If you've got Leopard and any kind of data that
| | 00:19 | you need to organized, Bento 2 is
a powerful and easy to use solution.
| | 00:24 | In this title, I'll focus specifically
on the new features of the Bento 2 release.
| | 00:28 | I will show you how to use Bento
to link with Apple Mail messages and
| | 00:31 | RSS articles as well as how to link
maps and chats to your forms. We will also
| | 00:36 | take a look at ways to modify the
new themes for your forms, new printing
| | 00:40 | options, integrating spreadsheet data
into your Bento files, and we will get to
| | 00:44 | know how to use the new Split
View feature with your data.

any kind of data that you'd like to track.

| Using the exercise files| 00:00 | If you are a premium member of the Lynda.com

ROM, then you will have access to the

using through out this title.

the Exercise Files, you will see four
| | 00:14 | different folders, one for each
chapter. Within these chapters you will see
| | 00:18 | that there is a folder for each movie.
The folders contain any files that we will
| | 00:22 | be using in the movie. You'll also notice that they
contain both a Start and an End backup Bento database.
| | 00:29 | Because this title involves Bento, in
order to be able to pick up where the
| | 00:33 | movie starts, you will have to
revert the Bento backup. Reverting a Bento
| | 00:37 | backup is as easy as going under the
File menu and selecting Revert to Bento
| | 00:42 | Backup and then you can choose the Start
database in order to start where the movie begins.

product then choose the End version of the
| | 00:51 | backed up database. If you are a monthly
subscriber or an annual subscriber to

1. Working with SpreadsheetsImporting Numbers and Excel files| 00:00 | In Bento 2 it's now even easier to be
able to exchange information between your
| | 00:04 | spreadsheets and your Bento
libraries and collections.
| | 00:08 | One of the ways to do this is to
import the data currently stored in your
| | 00:11 | spreadsheets directly into Bento.
For example, you see here that I have got a
| | 00:16 | Properties library that current
contains home information, property names,
| | 00:21 | street and cities. Let's say one of
my colleagues provides me with a Numbers
| | 00:25 | spreadsheet with all sorts of
additional property information and I would like
| | 00:29 | to get easily get this information into Bento.
| | 00:32 | In Bento 2 this is very easy to do,
because Excel and Numbers spreadsheets are
| | 00:37 | both now supported import sources.
You can import this information by going
| | 00:41 | under the File menu, Import, choosing File
and then you will see the Import dialog window
| | 00:46 | appear. You have three steps here.
The first of which is to choose the file
| | 00:50 | that you would like to use as your
source. So if you remember in this example
| | 00:53 | this is a Numbers spreadsheet. I'll find the location
of the spreadsheet, select it and then hit Open.
| | 01:00 | You will notice now that I can either
select the individual sheet within the
| | 01:05 | Numbers spreadsheet or the selected
tables. And in your example there is only
| | 01:08 | one of each, so our choice is already
made for us. But for spreadsheets that
| | 01:12 | have more than one sheet or tables, this is where
you choose the one that you want to bring into Bento.
| | 01:16 | Now your second step is to choose a
target. And although a great way to start
| | 01:20 | using Bento is by importing
information from another file into a new library,
| | 01:24 | in this example we are going to
choose one of the existing libraries.
| | 01:27 | Specifically, the Properties and then we are going to bring
the data from the spreadsheets into the Properties library.
| | 01:33 | In step three you will notice that on
the far left-hand side we've got the
| | 01:37 | Record Values column. These are all
the different columns that are inside of
| | 01:41 | our spreadsheet. And what want to do
is select which one of these columns we
| | 01:44 | want to bring into Bento and then additionally
determine which fields we want to contain the data.
| | 01:50 | So in this example we have got
Property fields and I want to bring in the
| | 01:54 | Address, the City, the State, and the
Zip into Bento. So over in the Record
| | 02:00 | Values columns I will click on the
dropdown and I will choose Address. That's
| | 02:04 | going to line up with Street and I will
choose City to line up with City. State
| | 02:09 | to line up with State and
Zip to line up with Zip.
| | 02:15 | Now the last thing you want to check is
to make sure that the number of records
| | 02:17 | that you are bringing into Bento is correct.
| | 02:20 | So here you see we have got 78 records.
You can also choose whether or not to
| | 02:24 | use this record's values as the column
names. So you see here the Record Values
| | 02:30 | actually Address, City, and those are
the columns names. So you are going to
| | 02:34 | keep this option selected so that the first records are
not brought in, but are used as the column headers instead.
| | 02:41 | We can also preview the different
records that will pulled into Bento by
| | 02:45 | clicking either the Left or Right
buttons to make sure that the information
| | 02:48 | that's in the spreadsheet
lines up with the right field.
| | 02:50 | So you see here, it looks like
everything is matched up properly. When we are
| | 02:54 | satisfied with our settings we can then
hit the Import button. Once the import
| | 02:58 | is complete, you will notice that you now have some
additional rows with data inside of your Bento library.
| | 03:05 | So with Bento 2 it's now even easier to bring data from
your spreadsheet into your Bento libraries and collections.

