00:04Hi, this is Jess Stratton, and welcome to Monday Productivity Pointers.
00:09Each week we'll be focusing on a new different productivity tool.
00:13I'll start out by giving you an overview of what the tool is and what it can do for you.
00:17Now, even if you've used the tool before, hopefully I'll be able to show you some
00:22new feature that you didn't know about. Here's another way to use this course.
00:26Maybe you've heard of a tool but haven't had a chance to check it out yet, feel free to
00:30use this as a test drive to see if it looks like something you may be interested in using.
00:35Now, I personally use these tools all the time.
00:39They've helped me be better with my finances, more organized, and just be an all-around better professional.
00:45I'm hoping they can do the same thing for you.
00:48We'll broadcast a live Google hangout on air and stream it directly to your YouTube Channel and as an event.
00:55I'll walk you through some strategies for migrating your financial accounts over to mint.com.

1. Using Google Hangouts
Running a group meeting with coworkers
00:01Hi, I'm Jess Stratton, and welcome to Monday Productivity Pointers.
00:06This week we're talking about Google hangouts, and I'm actually going to have a remote meeting with my producer, Shea.
00:13Google hangouts is a video conferencing system that lets you and up to nine other people have a video meeting.
00:21These are great for remote workers, there's no mucking around with firewall settings,
00:26no VPN software to install, and chances are you probably already own everything that you need to get started.
00:32You need a browser, like Internet Explorer, Firefox, or Safari, with an active internet
00:37connection, and you need a webcam and microphone.
00:40Now, you can use a headset or even your monitor may already come with the built-in webcam
00:46and microphone like a lot of them do nowadays. These are great for corporate meetings.
00:51If you're a remote worker, chances are you go long stretches without seeing any other
00:56faces, so it's great to see some real face time with your co-workers and employees.
01:01Also, sometimes on a conference call, the sound can be so muffled that even though you
01:06hear what's being said, you're not sure who said it, and sometimes that's important.
01:11But in a Google hangout, the active person who's talking becomes larger on the screen,
01:16so everybody knows who's talking and what they're saying.
01:20Now, there is one drawback: you have to have a Google account, and everybody who's going
01:25to need also has to have a Google account.
01:28So if your company doesn't use Google, then you'll have to give them your information
01:32so that they can add you as a contact.
01:34If you don't want to give them your personal Google account, then just set one up just
01:38for your meetings, all right? Let's get started.
01:42I've logged into google.com, I've signed in as myself, and now I'm going to click the
01:47Plus beside my name to get into Google+.
01:51From here, on the right-hand side I'm going to click Start a hangout.
01:58This is going to open up the Google Hangout screen, and from here I have a couple of choices.
02:03I can invite people into the hangout, or I can check my microphone, start the hangout,
02:08and then invite people in.
02:10But before we start, I'm going to test my microphone and my video camera and make sure
02:15everything's working just perfectly.
02:17Over here on the top right, I can go into Settings.
02:22This is going to pop up a screen where I can check my microphone and my camera.
02:26As you can see, the camera is working just fine. Now I can check my microphone.
02:31I know it's working because as I talk the green bars are going up.
02:36This means that it's getting a signal.
02:38If I had another device that I wanted to use, I can select it here.
02:43Lastly, I'm going to play a test sound.
02:46(phone ringing) I hear the tone.
02:49That means my headphones are working just fine.
02:51This means that I'm going to be able to hear everybody else who's also in hangout.
02:56When I'm happy that everything works, I'm going to choose Save Settings.
02:58Now, we are ready to start inviting people into our hangout.
03:02I'm going to invite my producer, Shea Hansen, and give my hangout a name.
03:07In this case, I'm just going to call it Meeting because we're not doing anything special,
03:12it's not going on air. We're just having a meeting.
03:15When I'm ready to go, I can click Hang out.
03:19Now all we have to do is wait for Shea to get the invitation, respond, and enter the hangout.
03:24And here she is. Hi Shea!
03:27Shea: Hi!
03:29Jess: So, here's what's neat about a hangout, because this is my screen and there's only
03:34two people in here, Shea is on a larger version of the screen.
03:38At anytime I can click my name, and there I am.
03:42Now, if there's many people in here, the person who's currently talking will be big on the
03:47screen so you'll never miss what's being said, and you'll never have to wonder who said it.
03:54Let's go through what some of the things are that you can do in a Google hangout.
03:58The first thing that you can do up here on the top right here is mute the microphone.
04:02If I check this, Shea can't hear what I'm saying right now, and I do get a reminder that I'm muted.
