In Access 2010 Power Shortcuts, Access expert Alicia Katz Pollock shares hundreds of tips and shortcuts to vastly increase efficiency and get the full power out of Access 2010. The course includes tips for working with the Ribbon and Quick Access toolbar, managing files, customizing and automating Access, rapid data entry and editing, working with tables, queries, forms, and reports, managing your database, and much more. When you build a complex database it may help to have a printed copy of your relationships that you can refer to or share with others. Go up to Database tools ribbon, then click on the Relationships button. Arrange your tables, so it's easy to see the lines between them and lengthen any of the tables, so that you can see the info. Once you have it as you like it, click on the Relationships Report button in the ribbon, if you like to change your Page Size, you can do that right here, or your Margins.
If I put a check mark in Print Data Only, you can print just list of fields without the page header, table headers or relationship lines, I'll go ahead and uncheck that box again, here I can change my page to Landscape which frequently makes the tables fit better. I notice that my last tables cut off, when I close the Print Preview it actually opens up a New Relationships Report and if I try and move my tables while I'm here, it actually move all the elements as separate objects, which isn't what I want.
On the other hand if you do want to do any additional formatting to the report, such add a logo or other text, or change a color, this is the place to do it. Now notice that my relationships view is still open, so I can click back to that tab and then rearrange my tables, so they are closer together. Now when I go back to Relationship tools> Design Ribbon and click on Relationship Report and then change it to Landscape, again, everything fits, I can use the Print button on the upper left hand side of the ribbon to print it out and if I want to share this report with others, I like to use the PDF button, so that it saves to PDF to my computer then I can then e-mail or upload as needed.
Being able to print and save your Relationship Views, makes it easy to keep as a reference work or to share it with others.