| Copying and pasting spreadsheets into Bento 2| 00:00 | Have you been storing information on
spreadsheets, but now you want to use that
| | 00:03 | same data in Bento? Well, now you can
use the new spreadsheet Copy and Paste
| | 00:07 | feature that lets you copy selected
blocks of data from Excel or Numbers
| | 00:11 | spreadsheets and then paste them
directly into table views within Bento.
| | 00:14 | For example, we've got a library set up
inside of Bento that contains property
| | 00:19 | information. Let's say that one of
our colleagues has supplied this with
| | 00:23 | additional property information
inside of a Numbers spreadsheet. But in this
| | 00:27 | example I only want to pull
information from the Address, City, State and Zip
| | 00:31 | columns and only for the city of
Broomfield, Westminster, Golden, Arvada.
| | 00:37 | So I have created a selected area in
Numbers that contains all that information
| | 00:41 | and now I simply go on to Edit>Copy
and back into Bento and I'll chose the
| | 00:47 | starting point for the new
information I'm going to add which will be these
| | 00:50 | Street columns and simply go on to Edit>Paste.
| | 00:54 | You'll see now that not only the
additional rows that have been added but two
| | 00:58 | new additional columns with the information
that I have brought over from the spreadsheet.
| | 01:02 | So with Bento 2 you can now bring in
your data by simply copying a block of
| | 01:05 | data in either Numbers or Excel and then
paste it into table view in a Bento library.

| Working in Table view| 00:00 | Table View in Bento shows a list of
records in a library or collection.
| | 00:04 | It's intended to be a familiar spreadsheet-like
view that's makes working with data easy and intuitive.
| | 00:08 | For example, you can click directly
into fields to be able to add data, but you
| | 00:12 | will notice now inside of Bento that
you can click into a field and then tab to
| | 00:17 | a new field just like you would inside
of the spreadsheet and then if you hit
| | 00:21 | Return, you can advance to the next row
, again just like a spreadsheet. If you
| | 00:26 | press to Tab key to advance the field
to the right again, you'll notice that
| | 00:29 | you can navigate down into right
throughout the different records in Table view.
| | 00:34 | You can also sort the different fields
by the column headers either by sorting
| | 00:38 | ascending or descending just like you
would in your favorite spreadsheets.

headers to change the name of your fields by
| | 00:48 | selecting Edit Field or you can use
the common spreadsheet like feature of

change the name of your field. And you'll

name of the field then the column header

name changed to the Fields pane. Hitting Enter.

already be used to by working with spreadsheets

available to you when you are working in Table view.

| Exploring the new Fill Down feature| 00:00 | Bento 2 now looks, works, and feels much
more like a spreadsheet then ever before.
| | 00:05 | When you are in Table view you can
enter information without touching your
| | 00:08 | keyboard, because Bento lets you
use the content in one or more rows to
| | 00:12 | automatically add or replace
records below the selected fields.
| | 00:15 | For example, you'll notice that in the
State column, there are some of our records
| | 00:19 | that don't have any state values. So
let's say we want to add Colorado to
| | 00:24 | every one of the records in the State
column. Bento will let you use the content
| | 00:27 | in one or more rows to automatically
add or replace records below the selected
| | 00:32 | fields. If you notice when you click
inside of a field in Table view, you'll
| | 00:36 | notice that the bottom right corner of
the selected field has this small dot.
| | 00:40 | If you click on that dot you'll
notice that your cursor change into a cross
| | 00:43 | hair and just like in a spreadsheet if
you click down on that bottom right hand