04:09What a lot of people tend to do his keep their microphone muted until they're actually ready to say something.
04:14This way you won't have a dog barking or something unfortunate enter your meeting
04:18that you didn't want other people to know about. I can also turn my camera off.
04:23If I click this button, the picture changes to my default Google+ profile picture.
04:30This is useful if I want to minimize the browser and do something else.
04:33A lot of times it's very easy to minimize the browser, keep working while you're in
04:38a hangout, and completely forget about the fact that your video camera is still up and
04:42running and everybody can see you.
04:46Over here on the left, we can click Invite People if at any time there's more people that
04:51we want invite into our hangout. I can also chat with Shea.
04:58I can click Chat and on a little box on the right-hand side, I get a chance box, because
05:03sometimes it's useful to just start typing things rather than talking.
05:09I can close it out anytime. I can click Screenshare.
05:14Screen share is excellent because I can share what's on my screen while the video camera's still running.
05:20I actually have a Word document ready to go in the background because this meeting is
05:25actually about a presentation that we're giving later on.
05:28So, I'm going to click on this document that I already had open, select Start Screenshare,
05:34and now Shea is actually seeing what I'm doing here.
05:38So, we could work collaboratively on this document while we're having our meeting.
05:45To get back into my hangout, I just open up the browser and uncheck Screenshare.
05:52I also have Google effects, which is more for fun, not so useful for a meeting, but
05:59you can add things like sounds, silly headwear, silly eyewear, things like that.
06:04Again, just click on it and it'll go away. We also have the Hangout Toolbox.
06:11This gives us useful items and neat things that we can do, such as embed videos right in our hangout.
06:17We also have the same silly things that we could do with the Google effects, but we can
06:21also mute the entire hangout, and we have some more utilities that we can do.
06:27Finally, you can get tons more apps from Google by clicking View more apps and choosing Add apps.
06:36From here, you can browse featured apps, see what they do, and if any one of them sounds
06:40interesting or sounds like it could help you, select Add to this hangout.
06:44I'm going to hit cancel because we're not going to actually add anything to our hangout right now.
06:49When you're all done, the meeting is over, and you've said everything that you had to
06:53say, to end the meeting, go up to the top right and choose Exit. Bye Shea.
07:02It's going to take you back to your Google+ site, and now you can go on with your day.
07:07So that's how you can have a Google hangout and work collaboratively and actually
07:11get some face time with some workers, especially if you're remote.
07:14You'll find that it's just nice to see other people's faces once in a while.

Recording and marketing chat on air
00:01Hi, I'm Jess Stratton, and welcome to Monday Productivity Pointers.
00:06This week we're talking about Google Hangouts.
00:08Now, I already showed you how to do a remote meeting with you and up to nine of your co-workers.
00:13This video we're going to take a step further, we're going to have a Google hangout on air
00:17which streams live so that anybody can stop by virtually and watch the discussion.
00:22When it's all done, it's going to hang around on your YouTube channel to be watched whatever by any whomever.
00:28To do a hangout, we talked about how you needed in internet connection, a browser, and a microphone and a webcam.
00:35To do a hangout on air, you need one more thing: you need a YouTube account that's linked to your Google account.
00:40This is quick and easy, and in fact the first time you go to do a hangout on air,
00:44you're going to get prompted to do it. Now, I like to first create an event in Google.
00:50I can invite my customers and clients to the event and when I'm ready to do a hangout on air,
00:55I can simply paste the URL right into that event.
00:59It makes me look more professional, and the best part is any customers and clients who
01:04said their attending my virtual event will get a reminder and a link right before it's about to start.
01:09I'm going to show you how to do that right now.
01:14I'm on my Google site, and I'm going to click the Plus beside my name to get into Google+.
01:20Before I even start my hangout, I'm first going to create an event by clicking Events
01:24on the left-hand side and choosing CREATE EVENT, which is the big red button at the top.
01:32Now, I'm going to change the theme because it's a hangout on air, and I just don't like what they have there.
01:40I'm going to choose Other, I can browse these.
01:43Pick one that matches the type of event you're doing.
01:46In this case, because I'm doing hangout on air, down at the bottom there's a little video camera.
01:51I can choose Set As Theme, and now that's the picture.
01:55Make your event title what the actual hangout is.
02:03I can set the date and the time for when I'm going to have my hangout on air.
02:09And for Event options, I need to click advanced.
02:13Now, you may be tempted to select Google+ Hangout, because after all, that's what it
02:19is, but if you select Google+ Hangout, what's going to happen is that for every person that
02:25says that they're going to attend this event, it's actually going to invite them into the
02:29hangout, not just to watch it.
