon, and
here's where I can put in a lower third.
| | 04:51 | Shea, why don't you put in lower third too?
All right, it's just to identify yourself.
| | 05:01 | You can put in your Twitter address.
You have two lines to use.
| | 05:05 | When you're ready to use
it, click the ON button.
| | 05:08 | Now, you'll notice it's backwards.
Shea's is correct, mine's backwards.
| | 05:13 | This is how it looks to the
audience, they'll see it the right way.
| | 05:16 | If I want to see at the right way, I can select
Mirror my own video, and this is what everybody
| | 05:21 | sees when they're watching me
on screen. We're almost done.
| | 05:26 | I'm going to click Hangout
Toolbox to make that disappear.
| | 05:30 | Before I start my
broadcast, I want to embed this.
| | 05:33 | Now that we're actually starting
our panel, we have a YouTube URL.
| | 05:37 | Nobody knows about it yet, but
that's going to change right now.
| | 05:40 | I'm going to click this Embed
button, and here's where I have a URL.
| | 05:46 | I can click on that YouTube URL, right-click,
select Copy, and now while this is still going,
| | 05:53 | I'm going to come back to my event, and I'm
going to edit it by clicking this little pencil,
| | 06:02 | come back to my Event options, click Advanced,
click Show additional fields, and in this
| | 06:09 | YouTube URL, I'm going to
right-click and choose Paste.
| | 06:13 | I can save it, and now right in my event we
are going to be streaming live once I start
| | 06:25 | broadcasting my hangout.
| | 06:27 | The best part about it is is that people
who've said they were going will get a reminder,
| | 06:32 | so they can just come right into this event,
click the play button, and start watching.
| | 06:38 | Now we're ready to go.
| | 06:39 | We've got our lower third, we've got our
YouTube URL embedded right in the discussion,
| | 06:44 | and now I can click START BROADCAST.
| | 06:47 | Once I click that, I can choose OK, and it's going to
remind me that I'm broadcasting live on Google+ and YouTube.
| | 06:56 | We have a couple of seconds to make sure
we're really ready and then our hangout starts.
| | 07:01 | Three, two, one, and now Google's
telling us that we're broadcasting live.
| | 07:08 | So here's where our panel would talk.
| | 07:10 | I could introduce myself, talk about what
we're doing, ask some questions, and the neat
| | 07:15 | thing is is that when people start
talking, they will become live on the screen.
| | 07:21 | What I can do is click people if I want
them to immediately have focus, or I can click
| | 07:26 | the focus back to myself.
| | 07:28 | However, if they start talking,
it will automatically go to them.
| | 07:32 | There's some other things I can do too.
| | 07:33 | I can you mute my own microphone, and I can
hide myself from the broadcast by clicking this.
| | 07:38 | If I want to put myself back,
I just check that button again.
| | 07:43 | Now, when I'm done with the broadcast, it
still doesn't mean I'm done with the hangout.
| | 07:48 | When we're finally ready to be
finished off air, I can select END BROADCAST.
| | 07:55 | Now we're officially off the air.
| | 07:58 | We can still go, we can talk about how it
went, we can relax a little bit and talk to
| | 08:02 | each other 'cause our hangout's not
done, but we're not on air anymore.
| | 08:06 | When we're all ready to finish, we can
do just what we did the last time,
| | 08:10 | click the Exit button, bye Shea.
And we are officially out.
| | 08:17 | What it's going to tell me now is that a
recording of the broadcast we just did is going
| | 08:21 | to be kept on my YouTube channel.
| | 08:24 | I can hit Close, and we've
successfully had our first hangout on air.