list of fields, you'll notice that the

been copied to all of the rest of the
| | 00:56 | fields. So now when you'll release
your cursor, you'll see that you have now

the same column with the same value.
| | 01:05 | In Bento 2 you can use this new Fill
Down feature to enter information faster

| Exporting to Excel| 00:00 | You can export your Bento libraries
or collections into many common file
| | 00:04 | formats to make it easier to share your
data. You can now directly export Bento
| | 00:08 | libraries to either iWork Numbers or
Microsoft Excel formats. And now you don't
| | 00:14 | need to first export those libraries
as CSV files first. You can bring your
| | 00:18 | data into spreadsheets and even share or even
chart in this case all directly out of Bento.
| | 00:24 | To do so, first chose the library or
collection that you would like to export,
| | 00:28 | and then go under the File menu, chose
the Export option and you'll see your
| | 00:33 | export options pop-up on screen. You'll notice some
new formats available to you including Numbers and Excel.
| | 00:38 | You have a couple of choices to make
in whether or not you want to add all of
| | 00:41 | the records in your chosen library
or collection or all of the Table view
| | 00:45 | fields. Once you've selected the
desired option, you hit Next. First, you'll
| | 00:49 | select the location where you want to
save your exported information and then
| | 00:53 | hit Save. Now that your information
has been exported, you'll see in the
| | 00:57 | location and it can now be opened up in
one of the native spreadsheet formats.

Excel or Numbers format now makes it much
| | 01:08 | easier to share your information
with users that aren't using Bento.

2. Understanding Message List Fields and Apple MailAdding message list fields for Mail in a layout| 00:00 | In Bento 2 you can easily link Apple
Mail messages directly to information
| | 00:05 | that's stored into Bento. You can do so
by using the new message list, Field Type.
| | 00:10 | For example you see that I have got a form in
Bento that is helping us store Property Information.
| | 00:16 | Since we receive a lot of different
emails regarding this property, let's say
| | 00:20 | we would like to store those emails
inside of the property record. We will do
| | 00:24 | so by creating a new field, that's
called the massage list field and we do so
| | 00:29 | by going under Insert and select New
Field and you will see the Create a Field
| | 00:34 | dialog appear. You will notice that
there is one new field type in Bento 2
| | 00:39 | called the Message List and we
will call this one Mail Messages.
| | 00:47 | Once you have created the New Message
list field, you will see it appearing in
| | 00:50 | your Fields pane which is now located
on the left hand corner of your Bento
| | 00:54 | form. After you have added the field,
you can drag it from the Fields pane into
| | 01:00 | an area in your form where you would
like these messages to appear. You can
| | 01:04 | then easily resize the message list to
fit appropriately and you will notice
| | 01:11 | that by default you have got the
Sender column, the Subject column, Date
| | 01:15 | Received and Priority.
| | 01:17 | However by clicking on this icon in the
bottom right hand corner, you will see
| | 01:21 | that the Fields pane now displays the
message fields. You will notice that by
| | 01:25 | default we have got Date Received,
Priority, Sender and Subject checked. So
| | 01:30 | that's why these columns are appearing.
| | 01:31 | But let's say I want to get rid of
Priority and replace it with Date Sent.
| | 01:36 | Simply uncheck the Priority box and
check on Date Sent and you will see those
| | 01:41 | changes appear in our Message List
field. Once you have created your Message
| | 01:45 | List field, you can now select the
icon on the bottom left hand corner which
| | 01:50 | will then open up mail allowing you
to select either a single message and
| | 01:54 | dragging and dropping it into your
Message List field or selecting multiple
| | 01:58 | messages, dragging them all into
the Message List field at once.
| | 02:03 | Once you have got your messages in
your Message List field, you can select
| | 02:08 | individual messages and either
delete them or use the Quick Look icon to
| | 02:15 | preview them on screen and if you would
like to reply to a stored message, you
| | 02:19 | can hit the icon on the far right, that
will open them in Apple Mail, allowing
| | 02:25 | you to reply to messages if you would
like. You can also view the messages in
| | 02:30 | different orders by sorting
them on the Column headers.

great way to keep track of important

that's you are storing inside of Bento.