02:32So we're going to select Make this an event on air so that anybody can view the event.
02:37We don't want our customers becoming part of the panel, we just want them to watch the panel.
02:42I also need to choose Show additional fields.
02:46It's going to give us a bunch more fields, including a YouTube URL, and that's what we're going to use later.
02:52For the location field, I'm simply going to type online because it's an online event,
02:58and I can put any details I want.
03:05All right, when we're all ready, we can invite the people that we want to watch.
03:14For now I'm going to invite my producer, Shea, and when we're ready, click the green Invite button.
03:25Our event has been created.
03:28Now we can just sit back and wait for it to happen.
03:32Once we're ready and it's time to have the actual hangout on air, I'm going to click
03:37Start a hangout, invite the people for my panel, I can name it.
03:53This time I'm going to select Enable Hangouts On Air.
03:57It's going to be broadcast in both my Google+ screen and my YouTube channel, and because
04:02I've already linked it I can just click Okay, got it!
04:06This is where if this was the first time you're doing it you would have to enter in a code.
04:09I'm going to click the blue Hangout button, and we're in Google Hangout, but we're not on the air yet.
04:18I can see on the top left of the screen it still says off air, and that's good.
04:22Hi, Shea! Shea: Hi!
04:23Jess: All right, we have our panelists, but we're not quite ready to broadcast live just yet.
04:29There's one more thing I want to do. I want to use an app called the Hangout Toolbox.
04:35I'm going to click on the Hangout Toolbox, and it's going to let me bring up something called a lower third.
04:40A lower third is that neat banner that you see at the bottom of the screen that helps
04:44people know who everybody is in the panel.
04:48I clicked the headphone icon, and here's where I can put in a lower third.
04:51Shea, why don't you put in lower third too? All right, it's just to identify yourself.
05:01You can put in your Twitter address. You have two lines to use.
05:05When you're ready to use it, click the ON button.
05:08Now, you'll notice it's backwards. Shea's is correct, mine's backwards.
05:13This is how it looks to the audience, they'll see it the right way.
05:16If I want to see at the right way, I can select Mirror my own video, and this is what everybody
05:21sees when they're watching me on screen. We're almost done.
05:26I'm going to click Hangout Toolbox to make that disappear.
05:30Before I start my broadcast, I want to embed this.
05:33Now that we're actually starting our panel, we have a YouTube URL.
05:37Nobody knows about it yet, but that's going to change right now.
05:40I'm going to click this Embed button, and here's where I have a URL.
05:46I can click on that YouTube URL, right-click, select Copy, and now while this is still going,
05:53I'm going to come back to my event, and I'm going to edit it by clicking this little pencil,
06:02come back to my Event options, click Advanced, click Show additional fields, and in this
06:09YouTube URL, I'm going to right-click and choose Paste.
06:13I can save it, and now right in my event we are going to be streaming live once I start
06:25broadcasting my hangout.
06:27The best part about it is is that people who've said they were going will get a reminder,
06:32so they can just come right into this event, click the play button, and start watching.
06:38Now we're ready to go.
06:39We've got our lower third, we've got our YouTube URL embedded right in the discussion,
06:44and now I can click START BROADCAST.
06:47Once I click that, I can choose OK, and it's going to remind me that I'm broadcasting live on Google+ and YouTube.
06:56We have a couple of seconds to make sure we're really ready and then our hangout starts.
07:01Three, two, one, and now Google's telling us that we're broadcasting live.
07:08So here's where our panel would talk.
07:10I could introduce myself, talk about what we're doing, ask some questions, and the neat
07:15thing is is that when people start talking, they will become live on the screen.
07:21What I can do is click people if I want them to immediately have focus, or I can click
07:26the focus back to myself.
07:28However, if they start talking, it will automatically go to them.
07:32There's some other things I can do too.
07:33I can you mute my own microphone, and I can hide myself from the broadcast by clicking this.
07:38If I want to put myself back, I just check that button again.
07:43Now, when I'm done with the broadcast, it still doesn't mean I'm done with the hangout.
07:48When we're finally ready to be finished off air, I can select END BROADCAST.
07:55Now we're officially off the air.
07:58We can still go, we can talk about how it went, we can relax a little bit and talk to
08:02each other 'cause our hangout's not done, but we're not on air anymore.
08:06When we're all ready to finish, we can do just what we did the last time,
08:10click the Exit button, bye Shea. And we are officially out.
08:17What it's going to tell me now is that a recording of the broadcast we just did is going
08:21to be kept on my YouTube channel.
08:24I can hit Close, and we've successfully had our first hangout on air.
