In Access 2010 Power Shortcuts, Access expert Alicia Katz Pollock shares hundreds of tips and shortcuts to vastly increase efficiency and get the full power out of Access 2010. If you have a lot of fields on a form, you can organize and consolidate them by putting them on a tabbed layout. Scroll down in your Navigation pane and double-click on Sales Reps and Customers Form to open it up. There is a lot of information on this form from the sales rep's personal information, to their employment history, to their list of company accounts. If we like them to all appear on one screen, so that we can read everything without scrolling, we can add tabs. Right-click on the Sales Rep and Customer Form tab and change this to Design View. Scroll down to the bottom of the page, hold your cursor over the top edge of the Form Footer so you get a double-headed arrow and drag that down about 5 inches to give us some room to work.
Scroll back up, look on your Form Design tools, Design ribbon and find the Tab Control. Click on it. Scroll down below the Customer's subform. Click your cursor and drag a box about this big and let go. Once we are done moving all of our fields, we'll move this Tab Control back up to the top. Two tabs appear with coded names that start with the word Page and have a number. Your numbers are probably going to be different than mine.
Click below the first tab, until you get an orange box inside. If you don't get this exact orange box, try it again, because otherwise our next technique won't work. Once you do have the orange square, make sure your Property Sheet is open by clicking on the Property Sheet button and go to the All tab. Change the name to Sales Rep. Now click on the second tab and on the All change this to HR. Now right-click on the HR tab, and go up on the shortcut menu to where it says Insert Page.
Click on Insert Page and change this page to into Accounts. Now we have our three tabs. Let's start moving our fields. We'll start with our closest one, our customer's subform, right-click on it and then cut it. Click on the Accounts tab, make sure that you get the orange box inside, right-click inside it and choose Paste. Your subform should now be inside the Accounts tab. The next thing we want to do is move our Salary field. Scroll up, click on Start Date, then hold your Shift key down and click on the StartDate control, the EndDate controls, Salary and Flag.
Press control X on your keyboard to cut them. Then scroll back down to the Tab Control, click on the HR tab, make sure you have that orange box and press Ctrl+V on your keyboard to paste them. If you'd like to change their position, you can use the arrows on your keyboard or you can hold your cursor over the edge of the controls to get the four headed arrow and move the entire group. The last thing we want to do is move our Salary fields. But first I am going to do a little bit of rearranging. I am going to pickup Photo and drag it up to the top.
I move our Photo container up as well. Now my Photo has gotten a little small. So I am going to hold my Shift key down and click on the two cells underneath that. Go back up to the ribbon to the Form Design tools, Arrange tab and Merge them. Now my photo is going to be much larger, because I moved my photo field, I now have an extra row at the bottom. So I'll right-click in it and choose Delete Row. Now it's gone. Now that I've rearranged my fields, I'll draw marquee box around them. I'll click above onto the left of the fields and drag a box touching all of them.
I'll press Ctrl+X on my keyboard to cut them. Scroll down to my tabbed form, click on the Sales Rep's tab, make sure I have that orange box and Ctrl+V to paste. Now all my fields are distributed on the different tabs. To move the Tab control up to the top, click to the right of the last tab and you'll get a box around the whole unit. I can then hold my cursor over the top edge, get my four headed arrow, and drag up to the top. Now when I release this, make sure that your cursor is down underneath the Detail area.
We don't want to move this up to the header. So with my cursor under Detail, I'll let go. My last step is to move my footer. I'll scroll down to the bottom, hold my cursor over the top edge of the Form Footer to get the double headed arrow, and drag it up until it's underneath my tabbed form. We are done. Let's go back to our Form View, I'll right-click on the Object Header and choose Form View, and now I have a Tab Control. Here is all my Sales Reps personal information. Here is their hiring information on the HR tab, and all of their Accounts.
Tab Control is the perfect way to organize and consolidate large amounts of information onto one small screen.