| Adding RSS to forms| 00:00 | In Bento 2 you can store RSS articles
that relate to information that you are
| | 00:04 | storing inside of your forms. You do
so by using the new Message List field
| | 00:09 | much like you would do to store Apple
Mail messages. If you go under Insert, to
| | 00:13 | New Field and select Message List and
then name it whatever you like. In this
| | 00:19 | case we will call them RSS and we
hit Create, you will see the field
| | 00:24 | represented in your Field Pane and by
clicking and dragging it into an area
| | 00:29 | within your form, you will see that you can now create a
Message List field that will simply store RSS feeds.
| | 00:35 | Adding RSS articles from your Apple
Mail application is as easy as dragging and
| | 00:39 | dropping. If we click on the icon in
the bottom left hand corner and then
| | 00:43 | choose from your RSS feeds in Apple
Mail you can drag one RSS article or
| | 00:49 | possibly even many directly into your
Message List field. You would notice that
| | 00:54 | you will have a vertical scroll bar up here when you
have dragged more messages into the area than space will allow.
| | 01:00 | You can select the different
articles and then use the Quick Look icon to
| | 01:04 | preview them or even open them up in
Mail, in order to be able to Read more
| | 01:11 | information. If you would like to
remove any RSS articles, simply select the
| | 01:17 | article that you would like and hit
the dash button(-). You will notice that
| | 01:21 | clicking the icon in the bottom right
hand corner will show all the message
| | 01:25 | list columns inside the Field Pane area.
You see that you can choose from Date
| | 01:28 | Received, Date Sent, Priority,
Recipient, Sender and Subject.
| | 01:32 | You can get rid of Recipient and now
you can use the Resize tool on the Column
| | 01:37 | header to make your Subject even larger.
You can also then sort by clicking in
| | 01:41 | to the header of each column, by Sort
Ascending or Descending or even choosing
| | 01:46 | to Hide any certain field. The new
Message List field is a great way to keep
| | 01:50 | track of important RSS articles that are related
to information that you are storing inside of Bento.

3. Working with Custom Views, Themes, and TemplatesCustomizing forms without using Customize mode| 00:00 | Bento 2 now has a new way to edit your
forms that makes it even easier to use
| | 00:05 | than ever before. You can say goodbye
to Customize mode. If you have used
| | 00:08 | Bento 1 before you know in order to
make any changes to your forms, you would
| | 00:12 | have to first click a button on the top
right portion of your screen that would
| | 00:15 | take you into something called Customize mode.
| | 00:18 | Now if you happen to be working on one
of your forms, even if you are editing
| | 00:22 | data, you can just double click on
certain areas and it will allow you to make
| | 00:25 | changes right on the fly. For example,
here I can make a change to my field
| | 00:29 | name or I can even resize the
objects on screen and in order to make any
| | 00:35 | changes to objects, you just simply
click on the object. You will notice that
| | 00:39 | the squares appear on the different
corners and along the bottoms and sides
| | 00:42 | that will allow you to resize or even select and move
the object to another portion of your form if you'd like.
| | 00:49 | All these can be done with our
changing modes. In addition if you are looking
| | 00:53 | for some assistance on some of the
things that you can change in your form, if
| | 00:56 | you look in the bottom right hand
corner of the screen, you see that there is a
| | 00:59 | button that will Show or hide the form
tools. This allows you to make changes
| | 01:04 | to your form, add fields or Text Boxes
or even modify Objects on the fly. So
| | 01:09 | now you can easily make changes in your forms
without first having to stop and then change modes.

| Adding or changing fields in Table view| 00:00 | Would you like to add or change fields
within your libraries? Well in Bento 2
| | 00:04 | you can now do that directly within
Table View with just a few clicks. You will
| | 00:08 | notice the far right column in Table
view is called New Field. It's actually
| | 00:12 | not a column, but if you tab into
that column and add some values, after
| | 00:19 | hitting Enter you will see now that
it has created a New Field within your
| | 00:23 | library. You will notice this
field listed in your Fields pane.
| | 00:29 | You can change the field name by double
clicking on it and you will also notice
| | 00:34 | that you can change some of the
properties of the field as well. In this case
| | 00:40 | we have changed this to a Choice field
from regular text or when we click back
| | 00:45 | into it, we can choose a Checkbox if we'd
like to. You will notice now that we
| | 00:51 | can change everything back to a Text field
which then gives us our original choices.
| | 00:55 | So you have all the same options in the
Table view as you do if you are adding
| | 00:58 | a new field for the first time. Also
you will notice that you can add new
| | 01:02 | fields before or after an existing
column. You will notice after you hit Enter,
| | 01:10 | that this field also shows up in your
Fields pane and you will notice that the
| | 01:14 | box is checked next to Occupied which
allows you to view it within your Table view.
| | 01:18 | If you would like to remove one of
the fields from a library, you can just
| | 01:21 | click on the Column header and simply
choose Delete field. This will delete it
| | 01:25 | from Table view and also from your
Fields pane. You will see that Bento 2 has
| | 01:31 | all sorts of new features to allow
you to make these modifications to your
| | 01:34 | fields within your libraries
without ever leaving Table view.

| Adding maps to Bento forms| 00:00 | Bento 2 now allows you to link directly
to maps or initiate a chat directly from
| | 00:04 | a record that contain addresses or
chat fields. For example you see that we
| | 00:09 | have got an Address List for this record.
You will notice these new buttons on
| | 00:12 | the upper right hand corner. The first
button if you hover over it you can see
| | 00:16 | it says Display a map of the address.
So by simply clicking on this you will
| | 00:20 | your web browser open, and
automatically take you to a Google map of the
| | 00:25 | address that you have
stored within your Address list.
| | 00:27 | Each individual address in the list
will have its own link to a Google map. You
| | 00:32 | will notice that you have the options
for invoking the map or Directions to or
| | 00:36 | Directions from the address within
your Address List. So if we select
| | 00:41 | Directions to you will notice that a
screen pops up allowing to us start and end
| | 00:48 | locations. And then you can Copy these
and Paste them right into the record itself.
| | 00:54 | There is also support for
linking from your Bento records in to iChats.
| | 00:59 | You will notice that one of the fields
that you have if you have linked over to
| | 01:02 | your Address Book will be the IM
Account List. If you drag this list on to your
| | 01:07 | form you will see that you can add
different IM Accounts either from AIM,
| | 01:12 | Jabber, MSN, ICQ or Yahoo. And right
now you see that this value is pulled in
| | 01:17 | from my Address Book. Once I have a
value on to my record. I can then click one
| | 01:22 | of the two buttons. You will notice
here that I can simply Start a chat session
| | 01:26 | with this user by clicking on this chat icon.
| | 01:28 | You will notice since the IM Account
List is a list field I can add multiple
| | 01:40 | different Messenger accounts to this
one record, and you will also notice the
| | 01:43 | option for deleting any existing
Instant Messenger accounts. If your forms
| | 01:48 | contain address information, you can
now link directly to maps and if your
| | 01:52 | forms contain chat information you can now
directly initiate iChats, all using Bento 2.

| Understanding split view forms| 00:00 | Table view is great for looking at
multiple records at the same time as well as
| | 00:04 | looking at some of the summaries on
those records. But if you have ever been
| | 00:07 | inside Table view and still wanted to
see the detail that one of your other
| | 00:10 | forms provides? Well, you will
notice that Bento 2 now has the Split view
| | 00:15 | feature. If you notice in the upper
right hand corner there is a new button
| | 00:18 | that will split the screen, and you
see that there is divider in between the
| | 00:24 | Table view and the Form view and by
clicking on the divider you can resize
| | 00:28 | either the Table view or
the Form view as you see fit.
| | 00:31 | This allows you to navigate through
the multiple records on the top of the
| | 00:34 | screen while still seeing more detail
when view them on the bottom. You will
| | 00:39 | notice that you can still edit in
either one of these views, and that your
| | 00:44 | changes will be reflected in both the
Table view and the Form view below. This
| | 00:49 | new hybrid Split view shows summaries
and details together on one screen to
| | 00:54 | make viewing and editing of
information easier than ever.

| Exploring the new themes in Bento 2| 00:00 | When using Bento you can adjust the
background colors and styles of your forms
| | 00:05 | by using themes, and Bento 2 now has
ten brand new themes that you can choose
| | 00:10 | from. So you can dress your data and
design your style or bring excitement to
| | 00:13 | your day with new colors, all adding
a refreshing splash to your existing forms.
| | 00:17 | You will notice under the Form menu,
under the Choose Theme, that you
| | 00:22 | now have the new Theme Chooser window.
| | 00:24 | You will notice few of the new themes
here on top, like Sail Away or Swimming
| | 00:29 | Pool or even Bookworm. If you are
curious to see how those will affect your
| | 00:33 | form you can simply hit the button
that's called Try It. There you see the
| | 00:37 | Swimming Pool has both the background
image as well as different fonts. You can
| | 00:42 | keep trying them until you find one that fits the
theme of the information that you are trying to manage.
| | 00:48 | In this case we will choose Bookworm
because it has sort of a wood theme that
| | 00:51 | matches our rustic home. When you hit
OK you will notice various different
| | 00:56 | things change on screen in addition to
just the background image. Go ahead and
| | 01:00 | explore some of the new themes that ship with Bento 2
and find the one that most perfectly suits your needs.

| Exporting templates| 00:00 | Bento allows you to customize your Forms.
You can pick different fields. Style
| | 00:05 | those fields any way that you would
like and even choose a theme. Bento 2 now
| | 00:09 | allows you to save these as Templates.
You will notice under the File menu
| | 00:14 | choosing Export. You see in the far
right there is now an option for exporting
| | 00:18 | a Template. When you select Template
you can now save this library template and
| | 00:22 | then exchange that with other Bento
users or even use it yourself in another
| | 00:26 | Bento database. You will notice
that you have couple of options.
| | 00:29 | You can include related libraries if
you happen to connect to Address Book or
| | 00:33 | iCal. You can choose to select those as
well. Then you will choose the location
| | 00:40 | where you want to save your Template
and select Save. Now you have created a
| | 00:45 | Template that now can be imported in to
another Bento database. For example, if
| | 00:51 | we go under the File menu to Import,
you will see that there is an option for
| | 00:54 | choosing a Template, selecting the
Template and then hitting Open. We will then
| | 01:01 | add a new Form to your Bento database.
| | 01:04 | Now you see that this Form has the
theme and all the field placements and Style
| | 01:09 | as the original one that before we
created the Template. Note that there are no
| | 01:12 | records in the newly created libraries.
But all the fields are there for you to
| | 01:16 | be able start entering into. Bento
provides all the tools that you need to
| | 01:19 | create your own customized forms.
Now you can save those as Template to
| | 01:23 | exchange with other
databases or other Bento users.

Lists in Bento 2 that are much easier than

5. Bento Application for iPhone and iPod TouchCreating a library on the Bento App| 00:00 | FileMaker offers a version of Bento for iPhone and
iPod Touch as an app available on the iTunes App store.

important data and now also while you're on the go.
| | 00:13 | To begin using Bento for
iPhone and an iPod Touch
| | 00:16 | first either download the app on
the iTunes App store on your computer
| | 00:20 | or directly from the app store
on your iPhone and iPod touch.
| | 00:24 | When you first open the app,
| | 00:26 | you'll be prompted to create a new library.
| | 00:29 | The app ships with 25 built-in templates,
but if you'd like to create your own library
| | 00:34 | you'll select a blank template
| | 00:36 | and then the Create Library button.
| | 00:38 | We'll start by adding all of your fields.
| | 00:40 | You'll notice here that you first need to
choose the type of the field and then enter a name.

simply hit Create and Create again.

field inside of your new library.

less in 10 MB in size, or related record list fields except

iCal related events and tasks.

see all the different records listed

either modifying them by simply clicking on it

| Using the linked Address Book library on the Bento App| 00:00 | Just like Bento on your Mac,

directly with your Address Book as an existing library.

| Syncing the Bento App with Bento on the Mac| 00:00 | In order to use the Bento app
you do not need Bento on your Mac.
| | 00:04 | You can use it by itself on your iPhone or
iPod Touch with all of its functionality.

your Outlook addresses and calendar on Windows.
| | 00:14 | However, if you do have Bento on your Mac, you can easily
sync your Mac to your Bento app via a WiFi network connection.
| | 00:21 | First on your iPhone or iPod Touch,

connected to a WiFi network.

same WiFi network and open Bento.

that's called Connect to Bento
